The Ultimate Apartment Hunting Checklist for Renters

Use this step-by-step apartment hunting checklist to compare full costs, verify a rental listing, prepare for screening, tour the unit, and review the lease before signing.

Use this apartment hunting checklist to move from setting a budget to reviewing a lease without overlooking costs, screening questions, or scam warning signs. Before you pay or share sensitive information, verify who is offering the unit; before you sign, get the costs and promises in writing. Rules for fees, deposits, repairs, and inspections vary by state and city, so check official local guidance for your location.

1. Get ready before you search

Set your budget and priorities

  • Estimate the full monthly cost: rent, mandatory recurring fees, utilities you will pay, and any renter’s insurance requirement disclosed in the lease.
  • Choose your preferred neighborhoods, commute, move-in timing, household size, accessibility needs, and must-have features.
  • Decide what you can compromise on, such as a shorter commute versus more space or a lower rent versus included amenities.

Prepare accurate application information

  • Have accurate identity, employment or income, and prior-address information ready for an application. Share sensitive details only through a verified channel.
  • Review your credit information and correct any errors through official channels. Tenant screening reports can contain inaccuracies, according to the Federal Trade Commission’s renter background-check guidance.
  • Ask about the landlord’s screening criteria before paying an application or background-check fee. The FTC advises renters to ask what information will be used to decide whether to rent to them.

Start a comparison sheet

Keep one record for each unit. Track the advertised rent, fees, utility responsibility, deposit, lease length, availability, screening criteria, and unanswered questions. Save the listing and messages so you can compare the written offer with what you are later asked to pay or sign.

2. Verify the listing before paying or sharing information

Confirm the property and the person offering it

  • Independently find the owner or management company’s official website or contact information; do not rely only on a phone number or link in the listing.
  • Confirm that the address and unit are associated with that owner or management company.
  • See the unit in person if possible. If you cannot, use a trusted person or another verified way to confirm the property and the person’s authority to rent it.

The FTC’s rental scam guidance warns about requests for money before a showing and hard-to-recover payment methods. Be wary if someone presses you to pay before you have verified the listing and their authority to rent the unit.

Get fees and screening details in writing

  • Ask what an application or background-check fee covers and what information will be used to assess your application.
  • Request a written list of mandatory monthly charges and one-time charges. Ask whether services presented as optional are genuinely optional.
  • Keep copies of fee disclosures, receipts, messages, the listing, and your application.
  • Do not send gift cards, cryptocurrency, cash, or a wire transfer to someone whose identity and authority you have not verified. These payment methods can be difficult to recover, according to the FTC.

Fee limits and deposit rules are location-specific. Check current official state and city sources for the property’s location rather than assuming a rule applies everywhere.

3. Use the tour to check the actual unit and costs

Confirm what is being offered

  • Check that the unit shown matches the listing and ask which exact unit is available to you.
  • Confirm which appliances, parking, storage, laundry, package access, and building amenities are included, and whether any carry extra charges.
  • Note visible conditions and questions. Do not assume a defect is harmless or that a repair has been promised unless the agreement is documented.

Ask how repairs are handled

Ask who receives maintenance requests, how to submit them, and whether any work discussed during the tour will be recorded in writing. Repair duties and inspection rights depend on local law and the specific agreement; consult official local sources if you need to understand those rules.

Compare units on the same basis

For each place, compare total recurring monthly expense, one-time move-in costs, commute and location, layout and accessibility, and lease flexibility. Use your own priorities: there is no universal rating that makes one apartment the best choice for every renter.

4. Understand what screening can mean

A tenant screening report may include identity and address history, employment and income, credit or account information, housing-court or eviction information, criminal records, rent-related payment history, or other records. It may also include a score or recommendation. A landlord does not necessarily use every category listed in a report.

A report can affect more than approval. The FTC says an adverse decision based on a report can include denial, a cosigner requirement, or a higher rent or deposit. That does not mean every landlord uses the same criteria or that a particular applicant will qualify on specific terms. Federal and state laws may also apply to screening decisions; a joint DOJ, FTC, CFPB, and HUD resource announced March 21, 2024 describes the agencies’ roles in enforcing different protections, including the Fair Housing Act and the Fair Credit Reporting Act.

If a screening report leads to worse terms or denial

  1. Read the adverse-action notice. FTC guidance says it should identify the reporting company and explain your right to seek a free copy of the report.
  2. Request the report from the named company within 60 days of receiving the notice, as described by the FTC.
  3. Check it for errors. The FTC says the reporting company must investigate a dispute within 30 days. Follow the official instructions and keep copies of your dispute and supporting records.

5. Review the lease before you sign

Read the full agreement and all attachments

Read every page, addendum, house rule, and document incorporated into the lease before signing. Consumer.gov’s questions for a sample lease and sample rental agreement illustrate topics to locate; they are examples, not universal or necessarily current contracts.

Check the important terms

  • Names of the landlord and tenants, and the unit address.
  • Lease start and end dates, renewal terms, and how to end or not renew the agreement.
  • Rent amount, due date, payment method, and any late or other charges.
  • Deposit amount and terms, plus any other one-time and recurring fees.
  • Which utilities the tenant pays and which, if any, are included.
  • Maintenance responsibilities, occupancy rules, and any renter’s insurance requirement.

Compare the lease with the listing, fee disclosures, and what you were told during the tour. Ask for clarification or a written change before signing if a term is missing or differs from what you understood. State and local law governs many details, including fee and deposit limits and repair obligations; check official sources for the property’s jurisdiction if those issues matter to your decision.

Keep a complete record

Save the fully signed lease and attachments, the written fee breakdown, relevant messages, and receipts for payments. Having the same records in one place makes it easier to check what you agreed to and what you paid.

  • Before searching: Set a full-cost budget, define priorities, prepare accurate application details, review credit information, and create a unit comparison sheet.
  • Before paying: Verify the listing and the person offering it, ask about screening criteria and fees, get charges in writing, and keep records.
  • At the tour: Confirm the exact unit, included features, extra charges, visible condition, and repair-request process.
  • Before signing: Read the lease and attachments, verify costs and responsibilities, resolve discrepancies in writing, and save the signed documents and receipts.
