The right email-marketing platform depends on your active contacts, monthly sends, automation complexity, customer data, channels and budget. The ten tools below are full email service providers or marketing-automation platforms—not standalone copy generators—so they can store consented contacts, send campaigns and measure results. Prices, limits and features vary by country, billing term, list size and plan; verify the linked vendor page before buying.

What counts as an email-marketing technology tool?

An email service provider (ESP) supplies the editor, templates, subscriber database, sending infrastructure, forms and campaign analytics. Marketing-automation platforms add event triggers, branching workflows, lead scoring and CRM synchronization. Ecommerce platforms add product catalogs, browsing events, order data and revenue attribution. Transactional infrastructure such as Amazon SES is designed for receipts and password resets, not visual newsletters or consent workflows. Supporting tools for copy, design, list cleaning or deliverability testing can complement an ESP but do not replace one.

How to choose

Model contacts and sends

Count active billable contacts, total stored contacts and expected monthly messages. Contact pricing can penalize inactive records; send-based pricing can favor a large, lightly mailed list but become expensive for frequent newsletters. Add SMS, WhatsApp, transactional email, extra seats, premium templates, dedicated IPs, overages and annual-versus-monthly billing to the calculation.

Match the workflow

List the campaigns you actually need: broadcasts, onboarding, lead nurture, abandoned cart, post-purchase, reactivation or event reminders. Check whether the builder supports event triggers, branches, exit conditions, frequency caps and purchase suppression rather than assuming every “automation” label means the same thing.

Check data and integrations

Verify native or third-party connections to Shopify, WooCommerce, BigCommerce, Magento, Salesforce or your CRM; identify which events and plans are supported. Evaluate segmentation by demographics, engagement, browsing, purchases, lead score and custom events, plus conversion, revenue, cohort and lifetime-value reporting.

Check team, privacy and migration needs

Review seats, permissions, approvals, audit logs, agency support, export and deletion controls, data-processing terms and regional obligations. A migration must preserve consent sources, suppression lists, forms, event tracking and automation logic; sending from a new domain also requires authentication and reputation monitoring.

1. Mailchimp

Best for: Beginners, small businesses and teams wanting a familiar general-purpose platform. Its campaign editor, templates, forms, automations, analytics and large integration ecosystem cover ordinary newsletter and promotional work. See the email-marketing overview.

Pricing and fit: Pricing is mainly contact-based, with plan restrictions and potential charges for inactive contacts; confirm current free limits at pricing. Basic autoresponders are easier than sophisticated behavioral journeys. It is a poor fit when event-level ecommerce attribution, complex branching or a CRM-native sales process is central. Choose it for a recognizable, broadly capable starting point—not as an automatic cheapest option.

2. HubSpot Marketing Hub

Best for: Organizations already using HubSpot CRM or needing marketing and sales data in one record. Forms, landing pages, contact properties, lead handoff and customer-journey reporting connect email activity to pipeline work.

Pricing and fit: HubSpot’s pricing page lists 2,000 email sends per calendar month with HubSpot branding on the free allowance; paid sending scales with marketing-contact tiers and can remove branding. Advanced automation requires higher tiers, and costs rise with contacts. It is excessive for occasional bulk sends but valuable when sales visibility matters.

3. Brevo

Best for: Businesses with substantial databases or frequent sending that do not want cost determined solely by contact count. Brevo describes segmentation by demographics, website activity, campaign engagement and custom events on its marketing-platform page.

Pricing and fit: The ecosystem combines email, automation, forms, reporting, SMS and transactional messaging; compare send volume and channel charges at pricing. Contact-based services can be cheaper for a small, highly engaged list, while advanced automation or reporting may require a higher tier. Vendor privacy claims are not a blanket compliance guarantee.

4. ActiveCampaign

Best for: Lead nurturing, behavioral segmentation and complex lifecycle programs. Multi-step branches, event triggers, predictive sending, CRM actions, SMS and WhatsApp extensions support sophisticated journeys; the vendor lists more than 1,000 app connections.

Pricing and fit: Contact count, plan and add-ons determine cost on pricing. It is powerful for sales automation but harder to learn than newsletter-first tools. Avoid it when you only send occasional broadcasts and need minimal setup. Its comparison guide explains the feature positioning.

5. Klaviyo

Best for: Ecommerce brands using customer, browsing and purchase data for abandoned-cart, post-purchase, win-back and recommendation campaigns. Profiles and segments can use shopping behavior, product events and revenue data; see email marketing and segmentation.

Pricing and fit: The listed free plan allows up to 250 profiles and 500 email sends per month, with limited mobile-message credit and initial email support; details are on pricing. The vendor advertises more than 350 apps. Profile-based billing can become expensive, and clean event tracking is essential. A newsletter-only business generally will not use enough ecommerce data to justify it.

6. Omnisend

Best for: Ecommerce operators wanting email, SMS and push notifications with product- and order-based flows. Prebuilt welcome, cart and post-purchase automations shorten setup; features are listed at the product page.

Pricing and fit: The free plan lists up to 250 contacts and 500 emails monthly. When checked, the displayed Standard example was $11.20 per month for 500 contacts and 6,000 emails; prices and promotions vary by region, billing choice and list size, so use current pricing. SMS costs vary by destination. It is a poor substitute for a complex B2B CRM.

