Outsourcing accounting or tax work can give a small business access to professional help without hiring a full-time accounting team. It may also free an owner’s time and improve efficiency, but lower costs and better results are not guaranteed. The right choice depends on the work you need done, your business’s tax obligations, and how much oversight you can provide.

What outsourcing accounting and tax work can offer

Professional help without a full-time hire

Outsourcing can let a business draw on outside expertise without significantly expanding its permanent staff. Accounting is one of the functions the SBA identifies as commonly outsourced. In an SBA-hosted article, author Anita Campbell says outsourcing can help a small business get more done and rely on professionals without substantially growing its full-time team. That is a potential advantage, not a guarantee that a provider will cost less than an employee or produce better results for every business. More time for running the business

When a provider takes on routine bookkeeping, reconciliations, or tax preparation, an owner may spend less time maintaining records and meeting filing deadlines. The time saved depends on what the provider actually handles: gathering receipts, answering questions, approving payroll, and reviewing reports may still require attention from the business.

Access to skills that may not be needed full time

An outside professional may bring experience with financial reporting, tax rules, or accounting systems that a small business does not have in-house. The useful expertise depends on the provider’s qualifications and the complexity of the work. A bookkeeper, online service, CPA, and tax preparer do not necessarily offer the same services.

Choose the service to match the work

Start by listing the tasks you need covered rather than assuming that “outsourced accounting” includes every financial function. The SBA notes that a CPA may cost more than an online service but can offer more tailored help, while a bookkeeper may handle basic day-to-day functions at lower cost. How to compare the real cost

There is no current, accounting-specific average saving established by the cited sources, and a quoted monthly fee alone does not show whether outsourcing is economical. Compare the provider’s total cost with the cost of doing the work internally, including the owner’s time and any work that remains in-house.

  • Recurring fees and one-time onboarding or bookkeeping cleanup
  • Software charges, payroll costs, and fees for additional filings
  • Rates for out-of-scope questions, corrections, or urgent requests
  • Internal time needed to gather records, answer questions, approve work, and manage the relationship
  • The cost and disruption of changing providers or bringing the work back in-house

Ask for a written estimate based on your transaction volume, entity type, jurisdictions, and requested services. A low base fee may not be comparable to a quote that includes more work.

Check whether the provider fits your business

A good comparison covers more than price. Ask each candidate the same questions so you can compare the work, service, systems, and risks on equal terms.

  • Scope and expertise: Which bookkeeping, payroll, reporting, preparation, planning, representation, or advisory tasks are included? Who will do and review the work?
  • Business and location experience: Has the provider worked with businesses like yours, including your entity type and industry? Can it support the states and localities where you operate?
  • Service and deadlines: Who is your day-to-day contact? What are the response times, reporting and filing calendar, backup coverage, and escalation path?
  • Systems and record access: Does the provider’s software work with yours? Can you access source records and books, export your data, and get help transitioning if the engagement ends?
  • Security and continuity: What controls protect your information, how are records backed up, and what happens if the provider has an outage or security incident?

Protect your financial and tax information

Tax work involves sensitive information, so security should be part of provider selection. The IRS says tax professionals are required by law to create and maintain a Written Information Security Plan (WISP), with safeguards for client information and attention to service providers. Ask for specific answers about access controls, multifactor authentication, encryption, monitoring, backups, incident response, and any subcontractors that may handle your records. Put responsibilities and deadlines in writing

A written engagement should make clear who is responsible for each task and what the provider needs from you. Resolve these points before work begins:

  • Who supplies records, in what format, and by what dates
  • Who prepares and who reviews tax filings, and who authorizes submission
  • Expected response times, recurring close dates, and filing deadlines

  • Fees for included work and for additional work, as well as termination and records-transfer procedures

Outsourcing a task does not by itself remove the business owner’s need to understand obligations, provide accurate information, and meet applicable requirements. Make sure the agreement describes the provider’s role and the decisions that remain yours.

Keep your tax obligations tied to your business

Tax duties vary with business structure and location, including federal, state, and local requirements. A single “small business tax” package may not cover every entity or jurisdiction.
