A strong employee reference letter is specific, truthful, and tied to the opportunity the employee is pursuing. Identify how you worked with the person, give firsthand examples of relevant strengths, and make your recommendation clear. Use the template below as a starting point, not a script.
Sample reference letter for an employee

Dear [recipient name or title],
I am pleased to recommend [employee name] for [role or opportunity]. I worked with [employee name] as [your role and relationship] at [organization] from [time period or context].
In that work, I observed [employee name] [relevant responsibility or skill]. For example, [briefly describe a specific situation and what the employee did]. This demonstrated [role-relevant quality or result you can personally support].
I also saw [employee name] demonstrate [another relevant skill], particularly when [specific context]. Based on my experience working with [employee name], I believe [they] would bring [supported qualities] to [role or opportunity].

Replace every bracket with accurate details, and remove any claim you cannot personally support. Tailor the examples to the role rather than leaving generic praise in place.
What to include and how to make it persuasive
Establish your relationship
In the opening, state your name and position, the employee’s name, how you worked together, and the period or context of that relationship. This gives the reader a basis for understanding what you can speak to firsthand.

Connect examples to the opportunity
Choose one or two concrete examples of the employee’s work. Explain what they were responsible for, what they did, and which skill or quality the example demonstrates. Relate those details to the target role or opportunity; a list of adjectives alone does not show why the employee is suited to it.
Make the recommendation explicit
Name the role or opportunity and say directly whether you recommend the employee. Close with a professional sign-off and reliable contact information. Offer to provide more information only if you are willing and able to do so.
Before you write or send the letter
- Ask for useful context, such as the employee’s current resume, the job description, and any instructions from the recipient.
- Check your examples against the role’s stated requirements and the recipient’s directions.
- Keep claims professional and accurate. Do not imply knowledge or results you did not observe.
- Follow applicable workplace policy and any instructions from the person requesting the letter; there is no universal format established for every recipient or workplace.
When to decline a reference request
If you cannot give an informed, positive account of the employee’s work, decline promptly and respectfully rather than writing a vague or misleading endorsement. You can explain that you are not the right person to provide the reference without criticizing the employee or disclosing unnecessary details.
