There is no single best professional services automation (PSA) platform for every firm. Kantata and Certinia suit organizations with complex resource and financial workflows; BigTime is a strong finance-led mid-market candidate; Scoro and Productive are worth comparing for agencies; Rocketlane focuses on client onboarding and implementation; and Hello Bonsai is a lighter option for solo operators. The right shortlist depends on how you sell, staff, deliver, and bill work—and on which systems you already use.
This comparison covers 12 products across enterprise, mid-market, vertical, agency, onboarding, and small-firm use cases. Treat listed prices as screening signals, not quotes: plans, billing terms, required modules, and implementation costs differ.
What PSA software does—and what it does not
Professional services automation software connects the people, projects, and financial results of client work. A PSA platform may carry an opportunity or estimate into project planning, staff allocation, time and expense capture, budget tracking, billing, and operational reporting. More mature systems may also support revenue forecasting or recognition, work in progress (WIP), and portfolio-level capacity analysis.
A project-management tool can be excellent for tasks, deadlines, and collaboration without being a PSA. The distinction matters when a firm needs to know whether the right people are available, whether a project is profitable, how much work is billable, or what should be invoiced.

Not every firm needs a full PSA. A small team with simple projects may be well served by a project tool, a time tracker, and accounting software. Warning signs that the combination is no longer enough include repeated spreadsheet reconciliation, staffing conflicts, late or inconsistent timesheets, missed billable work, and an inability to forecast project margin or capacity.
12 PSA tools, matched to different kinds of firms
The products below are not interchangeable. Some are broad PSA suites, some are vertical or ERP-connected systems, and others are specialized or lightweight alternatives. “Best for” describes a use case, not an overall ranking.
1. Kantata — complex resource planning and services delivery
Best for: Mid-market and enterprise services organizations that need detailed resource management, forecasting, and project financial visibility.
Kantata’s product family brings together the former Mavenlink and Kimble lineages. It offers Kantata OX, associated with Mavenlink, and Kantata SX, associated with the Salesforce-native Kimble product. Its scope includes resource management, project and financial management, business intelligence, collaboration, and workflows. It is likely excessive for a small firm that mainly needs proposals, timesheets, and invoices. Pricing is sales-led in the cited coverage; request a quote that identifies modules, seats, implementation, and support.
2. Certinia Professional Services Cloud — Salesforce-native PSA
Best for: Organizations already standardized on Salesforce, or prepared to make Salesforce their central operating platform.
Certinia positions Professional Services Cloud as Salesforce-native, connecting project delivery, resources, and financial information with Salesforce records and workflows. Its wider offering includes financial-management and customer-success capabilities. That can be a strong fit for a Salesforce-centric firm, but buyers should establish whether they need Professional Services Cloud alone or additional Certinia components. Trade-off: Salesforce alignment can come with a more involved implementation and a broader licensing bill. Evaluate Salesforce and Certinia costs together, and confirm what implementation-partner support is required. It is a poor match for a small business seeking a quick, transparent, self-serve purchase.

SuiteProjects Pro merits evaluation when ERP integration is a central requirement. The available 2026 comparison coverage includes it on the shortlist, but does not establish current package details, feature entitlements, or public pricing. Confirm the current product name, licensing, billing and revenue workflows, and how much functionality depends on the wider NetSuite environment. The 2026 PSA comparison provides a market reference; Oracle’s NetSuite OpenAir resources are also relevant when discussing NetSuite project products.

Trade-off: The strategic case is strongest for a NetSuite customer. If the firm does not want NetSuite, an ERP-connected option may add unnecessary cost and implementation complexity. Get a current, configuration-specific quote rather than relying on a generic price or feature list.
4. Deltek Vantagepoint — architecture, engineering, and project accounting
Best for: Architecture and engineering practices, consulting firms, government contractors, and other project businesses with specialized accounting or compliance needs.

