How to choose an ATS for your hiring process
Start with the work your team needs the system to do, rather than a generic “best ATS” label. A platform with extensive controls may suit complex, structured hiring but add unnecessary implementation and workflow overhead to simpler recruitment. A CRM-style system may help a team nurture candidates over time; an analytics-oriented tool may be valuable when funnel visibility is a priority. These are fit questions, not proof that a product will deliver a particular hiring outcome.
- Hiring scale and complexity: Map the number and types of roles, hiring teams, approval steps, and locations the system must support.
- Structured interviews and governance: Identify where your process requires consistent stages, interview plans, permissions, or approvals, then ask vendors to demonstrate them.
- Sourcing and candidate relationships: Decide whether you need only applicant tracking or also proactive sourcing and ongoing candidate nurture.
- Analytics and reporting: Bring real recruiting questions to a demo, such as where candidates exit the funnel or how teams track stage progress. Confirm that the proposed package can answer them.
- HRIS/HCM integrations: Check compatibility with your current systems and clarify which integrations are included, supported, or separately priced.
- Adoption and candidate experience: Have recruiters, hiring managers, and candidates walk through the relevant tasks, rather than evaluating only an administrator’s view.
- AI features and controls: Ask which features are available in the exact plan and region, how they work, and what controls apply. AI claims alone do not establish validity, fairness, or legal compliance.
What ATS pricing tells you—and what it does not
Pricing is often quote-based, especially for enterprise platforms, and published starting prices are not like-for-like comparisons. A 2026 vendor-authored comparison by Lever reports starting prices of $400 per month for Ashby Foundations and $14,995 per year for SmartRecruiters Essential. Ask vendors for a proposal that itemizes implementation, support, modules, integrations, user counts, hiring volumes, data migration, renewal terms, and contract length. Compare the same requirements and time period across proposals; a low starting price may not cover the functions or service your team needs.

- Can you show our actual workflow? Use a representative role and follow a candidate through application, screening, interviews, decisions, and offer.
- What will each user see and do? Test recruiter and hiring-manager tasks, permissions, approvals, and notifications.
- How will we measure recruiting? Ask the vendor to build or display reports that address your team’s real funnel and operational questions.
- What happens to our data? Confirm migration support, export options, and how candidate records move if you leave.
- Which integrations and AI tools are included? Get the exact package, regional availability, dependencies, and any extra charges in writing.
- What is the full contract cost? Request line items for implementation, support, modules, integrations, user or volume limits, renewal terms, and the contract period.
- Can we speak with comparable customers? Ask for references with a similar hiring scale, workflow, and HR technology environment.
Vendor-authored comparisons are useful for discovering candidates to evaluate, but they are not independent validation of performance. Confirm current functionality with the vendor and seek reference-customer feedback before committing.
