Melio is the best overall choice for flexible small-business vendor payments; QuickBooks Bill Pay is best for QuickBooks Online users; BILL is best for approval-heavy AP and AR; Stripe is best for collecting recurring B2B payments; and PayPal Bill Pay is best for businesses already centered on PayPal. These products are not interchangeable: some pay supplier bills, some collect customer invoices, and some provide accounting-native or developer infrastructure.
What counts as B2B payments software?
B2B payments software can cover one or several stages of a business transaction:
- Paying vendor bills and contractors by ACH, card, check, or wire
- Collecting customer invoices, payment links, and recurring payments
- Card-funded vendor payments when a supplier does not accept cards
- Invoice capture, OCR, approvals, permissions, and audit trails
- Accounting synchronization, reconciliation, and payment-status matching
- W-9 and 1099 workflows
- APIs, checkout, subscriptions, and embedded payment experiences
A platform built mainly to accept online card payments is not automatically a replacement for accounts-payable software. Stripe, for example, is excellent for collecting money but is not a conventional substitute for bill intake, vendor approvals, and AP reconciliation.

- Methods: Compare standard ACH with card funding, checks, wires, virtual cards, PayPal balance, and local payment methods.
- Total cost: Include subscription seats, accounting software, transaction allowances, card, check, wire, expedited, instant, and currency-conversion fees.
- Accounting fit: Verify whether QuickBooks Online, QuickBooks Desktop, Xero, NetSuite, Sage Intacct, or another system receives two-way status, vendor, attachment, class, location, credit, and reconciliation data.
- Automation and controls: Check invoice capture, recurring payments, reminders, auto-pay, amount-based approvals, separation of duties, roles, and audit logs.
- Vendor experience: Find out whether a supplier needs an account, which delivery method it receives, who pays receiving fees, and how rejected bank details are handled.
- Timing and geography: Distinguish initiation, processing, delivery, and bank-posting times, including cutoffs, weekends, holidays, and international restrictions.

1. Melio: best overall for flexible SMB bill pay
Melio lets a business pay suppliers by ACH, wire, check, or card, including funding a payment by card when the vendor does not accept cards directly. It also provides invoice creation, payment links, recurring payments, accounting synchronization, and international-payment capabilities. See Melio and its small-business overview.
Best fit
- Small businesses paying contractors and suppliers
- Owners who value card float or rewards
- QuickBooks or Xero users wanting a separate payment layer
- Businesses needing outgoing payments plus basic invoicing
Current pricing signal
Melio’s public pricing page lists Go at $0 per month, Core at $25, Boost at $55, and Unlimited at $80 on monthly pricing. Go is limited to one user and includes five free ACH payments per month; additional ACH payments are listed at $0.50 each. Allowances and user charges vary by plan.
Trade-offs
Card-funded payments generally cost materially more than ACH, so calculate the financing or cash-flow value before using a card routinely. The free tier is not unlimited. Also, the QuickBooks Bill Pay powered by Melio integration was discontinued in May 2024; the standalone Melio product continued. Melio’s notice documents that change.

2. QuickBooks Bill Pay: best for QuickBooks-native workflows
QuickBooks Bill Pay keeps bills, vendors, approvals, scheduling, payment status, and 1099-related workflows inside QuickBooks. Intuit introduced it on October 16, 2023, making it a significant 2024 option. Read the launch announcement and the current product and pricing page.

Best fit
It suits businesses already using QuickBooks Online, owners who want automatic reconciliation, modest bill volumes, and accountants managing several QuickBooks clients. It is less compelling for a Xero, QuickBooks Desktop, or non-QuickBooks operation.
Current pricing signal
The current page shows Basic included with the QuickBooks subscription; Premium at a displayed $15 standard price (with a $7.50 promotion); and Elite at $45 standard (with a $22.50 promotion). Standard ACH is advertised as free, checks at $1.50, Faster ACH at $10, and instant payments at 1% with a $10 minimum and $100 maximum. QuickBooks Online subscription charges are separate; the page says plans start at $38 per month, subject to change and promotions.
Timing and limits
QuickBooks says payments scheduled before 5 p.m. Pacific Time on business days begin processing the same day; Faster ACH is generally delivered the next business day when scheduled before the stated cutoff. Actual arrival depends on eligibility, bank acceptance, weekends, holidays, and vendor information. Features vary by QuickBooks plan.
Verdict: Pick it when keeping bill records and payment status in QuickBooks is more valuable than using a standalone platform.
3. BILL: best for AP/AR automation and approvals
BILL combines accounts payable and receivable: bill intake, approval workflows, ACH, virtual and credit cards, invoice creation, reminders, accounting synchronization, and a vendor network. Its pricing page lists connections or synchronization with QuickBooks, NetSuite, Sage Intacct, Microsoft Dynamics, and other systems, with capabilities differing by accounting software.
Best fit
BILL is aimed at companies that have outgrown basic bill pay, use several approvers, need AP and AR together, or require roles, auditability, and structured controls.

