Google Sheets is the best default for most teams that need fast, low-friction co-editing. Choose Excel for the web if your organization runs on Microsoft 365 or complex Excel workbooks; Smartsheet when a grid must manage projects and processes; Airtable for structured records, forms, and lightweight internal apps; monday.com for visual, status-driven work; and Zoho Sheet for a conventional, value-oriented spreadsheet.
These products are not interchangeable. Google Sheets, Excel for the web, and Zoho Sheet are traditional spreadsheets. Smartsheet, Airtable, and monday.com add project, database, or work-management structures that can be better for operations but weaker for unrestricted cell-by-cell modeling.

Real-time editing alone does not make a good team system. You also need to know who can edit, whether ranges or records can be protected, how external guests are handled, and what happens when two people change the same assumption.

Where it strains
Link sharing can expose information if owners do not restrict domains or named users. Large, heavily automated workbooks can also become difficult to govern. Business administration, storage, support, and advanced security belong to Google Workspace plans rather than a personal account; compare tiers at Google Workspace pricing. 2. Microsoft Excel for the web — best for Microsoft 365 teams
Excel for the web is the natural choice when workbooks live in OneDrive or SharePoint and the organization uses Teams, Outlook, or Microsoft identity. Browser versus desktop matters
Microsoft 365 Business Basic is listed at $7 per user per month when paid yearly and includes web and mobile Excel. Business Standard adds desktop Excel and the other core Office applications. Check the current Microsoft 365 business plans before committing.
Desktop Excel remains important for specialized add-ins, macros, Power Query, advanced data connections, and workbooks that do not behave identically in a browser. Treat “Excel online” and “Excel desktop” as related but different products.
Best fit
Finance teams, analysts, and organizations with years of Excel history benefit most. Teams seeking account-light guest sharing or a records-and-forms workflow may find another option easier.
3. Smartsheet — best for project and process management
Smartsheet keeps a familiar grid while adding project controls. Why it works operationally
- Owners, dates, dependencies, and status fields are first-class work data.
- The same information can be shown as a grid, Gantt chart, board, or calendar.
- Contributors and guests can participate without every person necessarily being a paid member, subject to plan rules.
Smartsheet is not a full Excel substitute. It is a better choice when the primary job is coordinating projects, resources, implementations, or repeatable processes rather than building unrestricted financial models.
4. Airtable — best spreadsheet/database hybrid

The free plan supports lightweight use. On paid plans, Airtable lists Team at $20 per user per month and Business at $45 per user per month when billed annually. Users with edit permissions are charged; read-only collaborators and form submissions are not charged on Team or Business according to the pricing FAQ. That can make Airtable economical for five editors and many submitters, but expensive when dozens of people must edit.
Trade-offs
Airtable is usually better than a spreadsheet for structured intake, content operations, recruiting pipelines, and inventory. It is usually worse for conventional workbook navigation, complex financial models, and unrestricted cell formulas. Check record, attachment, automation, and API limits before migrating; reaching a plan limit can stop additional records or attachments until usage is reduced or the plan changes.
5. monday.com — best visual work-management alternative
monday.com Work Management uses boards, status columns, owners, templates, dashboards, and automations. Its free plan supports up to two seats; the current pricing page lists Basic at $9 per seat per month and Standard at $12 when billed annually. Unlimited free viewers are listed on Basic, but limits vary by product area and plan.

Choose monday.com for campaign pipelines, task tracking, workloads, approvals, and recurring operational processes where visual status matters more than cell-by-cell analysis. Confirm that you are viewing Work Management pricing rather than monday CRM or monday service.

Calculate the bill for your actual pattern: three editors, 10 editors, 10 editors plus 25 viewers, or five editors plus 50 form submitters. Ask whether a price is per user, member, seat, or workspace; whether annual billing is required; and whether viewers, guests, contributors, storage, history, automations, AI, taxes, and implementation are included.

Google Sheets can be used with a personal account, but domain administration and business security generally require Workspace. Likewise, free browser Excel is not equivalent to desktop Excel, Microsoft storage, Teams, and administrative controls.
Collaboration, security, and scale checks
Before rollout, verify
- Simultaneous editing, presence indicators, comments, mentions, and notifications.
- Version history, restore points, and offline or conflict behavior.
- Protected ranges, columns, rows, sheets, or records.
- Guest access, link-sharing defaults, and external-user removal.
- SSO, two-factor authentication, admin consoles, audit logs, retention, DLP, data residency, and compliance features on your specific plan.
Security is plan-specific. Google’s Workspace comparison at workspace.google.com/pricing.html and Microsoft’s plan comparison at microsoft.com show that advanced controls are not present in every tier.
Test representative data
Import a real but sanitized workbook containing formulas, pivots, external links, macros, conditional formatting, and large ranges. Check calculations, formatting, refresh behavior, and export fidelity. Browser performance depends on formulas, volatile functions, integrations, add-ons, concurrent editors, and record count—not simply a quoted maximum row number.
When a spreadsheet should become another system
Move toward a database, CRM, ERP, project platform, or planning application when the file has become mission-critical and:

Smartsheet, Airtable, and monday.com can solve part of this transition, but they are not identical replacements for a governed database or enterprise system.

- Inventory workbooks, owners, dependencies, and sensitive fields.
- Choose one pilot process rather than migrating everything at once.
- Remove duplicate files and define a single source of truth.
- Test imports, formulas, integrations, and exports with representative data.
- Create permission groups and protect formulas or controlled fields.
- Set naming, status, date, and data-entry conventions.
- Define version, backup, retention, and recovery policies.
- Calculate editor, member, contributor, viewer, and form-submission costs.
- Train users on comments, assignments, and change review.
- Review access and usage quarterly.
Final recommendation
Start with Google Sheets for most collaborative, general-purpose teams. Select Excel for the web when Microsoft 365 and Excel compatibility drive the decision. Choose Smartsheet, Airtable, or monday.com when the spreadsheet has become a project, record, or workflow system. Choose Zoho Sheet when conventional spreadsheet capability, an existing Zoho environment, and cost are more important than the largest ecosystem.