7. MailerLite

Best for: Small businesses and creators wanting straightforward newsletters, forms, landing pages and basic automation. The listed free tier supports up to 250 subscribers and includes features such as tags, dynamic segments, automations and landing pages; confirm limits at pricing.

Its simple editor reduces setup friction, but advanced automation, reporting, CRM objects and ecommerce attribution may require paid tiers or another platform. Choose it when publishing and lightweight lead capture matter more than sales-pipeline governance.

8. Kit

Best for: Authors, coaches, course sellers, newsletter operators and other creators. Kit combines broadcasts, forms, landing pages, subscriber tags and visual automations for creator-led funnels.

The pricing page lists a $0/month Newsletter plan for up to 1,000 subscribers, unlimited broadcasts, landing pages and forms, and limited automation, plus a 14-day trial for paid functionality. It is not designed to replace a product-catalog ecommerce system, enterprise CRM or broad multichannel orchestration.

9. GetResponse

Best for: Businesses combining email with landing pages, conversion funnels, webinars or courses. Autoresponders and workflow automation sit alongside those acquisition tools; see features.

Its pricing page states monthly plans begin at $19 for unlimited messages to 1,000 subscribers, with longer-term discounts. Distinguish email-only plans from tiers that include webinars, funnels or advanced automation. The wider package is useful for conversion campaigns but unnecessary for a minimalist newsletter.

10. Constant Contact

Best for: Local businesses, nonprofits, event organizers and teams that value human support and simple campaign management. Campaign creation, events, social tools, contact management and live phone/chat support suit less technical teams.

Current listed starting prices are $12/month for Lite, $35/month for Standard and $80/month for Premium. Final cost depends on contacts and send allowances, and overage charges may apply. Nonprofit and annual-prepayment discounts can matter. Advanced segmentation and event-based journeys are less flexible than in ActiveCampaign, Klaviyo or HubSpot.

Best shortlist by scenario

  • Under 1,000 subscribers: Compare MailerLite, Kit, Brevo, Omnisend and Klaviyo free tiers against their send, branding and automation caps.
  • Creator or newsletter business: Kit or MailerLite.
  • General small-business marketing: Mailchimp or Brevo.
  • Complex lead nurturing: ActiveCampaign.
  • CRM-centered organization: HubSpot.
  • Shopify or other ecommerce brand: Klaviyo or Omnisend.
  • Ecommerce plus SMS or push on a tighter budget: Omnisend or Brevo.
  • Local business or nonprofit needing support: Constant Contact.
  • Email plus webinars and funnels: GetResponse.
  • Large, infrequently mailed list: Compare contact-based totals with Brevo’s send-volume model; for frequent sends, model both contacts and monthly volume.

Deliverability and compliance checklist

No provider can guarantee inbox placement. Google says ESP use does not guarantee passage through Gmail filters (sender guidelines). For messages to personal Gmail accounts, all senders need SPF or DKIM, valid forward and reverse DNS, TLS and RFC 5322-compliant formatting. Senders delivering more than approximately 5,000 messages per day to Gmail accounts additionally need SPF, DKIM, DMARC, aligned authentication and one-click unsubscribe for marketing mail. Google says bulk-sender spam rates above 0.3% can make senders ineligible for delivery mitigations (spam-rate guidance).

  • Authenticate your sending domain with SPF and DKIM, then publish aligned DMARC.
  • Use permission-based acquisition, never purchased or scraped lists; retain consent source and date. Google’s subscription guidance is at this page.
  • Provide a visible unsubscribe link and one-click unsubscribe where required; suppress unsubscribed, bounced and complaining addresses.
  • Run re-engagement campaigns, then suppress chronically inactive recipients. Open rates are imperfect because privacy protections and automated opens distort them.
  • Separate promotional and transactional streams, avoid misleading sender names or subjects, and increase volume gradually.
  • Use Google Postmaster Tools to monitor delivery errors, spam reports, authentication and compliance status; dashboard changes can take time to appear.
  • Review CAN-SPAM, GDPR/ePrivacy, CASL and other regional obligations with qualified advice. A vendor’s “GDPR compliant” statement does not make your consent, retention or data flows compliant.

Pricing and migration checks before switching

  1. Write down active contacts, inactive stored contacts, monthly sends, SMS volume, required users and automations.
  2. Price the exact list size and region on monthly and annual billing, including overages, branding, premium features and extra channels.
  3. Export contacts with consent records, custom fields, tags, suppression lists and source attribution.
  4. Inventory forms, landing pages, integrations and every automation trigger, branch, exit condition and frequency cap.
  5. Rebuild and test ecommerce events; verify that buyers leave prospect sequences and abandoned-cart messages stop after purchase.
  6. Authenticate and warm the new sending domain, keep the old provider from sending duplicate campaigns, and test unsubscribe, bounce and complaint handling.
  7. Run a controlled launch, monitor Gmail and other mailbox-provider signals, then retire the old account only after exports and compliance records are verified.

Common failure modes to prevent

  • Choosing a “free” plan without checking contact, send, branding, support and automation limits.
  • Leaving inactive contacts in a contact-billed database.
  • Triggering a welcome series twice, overlapping automations or omitting an exit condition.
  • Sending an abandoned-cart reminder after a purchase because the purchase event is missing or delayed.
  • Failing SPF, DKIM or DMARC alignment, spiking volume, or mixing transactional and promotional traffic.
  • Assuming AI copy assistance can compensate for poor segmentation, consent records, data quality or testing.