Public pricing lists Essentials at $49 per user per month, Corporate at $89 per user per month, and Enterprise at custom pricing. Payment-method fees are separate from the software subscription.
Trade-offs
Per-user pricing can be excessive for a sole proprietor with only a few monthly bills. Advanced controls, multi-entity support, SSO, API access, and priority support may require higher or custom tiers. Confirm exactly what your accounting integration synchronizes.
Verdict: BILL is the strongest fit when approvals, separation of duties, and a formal AP/AR process justify a higher subscription.
4. Stripe: best for B2B collections, billing, and embedded payments
Stripe is designed primarily for getting paid: invoices, payment links, checkout, recurring billing, subscriptions, bank transfers, cards, wallets, local methods, and APIs. See Stripe Billing pricing and general pricing.

It fits SaaS companies, agencies, professional-services firms, and B2B businesses embedding payments in a website or product, especially those with developer resources or a technical implementation partner.
Current pricing signal
Stripe Billing advertises pay-as-you-go pricing of 0.7% of Billing volume, displayed monthly tiers beginning around $620 per month depending on volume, and custom pricing for larger or unusual models. Total cost varies by payment method, geography, disputes, refunds, currency conversion, and account arrangement.

Why it is not AP software
Stripe does not automatically replace supplier-bill intake, multi-step vendor approvals, AP coding, or traditional payment reconciliation. Large invoices paid by card may also cost more than ACH, and webhooks, failed payments, tax handling, and disputes can require technical operations.
Verdict: Use Stripe when customers need to pay you or you need programmable billing—not when the central problem is paying vendors.
5. PayPal Bill Pay: best for PayPal-centered businesses
PayPal Bill Pay allows U.S. business-account holders to pay vendors using a PayPal balance, bank transfer, or card. Vendors can receive ACH, checks, wires, or PayPal funds and do not need a PayPal account to receive payment, according to the product page.
Best fit and geography
It is convenient for businesses already collecting customer money through PayPal and mainly paying U.S. vendors. The cited product is limited to U.S. PayPal business accounts paying vendors within the U.S.; international use can add currency and disbursement charges.
Current pricing signal
PayPal’s business-fee schedule says there is no subscription or sign-up fee for Bill Pay. Funding from a PayPal wallet or bank account is generally waived, while debit- or credit-card funding is listed at 2.9%; delivery-method and currency fees may also apply.
Trade-offs
A 2.9% card fee can overwhelm rewards on a large invoice. Businesses needing detailed coding, multi-step approvals, or deep accounting controls will generally find BILL or QuickBooks Bill Pay more suitable.

Calculate the real cost before switching
Use this annual-cost model:
Annual software cost + ACH overage fees + card-funded fees + check fees + expedited fees + wire fees + accounting-software cost + currency-conversion costs
- Do not treat “free ACH” as unlimited; allowances may be plan-dependent.
- Compare the cost of card funding with the value of rewards or the financing period. A 2.9% fee is rarely justified solely for points.
- Include every user seat and the bookkeeping subscription, especially with QuickBooks.
- For international payments, model exchange-rate spreads, SWIFT charges, country restrictions, withholding, beneficiary checks, and slower settlement.
Controls and migration checks
Before implementation, document who can create a vendor, edit bank details, approve a bill, and release payment. For employee-based teams, look for amount- or vendor-based approval rules, separation of duties, dual control, permissions, and immutable audit logs.
Test the accounting connection with duplicate vendors, multi-line bills, credits, attachments, classes, locations, payment statuses, and bank reconciliation. Confirm whether synchronization is two-way rather than a simple export.

Ask vendors whether they must enroll, which rail they receive, who bears receiving fees, and whether delivery dates are estimates. Test rejected bank details and a small payment before migrating the full vendor list.
What changed around 2024
Intuit launched QuickBooks Bill Pay on October 16, 2023, bringing a QuickBooks-native AP option into the 2024 comparison. In May 2024, Melio announced that the Bill Pay powered by Melio integration with QuickBooks was discontinued. That was an integration change, not the shutdown of Melio’s standalone product. Because vendors change plans, fees, and integrations, a 2024 comparison should separate historical product availability from current pricing pages.
Final recommendation
Choose by payment direction and accounting stack, not by a single “best” ranking. Start with Melio for flexible SMB vendor payments, QuickBooks Bill Pay for QuickBooks-native work, BILL when controls and automation justify a subscription, Stripe for customer-facing billing and APIs, and PayPal Bill Pay when PayPal already runs the business’s payment activity. Recheck plan limits, transaction fees, delivery timing, vendor enrollment, and integration depth before signing up.
