Invoicing software creates and sends bills, tracks whether customers have paid, and may accept card or bank payments. A polished invoice alone does not make a platform a fit for your books. If you need to track expenses, reconcile deposits, manage bills, or prepare records for a tax professional, compare those workflows as carefully as invoice design.
QuickBooks Online: best overall for broad U.S. accounting needs
QuickBooks Online is a strong starting point for businesses that want accounting, invoicing, reporting, bill management, and integrations in one mainstream U.S. platform. It is particularly worth considering when a bookkeeper, CPA, or tax professional already works with QuickBooks. Ask your accountant which edition and data-sharing workflow they support; “QuickBooks” also refers to separate products and services, including QuickBooks Solopreneur, Desktop products, payroll, and payments.

Who should choose it—and who may not need it
- Good fit: A growing LLC that wants its accountant to work in the books; a product business that needs inventory features; or a service company that wants invoicing, bank reconciliation, bills, and project profitability together.
- Consider another option: A solo operator who only sends occasional invoices may not need a full accounting suite at this price. A business that needs several internal users should compare its total plan cost with Xero.
Xero: best for collaborative teams
Xero is worth a close look when employees, contractors, and an outside bookkeeper all need access. - Good fit: An agency or growing business with several collaborators, a company that wants to avoid per-user license charges, or an international business that needs to investigate multi-currency workflows.

Know what “free” does—and does not—cover
A free accounting subscription is not the same as free payment acceptance, payroll, bank connections, receipt capture, or accountant access. Check the current pricing page for which functions are included, what payment services cost, and what collaboration or support is available: Wave pricing.
When to move on
Inventory, complex payables, multiple departments, advanced reporting, or growing payroll needs can make Wave a poor long-term fit. If you expect those needs soon, compare migration options before building years of records in a platform you may outgrow.
How to choose for your business
- Need broad accounting and an accountant-friendly workflow? Start with QuickBooks Online, then confirm your accountant’s preferred tools and required data access.

- You bill for time, projects, retainers, or expenses? Shortlist FreshBooks and assess whether its accounting depth covers your reporting needs.

Business structure matters too. A one-person Schedule C business may have simpler needs than a multi-member LLC or corporation, which may need stronger permissions, payroll coordination, and accountant access. Before comparing monthly prices, list the services required to make each platform usable for your business. A free or discounted plan may cost more over time if essential functions require upgrades, paid integrations, or manual work.

When standalone invoicing may be enough
A business with few transactions, no inventory, and no need for bank reconciliation or financial statements may be able to use a dedicated invoicing product rather than a full accounting suite. It still needs a reliable way to record income, expenses, payment fees, and tax-related information. For example, Zoho Invoice is a separate product from Zoho Books; do not assume an invoicing tool provides the bookkeeping depth of an accounting platform.
U.S. tax and accountant checks before you commit
U.S. availability alone does not mean software will file every return or guarantee compliance. Tax rules depend on the business, jurisdiction, and transactions; accounting software typically helps organize records and workflows rather than replacing a tax professional.
- Check how the plan handles sales-tax tracking and reporting for the states and localities where you do business.
- If you pay contractors, verify W-9 collection and 1099 workflows, including which plan includes them.
- Ask whether the platform supports your payment methods and the bank accounts you use.
- Confirm state coverage and costs before relying on a payroll service.
- Ask your accountant whether they can access the account, what reports or exports they need, and whether they support your chosen platform.
- For multiple locations, entities, or international activity, confirm reporting, multi-currency, and tax workflows before migrating.
Switching accounting software: a short migration checklist
- Ask your accountant what they need. Agree on the cutover date, opening balances, chart of accounts, and any reports or exports needed for tax preparation.
- Inventory the records to transfer. Check historical invoices, bills, customer and supplier details, attachments, recurring invoices, and bank connections.
- Map accounts and balances. Confirm that the new chart of accounts matches the business’s reporting needs and that opening balances are entered correctly.
- Verify imported data. Reconcile bank accounts and check outstanding invoices, unpaid bills, tax settings, and payment fees against the old system.
- Keep a usable archive. Retain access to exports and source documents so prior-period records remain available after the switch.
Migration tools can reduce manual entry, but they do not remove the need to verify balances, attachments, and audit history after import.
