When should you send a chaser email?
Start with the timeline the recipient gave you. If they said they would respond by a particular date, wait until that date has passed before asking for an update. There is no established waiting period that applies to every kind of email.

These intervals serve different purposes: a thank-you acknowledges a recent interaction, while a chaser asks for a pending response or decision. Don’t treat one context’s suggested wait as the standard for another.
What should a polite chaser email say?

- Choose a specific subject line. Identify the role, request, or earlier exchange so the recipient can place your message.
- Use an appropriate greeting. Address the recipient by name if you know it.
- Give brief context. Say what you are following up on and include the date or other identifying detail when useful.
- Ask one clear question. For example, ask whether there is an update on the hiring process or when they expect to respond.
- Close courteously. Thank the person for their time and sign with your name.

Adapt the details so the recipient can identify your specific request. Remove any sentence that does not fit your situation.
Subject: Follow-up: [topic, role, or date]
Hello [Name],
I’m following up on [application, conversation, or request] from [date or brief context]. I wanted to ask whether there might be an update on [specific item].
I understand you may be busy, and I appreciate your time. If there is a revised timeline, I’d be grateful to know.

For an interview status check, UNLV suggests a subject line such as “Follow-Up: [Your Name], [Job Title] Interview.” Use the role and your name so the message is easy to identify. UNLV Career Services
How do you follow up without sounding pushy?
- Keep the request neutral: ask whether there is an update rather than demanding an answer.
- Acknowledge the recipient’s time briefly; avoid guilt, blame, or pressure.
- Personalize the message with the actual role, request, or conversation instead of sending a generic note.
- Respect any deadline or timeline the recipient shared.

What if they still do not reply?
If you have already sent one courteous follow-up and there is still no response, avoid sending a stream of near-identical messages. The available career-service guidance recommends restraint and respect for the timeline shared by the employer; it does not establish a universal next interval or show that a particular cadence will produce a reply. If the matter is genuinely time-sensitive, make the urgency and relevant deadline clear in one appropriate message.
