Reply by thanking the sender, clearly accepting or choosing a time, and repeating the interview’s confirmed date, time, role, and meeting details. If the invitation leaves out an essential detail—or the proposed time does not work—say so directly and ask or suggest a next step.
What to include in your reply
- A greeting using the sender’s name, if you know it.
- A brief thank-you and a clear statement that you accept, can attend, or have selected a particular offered time.
- The position title and the agreed day, date, and time. Add the time zone when it is unclear or useful, such as for a remote interview.
- The confirmed location or meeting format, if the invitation supplied it.
- A concise question only if an important detail is missing.
- A professional sign-off and your name.
Read the invitation carefully before replying. It may offer a fixed appointment, ask you to select from several slots, request your availability, or direct you to a scheduling link. Complete that specific step rather than sending a general acceptance that leaves the schedule unresolved. Follow any instructions in the invitation, and proofread the names, role, date, time, and logistics.
Template for accepting a confirmed time
Subject: Re: [Existing subject]
Hello [Name],
Thank you for inviting me to interview for the [Position] role. I’m pleased to confirm that I can attend on [day, date] at [time and time zone]. I understand the interview will be [at location / by phone / on platform].
Please let me know if there is anything you would like me to prepare in advance. I look forward to speaking with you.

In a new email, a subject such as “Interview confirmation – [Your Name] – [Position]” makes the purpose clear. In an existing thread, keeping the original subject usually preserves context. Remove the preparation question if it is unnecessary or the invitation already explains what to do. Do not describe a location or format as confirmed unless the sender provided it.
How to reply to different kinds of invitations
The invitation offers several time slots
State which offered slot you are selecting, including its date and time. If none works, thank the sender and offer two or three realistic alternatives. These are suggestions, not confirmed appointments, until the employer agrees.

The employer asks when you are available
Give specific windows with dates and times, and include a time zone when it could prevent confusion. Make clear that these are your available times, not a booked interview. For example: “I’m available Tuesday, October 13, between 10 a.m. and noon, or Wednesday, October 14, after 2 p.m. [time zone].”
The invitation uses a scheduling link
Follow the stated booking process. If you reserve a slot through the link, confirm the appointment only after the booking is complete. If you have not booked it yet, avoid wording that suggests the time is already secured.

A location, video link, or other essential detail is missing
Confirm what is already clear, then ask one brief question about the missing logistics. For example: “I’m pleased to confirm that I can attend on [date] at [time]. Could you please send the address for the interview?” Check the invitation first so you do not ask for information it already contains.
The proposed time does not work
Reply promptly, thank the sender, and briefly say you are unavailable at that time. Offer a few specific alternatives if you can. A long explanation of personal commitments is not necessary; keep the response cooperative and leave the new time subject to confirmation.

Keep the message focused and professional
A short, positive reply is enough. Avoid adding a long list of interview questions or unrelated details. If several people are copied, keep the existing thread and reply to all when the copied recipients are relevant to arranging the interview; do not add people without a reason.
For example, Boston University’s Center for Career Development gives this sample availability sentence: “I am available this Wednesday at 1:30 p.m., and I look forward to meeting with you to discuss this position in more detail.” Use it as a wording example, adapting the day and time to your actual availability.