Evaluate its fit for CRM, project accounting, resource planning, and financial management together, and ask how the system handles the firm’s particular contract and compliance rules. Trade-off: Vertical specialization may be valuable, but can be more than a conventional marketing or design agency needs. Do not treat Vantagepoint as simply a higher-priced edition of Polaris PSA; assess them as distinct products. Current edition details, pricing, and implementation timelines should be confirmed with Deltek or an implementation partner.
5. Polaris PSA — resource optimization and quote-to-cash workflows
Best for: Services firms looking to connect resource allocation, time, billing, and project profitability.
Polaris PSA is described in marketplace and comparison coverage as supporting resource allocation and planning, project tracking, billing, invoicing, and quote-to-cash efficiency. Pricing signal: Capterra lists $29 per user per month, while another 2026 comparison reports $49 per user per month. Those conflicting signals are not a reliable quote; ask for current pricing and clarify the package, billing cadence, minimum seats, and integrations. Polaris may be more system than a solo consultant or small agency needs.
6. BigTime — finance-led PSA for mid-market firms
Best for: Consulting, IT, engineering, and accounting firms prioritizing time, expenses, WIP, billing, utilization, and financial reporting.
BigTime’s comparison materials emphasize finance-facing reporting, including project profitability, utilization, billing-cycle analytics, and connections to general-ledger data. Its Data Hub is described as supporting Power BI and Tableau. Evaluate how time and expense records become WIP and invoices, how project actuals reconcile to accounting, and which reports can be drilled through to underlying entries. Pricing signal: 2026 comparison coverage puts a starting point at about $20 per user per month; treat that as an indicative figure, not a confirmed quote. Trade-off: Its finance-first orientation may be less compelling for teams whose main need is customer-facing onboarding and collaboration. Verify accounting compatibility, migration needs, and the reporting available in the quoted tier.

7. Scoro — broad all-in-one coverage for agencies and consultancies
Best for: Small and midsize agencies or consultancies seeking sales, estimating, delivery, resources, time, and invoicing in one system.
Scoro describes coverage spanning CRM, estimates, project lifecycle management, resource planning, time tracking, expenses, invoicing, cost management, and reporting. That breadth can reduce the number of separate tools, but the buyer should test finance controls against actual accounting requirements. Its official site displays a starting-plan signal around $19.90 per user per month and advertises a 14-day trial. Check current terms and plan details at Scoro.
Scoro also promotes its ELI AI assistant. Treat AI as a demo item, not a reason to buy: ask what data it uses, whether its outputs are auditable, which plan includes it, and whether it can explain a forecast. Trade-off: A broad all-in-one workflow may not match a multinational firm’s specialized ERP, revenue-recognition, or deeply customized Salesforce needs.
8. Productive — agency operations and profitability
Best for: Creative, digital, and other project-based agencies that need resource planning, budgets, time tracking, and profitability visibility.

Confirm the current official price, plan, and user basis before comparing it with per-user rates. Trade-off: Firms with complex accounting or revenue-recognition requirements may need an ERP or finance-system integration rather than treating Productive as their accounting system.
9. Rocketlane — customer onboarding and implementation delivery
Best for: SaaS onboarding, implementation, and professional-services teams whose customers participate in delivery.
Rocketlane emphasizes client-facing delivery: test whether customers can see plans, milestones, dependencies, and requests, and whether internal teams can standardize onboarding through reusable templates. Trade-off: A strong customer-delivery experience does not automatically make a platform a finance-first PSA. If WIP, accounts receivable, revenue recognition, or project accounting is central, test those workflows carefully and confirm whether integrations or another system are needed.
10. Accelo — connected operations for service businesses
Best for: Small and midsize service businesses wanting to connect sales, service delivery, projects, time, and billing.

Its reporting and financial depth are characterized as more limited than finance-focused or enterprise-oriented alternatives such as BigTime, Scoro, or Certinia. Trade-off: It may suit a service business that wants a connected workflow but be a weaker fit for complex project accounting, revenue recognition, or enterprise resource optimization. Pricing is generally request-based in the cited coverage.
11. Projectworks — resource and financial visibility for growing consultancies
Best for: Smaller and midsize consultancies connecting project staffing, time, and financial data without immediately adopting a heavyweight enterprise suite.
Comparison coverage reports a starting point of about $17.10 per user per month when billed annually, alongside a 21-day trial and a demo. Check the current plan and terms on Projectworks pricing; the comparison is available from The Digital Project Manager.
Trade-off: Before choosing, validate regional invoicing and tax requirements, currencies, and accounting or payroll integrations. A growing consultancy may find the scope appropriate, but should not assume feature parity with Kantata, Certinia, or NetSuite.
12. Hello Bonsai — lightweight client and project administration
Best for: Freelancers, independent consultants, and micro-firms handling clients, proposals, contracts, projects, time, and invoices.
Hello Bonsai offers a lighter way to manage basic client and project administration than an enterprise PSA. Secondary 2026 coverage reports a price around $15 per user per month and a seven-day trial; confirm the current plan and terms at Bonsai. It is a lightweight PSA alternative, not a functional equivalent to a complex enterprise suite.
Trade-off: Firms needing advanced capacity forecasts, utilization management, multi-level project accounting, WIP, or revenue recognition should assess a fuller PSA rather than stretching a solo-focused tool beyond its intended role.

