What Is a Canceled Check? Meaning, Copies, and How Long Banks Keep Them

A canceled check is a check your bank has paid, charged to your account, and endorsed. Here is what it proves, how it differs from voided and stop-payment checks, and how to get a copy.

A canceled check is a check that your bank has paid, charged to your account, and endorsed. Once it is canceled, it can no longer be negotiated. The term describes a check that has already been processed as payment, not a blank check someone marked “void” before using it. Whether you can get a copy of one, and how long your bank must keep it, depends on the institution and the rules that apply to it.

What “canceled” means in banking

The Office of the Comptroller of the Currency (OCC) defines the term in its Glossary of Banking Terms and Phrases: “A check that a bank has paid, charged to the account holder’s account, and then endorsed.” The same glossary notes that once a check is canceled, it is no longer negotiable.

Three things follow from that definition. The bank has already paid the check. The amount has been debited from the payer’s account. The check carries the endorsement added during processing. A check in that state is a completed payment record, so it cannot be deposited or cashed a second time.

Canceled, voided, and stop-payment: three different things

These terms are often confused, and they describe different situations. The OCC’s glossary defines “canceled” as a check that has been paid. A stop-payment order is a separate instruction to a bank to refuse payment on a check that has been written or issued but not yet cashed. “Voided check” is a term used in everyday practice for a check the account holder has deliberately marked void before using it, often to supply account details for a direct-deposit or automatic-payment form. The OCC glossary does not define “voided check,” so treat that contrast as common usage rather than an official banking definition.

If you are looking for a record of a payment that cleared, you need a canceled check or its equivalent. If you are looking for a way to stop a payment that has not cleared yet, you need a stop-payment order, not a canceled check.

Why you may not receive the check itself

Many people expect the original paper check to come back with the monthly statement. The Consumer Financial Protection Bureau (CFPB) states that banks and credit unions generally are not required by law to return canceled checks. In practice, a statement usually lists the check number, the amount, and the payment date, which is often enough for basic recordkeeping.

Some institutions do return checks or provide images. Others provide copies only on request, and some charge a fee for them. The CFPB’s guidance notes that fee rules can vary by state, so the cost and availability depend on where your account is held and on the institution’s own policy.

How long banks must keep canceled checks

Two official sources give different retention periods, and they answer slightly different questions. Use the table below to see which one applies to your situation.

Because the rules depend on the bank’s charter and the state where the account is held, the practical step is to ask your bank or credit union which retention requirement it follows. If you need a copy for a specific purpose, ask that question before the period has passed.

How to request a copy of a canceled check

  1. Find the check details on your statement. Note the check number, the amount, and the payment date. These are the details the institution will use to locate the item.
  2. Check whether online banking shows the image. Some institutions display check images in their online or mobile banking services. Availability varies by institution and account type, so do not assume it is offered.
  3. Contact the bank or credit union that paid the check. Ask for a copy of the canceled check, the front and back if available, and provide the check number, amount, date, and account information.
  4. Ask about cost and timing. Confirm whether a fee applies, what format you will receive, and how long the request will take. The OCC says a requested copy should be provided within a reasonable period.
  5. If the bank no longer has the item, ask what it does hold. Ask for a copy or record that is still on file, and ask which retention requirement it follows.

Electronic checks and substitute checks

Modern check processing often does not move the paper check back to the account holder. The OCC’s guidance on the Check Clearing for the 21st Century Act (Check 21) explains that the law authorizes electronic handling of checks, the exchange of check images between banks, and the creation of substitute checks. The CFPB’s guidance also explains that a check may be converted into an electronic funds transfer using the check information, in which case the paper check is not returned.

A substitute check is a paper reproduction of an original check. A qualifying substitute check reproduces the information and endorsements from both sides of the original and has the same legal rights and obligations as the original. The OCC says a substitute check can be used as proof of payment. A screenshot or an informal photo of a check does not carry those legal properties, so do not present one as a substitute check.

If your check was converted to an electronic transfer, your statement should show it as an electronic debit with the payee’s name and amount. In that case, the bank may not have a paper item to copy, and the statement entry is usually the record to keep.

Using a canceled check in a deposit dispute

A canceled check can help when a deposit does not appear on your account. The OCC’s guidance on missing deposits, last reviewed April 2021, recommends that you contact your bank with the details of the deposit and your receipt. If the bank needs more information, ask the person or company that paid you for the front and back of the canceled check they used, then submit that image with your deposit receipt to the bank.

The front and back together show the payee, the endorsement, and the processing details. Both sides matter, because the endorsement is the part that shows where the funds were deposited.

Choosing the right record for your purpose

Not every record does the same job. Compare the options before you request anything.

Requirements for a tax, legal, landlord, or business request can differ. Before you ask for a copy, confirm which format the requesting party accepts. A statement entry may be enough for one purpose and insufficient for another.

If you are unsure what your bank can provide or what its retention policy is, ask the bank or credit union directly. Fee amounts, online access, and retention rules are set by the institution and by the law that applies to it, so they should be confirmed with the institution in each case.

The CFPB and OCC pages cited here were last reviewed in 2021, 2024, and 2026, and rules and institutional practices can change, so verify current terms with your own bank before relying on a specific period or fee.
