Replace every bracket with accurate details. Mention only a topic that actually came up, and connect the role to a real skill or experience you have. If you are replying to an existing scheduling thread, you can use that email rather than starting a new one.

- Thank the interviewer: Name the internship or interview so the context is clear.
- Make it personal: Refer to one specific point from your discussion, such as a project or responsibility.

- Close courteously: Offer to provide requested information, if applicable, and include contact details when useful.
Seton Hall University Career Center recommends thanking the professional, highlighting a conversation detail, restating why you are a strong match, and including contact information or next steps in its guide to thank-you correspondence. UC San Diego’s post-interview letter outline also covers relevant qualifications and next steps or materials where applicable.
When and how to send it
Send the note promptly, ideally within a day. Career-center guidance varies: USC recommends sending a note the same day and favors email for timely delivery; Jill Panté, quoted in Penn Career Services’ 2019 internship article, suggests sending an email within 12–24 hours; UC Davis recommends a brief email within 24 hours; and Appalachian State allows a day or two. These are practical recommendations, not a universal employer deadline.

If you interviewed with more than one person
Send each interviewer a separate note and tailor it with a distinct, genuine detail from that person’s conversation. USC cautions against sending a generic note to multiple interviewers, and Penn Career Services recommends personal emails to each interviewer. If you do not remember a meaningful detail for someone, keep the message courteous and accurate rather than inventing one.

If the interview situation was different
Use the sample only when you actually interviewed with the recipient. If you are thanking someone for another kind of help—such as advice or an introduction—change the opening and the specific detail so the note accurately describes what happened. Do not imply that an interview took place when it did not.
A thank-you note is a professional courtesy and a chance to restate your interest and fit. The cited career-service guidance does not establish that sending one guarantees an offer or improves hiring odds by a measured amount.