Budget beyond subscription fees. A PSA purchase can also involve data migration, process design, implementation consulting, integration work, training, and continuing administration. Enterprise platforms may quote separately for modules or impose minimum seats; a low advertised starting price may omit finance, analytics, portal, or advanced resource features.
How to choose a shortlist
Start with the operating model rather than the feature count. Write down how the firm sells and delivers work, what finance must control, which system owns each record, and how much change the organization can absorb.
Match the system to the way you sell work
- Time and materials or staff augmentation: Test rate cards, time approvals, utilization, and time-to-invoice.
- Fixed fee or milestones: Test estimates, scope changes, budget-versus-actuals, milestone billing, and margin forecasts.
- Retainers or managed services: Test recurring work, drawdown visibility, renewals, and overage handling.
- Government or regulated contracts: Confirm the required audit trail, cost structures, compliance reporting, and approval controls.
- Customer onboarding and implementation: Test customer access, repeatable plans, handoffs, and milestone communication.
Assess finance and resource-management depth
List which of these are essential rather than merely desirable: multiple legal entities or currencies, WIP, accruals, revenue recognition, deferred revenue, intercompany work, audit trails, role-based rates, soft and hard bookings, skill matching, capacity forecasts, scenario planning, and contractor management. The more complex the requirement, the more important a finance or resource specialist should be in the demo.
Higher utilization is not automatically better. Teams need capacity for business development, training, internal work, management, quality assurance, and time off. Define productive utilization alongside the assumptions behind it; a dashboard that maximizes billable hours without showing those trade-offs can mislead.
Map systems and data ownership
Existing software can narrow the list: Salesforce-centric firms can examine Certinia and Kantata SX; NetSuite customers can assess SuiteProjects Pro; firms evaluating QuickBooks or Sage connectivity can investigate BigTime; agencies can compare Scoro, Productive, and Accelo; onboarding teams can consider Rocketlane. Treat these as shortlist cues, not guarantees of compatibility.

Ask which system is authoritative for customer and project records, rates, invoices, payments, and recognized revenue. An accounting integration does not mean the PSA replaces accounting software. Confirm how corrections synchronize, what happens when an exported invoice changes, and how data is reconciled to the general ledger. Reporting should let users drill from a KPI to its project, invoice, person, or time entry, and finance should be able to reconcile the result.
Check the implementation burden
Implementation estimates in 2026 comparison coverage range from weeks for some mid-market or delivery-focused products to months for complex enterprise deployments. One comparison cites 2–4 weeks for Rocketlane, 4–8 weeks for Accelo and Scoro, 30–90 days for BigTime, and 6–12 months for Kantata and Certinia. These are secondary estimates, not guarantees; scope, integrations, historical migration, business units, data quality, finance requirements, and user adoption can change the timeline. Before signing, identify an internal owner, administrator, executive sponsor, and finance lead. Decide who will clean project codes and rate cards, design approval rules, migrate historical data, test accounting reconciliation, and train users. PSA software cannot resolve inconsistent definitions of billable time, cost, margin, utilization, backlog, or forecast without agreed operating rules.
Run every vendor through the same demo
Ask each vendor to demonstrate the same realistic project, including at least one scope change and one financial correction. Do not settle for a slide deck or a feature checklist.
- Create a lead or opportunity and convert it into a proposal or project.
- Estimate roles, hours, costs, and billing rates; show how assumptions are stored.
- Allocate people using skills and availability, then expose a conflict or capacity constraint.
- Change the project scope and show the effect on budget, staffing, forecast, and approval history.
- Capture billable and non-billable time, then correct a submitted timesheet.
- Submit and approve expenses, including any markup or client-billable treatment.
- Compare budget, actual cost, forecast, and margin at project and portfolio levels.
- Generate an invoice using the relevant billing model and show a credit, reversal, or change-order workflow.
- Show utilization, backlog, profitability, and capacity dashboards, then drill into the underlying records.
- Export or integrate the data with the accounting and BI systems the firm actually uses.
- Show who can change rates, approve time, alter a project, and access financial data.
- Ask the vendor to explain licensing, migration scope, implementation roles, support, and the features excluded from the quoted plan.
For AI features, ask whether an output is predictive or generative, what data it uses, whether it takes action, how a forecast can be explained, whether outputs are auditable, and whether the feature is generally available or plan-limited. Product marketing alone does not establish how well an AI feature will work with your data.
