Two Weeks’ Notice Resignation Email: Template and What to Check First

A two weeks' notice email needs three things: a clear statement that you are resigning, your final working day, and a courteous close. Here is a template and the checks to run first.

A two weeks’ notice resignation email does one job well: it tells your manager, without ambiguity, that you are leaving and which day is your last. Keep it short, state the decision and the final working day, and close politely. Before you send it, confirm that two weeks is actually the notice you owe under your contract and your employer’s process, because two weeks is a common convention rather than a universal rule.

What the email must contain

Most resignation emails that work follow the same small structure. Each element has a specific job:

  • A clear subject line. Something such as “Resignation – [Your Name]” makes the message easy to identify and file later.
  • The right recipient. Address your direct manager, or the HR contact your employer’s policy names. Sending it to the wrong person can delay processing.
  • A plain statement that you are resigning. Use the word “resignation” and name your position. Avoid hedged phrasing like “I’m thinking about possibly leaving.”
  • Your final working day. Give an actual calendar date. This is the single most important line, because it is what payroll, access management and handover planning depend on.
  • A courteous close. A greeting and sign-off with your name is enough.

Nothing else is required. You do not need to explain why you are leaving, and the reason is best kept private unless you choose to share it.

Adaptable template

Subject: Resignation – [Your Name]

Hello [Manager’s Name],

Please accept this email as formal notice of my resignation from my position as [Job Title] at [Company]. In accordance with my notice period, my final working day will be [Date].

Thank you for [brief, genuine appreciation, if appropriate]. I will do what I can to support a smooth handover before my last day. Please let me know how you would like me to handle the transition.

Replace every bracketed item. If you have no genuine thanks to offer, delete that sentence rather than writing something generic. If you do not want to offer handover help, you can end after the date.

Check the notice period before you choose the date

The date in your email has to match what you actually owe your employer. Career guidance from Indeed, the University of Wyoming Haub School Career Services and SEEK all treat two weeks as a convention that many employers use, not a legal default. Work through these checks in order:

  1. Read your written statement or employment contract. Look for a clause titled something like “Notice” or “Termination.” It will state a number of weeks or months, sometimes different for probation or for longer-serving staff.
  2. Check the employee handbook or HR policy. Some employers require a formal letter, a specific form, or notice given to HR rather than the line manager, even when a contract is silent.
  3. Confirm the rule for your jurisdiction. Minimum notice obligations depend on where you work. The UK employment advisory service Acas tells employees to check their written statement of employment particulars and the relevant process. Its UK-specific minimum-notice information should not be applied to employment in other countries.
  4. Count the working days, not just the calendar. Confirm whether your notice is measured in calendar weeks or working days, and whether public holidays or accrued leave change the final date.

If the contract requires more notice than two weeks, the date in your email should reflect the longer period. If you are unsure, ask HR in writing for the exact requirement before you send your resignation.

Is a written email required?

Not always. Acas states: “You do not have to put your resignation in writing, for example in a letter or email.” That statement is UK guidance and does not describe every employment agreement or jurisdiction.

Even where writing is not required, a written email is still useful. Acas notes that writing can help avoid disputes about matters such as notice periods, and a timestamped email gives both sides the same record of the date you gave. If the record matters to you, ask the manager to confirm receipt by reply.

If your employer specifies a different route, such as a signed letter or a resignation form, follow that instruction. Email can sit alongside a formal letter, but it does not replace one the employer has asked for.

Optional elements: gratitude and handover

Gratitude and a transition offer are courtesies, not substitutes for a clear date. Include them only when they are sincere and suitable for your relationship with the manager.

  • Gratitude: One specific sentence works better than a paragraph of praise. Name something real, such as support during a project or a particular opportunity.
  • Handover offer: Offering to document processes, write a handover note or brief a colleague is useful. Commit only to what you can actually complete before your final day.
  • Reason for leaving: Not required. A sentence explaining a personal or professional reason adds nothing to the notice itself.

Who to send it to, and how colleagues hear

Send the email to the person your employer’s process identifies. For most staff that is the direct manager, with HR copied or contacted separately if policy says so. Ask the manager how and when your colleagues will be told, so that you are not the one announcing your departure to the team before the manager has agreed a plan.

Common problems and how to handle them

  • The manager asks you to stay longer. Any change to the final day should be agreed in writing, with a new date, so both of you have the same record.
  • No reply arrives. Follow up once by email, restating the date. Keep a copy of your original message and the date it was sent.
  • Your contract requires more notice than you planned. Use the contractual period. Giving less notice than your contract requires can have consequences for final pay and references, depending on your employer and location.

The short version: state the resignation, give the final working day that your contract supports, and keep the rest of the message brief.
