A control account is a summary account in the general ledger that holds the combined balance of related detailed accounts kept in a subsidiary ledger. For example, a business’s accounts receivable control account shows the total customers owe, while the subsidiary ledger shows what each customer owes.
How a control account works
The general ledger provides the summarized balance used in the overall accounting records. A subsidiary ledger holds the underlying detail. In accounts receivable, that detail typically tracks transactions and balances for individual customers; together, those balances support the accounts receivable total in the general ledger. OpenStax explains this relationship using customer balances that add up to the accounts receivable control total.
For a simple example, imagine a business has several customers with unpaid invoices. Each customer’s balance appears in that customer’s subsidiary account. The control account contains the combined amount, rather than repeating every customer’s transactions in the general ledger.

Common examples and uses
Accounts receivable and accounts payable are common control accounts: one summarizes amounts owed by customers, and the other summarizes amounts owed to suppliers. Subsidiary ledgers can also support detailed records for areas such as inventory, property and equipment, and investments. The IRS Internal Revenue Manual lists these as possible subsidiary-ledger areas.

How to reconcile a control account
Compare the general-ledger control balance with the sum of the balances in its related subsidiary ledger. They should agree. The IRS states that the general-ledger control account balance must equal the composite balance of the individual subsidiary accounts.

- Find the control-account balance in the general ledger for the date being checked.
- Get the same-date balances for every account in the related subsidiary ledger.
- Add the subsidiary balances and compare the total with the control-account balance.
- If the amounts differ, trace the entries and adjustments in both records to locate the discrepancy, then correct the record that is incomplete or inaccurate.
What a mismatch can mean
A difference can result from missing, duplicated, or incorrectly recorded entries. One specific risk is adjusting the control account directly without making the corresponding update in the subsidiary records. Federal Student Aid guidance identifies this kind of mismatch and calls for reconciliation between account balances and subsidiary detail.
There is no single reconciliation schedule established for every business. The Federal Student Aid handbook for the 2024–2025 award year describes at-least-monthly reconciliation guidance, more frequent checks during high-volume periods, and monthly requirements for certain federal programs.
