Use this short resignation letter to state your decision and proposed final day. Before sending it, check your employment agreement and local rules to confirm how much notice you must give and how to deliver it.

What to include in your resignation letter
- A clear resignation: State directly that you are resigning, and name your job title and employer.
- Your notice period and final day: Confirm the date against your contract and applicable workplace rules before sending the letter.
- A written record: Email or a letter can help establish when you gave notice and what date you identified as your final day.
- A calm, professional tone: A routine resignation letter records your decision; it does not need to provide a full account of workplace grievances. You do not generally need to give a reason unless you want to, according to Employment New Zealand’s guidance.
How much notice should you give?
There is no single notice period that applies to every worker. Your required notice may depend on your location, employment agreement, and applicable workplace rules. The Fair Work Ombudsman says an award, enterprise agreement, or contract may set the notice period; GOV.UK also advises employees to check their contract. These are country-specific sources, not a universal formula.
Check your contract and any relevant workplace agreement before entering a date. GOV.UK’s guidance also covers pay during notice and restrictive covenants. If you and your employer agree to an earlier departure, record the arrangement clearly; the Fair Work Ombudsman notes an employer may decide not to have an employee work the full notice period.

Should you resign by email or letter?
Follow any method specified in your contract or your employer’s resignation process, and address the message to the manager or HR contact identified by the employer. A dated email is convenient and creates a written record; a printed letter may suit a workplace’s stated process.
Written notice is practical best practice in Australia and New Zealand. In the UK, Acas says employees may not always be required to resign in writing, but keeping a written record can help avoid disputes.

Should you explain why you are leaving?
For an ordinary departure, a brief and neutral letter is enough. Employment New Zealand says an employee need not give a reason unless they want to. If your resignation relates to a serious employer breach or alleged misconduct, do not rely on a routine template to protect your position: Acas flags possible constructive-dismissal consequences and recommends seeking specific guidance before acting.
