The target state connects demand, purchasing, identification, assignment, support, utilization, refresh, retirement, data sanitization, and financial closure using trustworthy, continuously maintained records.
ISO/IEC 19770-1:2017 defines requirements for an IT asset management (ITAM) system and emphasizes establishing, maintaining, and continually improving it. Its implementation guidance progresses from reliable data to lifecycle integration and optimization (ISO standard; ISO committee guidance).
What IT asset lifecycle management includes
ITAM manages the financial, contractual, operational, and lifecycle aspects of technology. It overlaps with, but is not interchangeable with, related disciplines:
- Hardware asset management (HAM): physical equipment such as laptops, servers, network devices, monitors, spares, and appliances.
- Software asset management (SAM): licenses, entitlements, installations, usage, renewals, and compliance.
- Cloud and SaaS management: subscriptions, identities, consumption, reservations, resources, and vendor contracts.
- Configuration management: technical state and relationships between configuration items.
- IT service management (ITSM): service delivery, incidents, requests, changes, and support.
- IT asset disposition (ITAD): reuse, return, resale, recycling, destruction, and evidence handling.
A CMDB usually focuses on configuration items and service relationships; an ITAM repository also needs ownership, cost, contract, lifecycle, and disposition data. ServiceNow describes these distinctions and the financial, inventory, contractual, and lifecycle scope of ITAM (ServiceNow overview).

What belongs in scope
Include laptops, desktops, mobile devices, servers, storage, networking, printers, UPS systems, IoT or operational technology where relevant, perpetual and subscription software, operating systems, databases, middleware, open-source components, containers, virtual machines, cloud storage, managed databases, SaaS tenants, APIs, certificates, domains, and privileged-access services. Link each record to purchase orders, invoices, depreciation, cost centers, warranties, support agreements, entitlements, renewal dates, end-of-sale and end-of-support dates, assignments, and disposal certificates.
ISO/IEC 19770-1 applies across organizations and asset categories but does not prescribe a universal financial, accounting, or technical schema (ISO/IEC 19770-1).

ServiceNow documents comparable request, fulfillment, deployment, monitoring, service, and retirement activities, including automated procurement, swap, disposal, and retirement workflows (ServiceNow lifecycle documentation).
Build a trustworthy asset record
Minimum hardware fields
- Unique asset ID, manufacturer, model, serial number, category, and condition
- Acquisition or lease date, price, vendor, PO, warranty, and support dates
- Status, custodian, location, department, and cost center
- Discovery, endpoint-management, and security identifiers
- Expected replacement, end-of-sale, end-of-support, retirement, and disposal data
Additional software fields
- Publisher, product and edition, license metric, entitlements, term, and renewal date
- Installations, consumption, assigned users or devices, geographic and virtualization rights
- Support, maintenance, and contract costs
These are practical control fields, not a claim that ISO mandates one universal record format.

Assign authority to each fact
Define the system of record for ownership and lifecycle status, the discovery source for technical facts, ERP or procurement for financial data, endpoint management for device state, contract systems for entitlements, and the authority for support dates. Document source precedence and an exception queue when values conflict. NIST recommends connecting physical and virtual assets so management can see what exists, where it is, and how it is used (NIST SP 1800-5).
Normalize identities
Match records first on serial number, then hardware UUID, cloud resource ID, device-management ID, or entitlement ID. Use MAC addresses cautiously and never rely on hostnames alone. Flag ambiguous matches, retain source and last-seen dates, and never merge records without an audit trail.
Optimize each stage
Planning and procurement
Standard catalogs, approved vendors, architecture review, and budget ownership reduce exceptions. Before buying, check stock, redeployment opportunities, overlapping applications, existing commitments, and contract restrictions. Require an approved PO or documented exception for every acquisition.
Receiving and deployment
Scan serials at receipt, tag equipment before deployment, reconcile quantities to the PO and invoice, record ownership type (owned, leased, rented, donated, or vendor-provided), enroll the device in endpoint management, and capture acceptance by the custodian.

Operations and discovery
Discovery can reveal connected devices, installed software, cloud resources, virtual machines, and unmanaged assets. It cannot by itself establish financial ownership, contractual permission, business need, data sensitivity, or renewal status. Lansweeper emphasizes continuous discovery across IT, OT, IoT, and cloud; Flexera emphasizes normalized inventory and license analysis across on-premises, cloud, SaaS, and containers (Lansweeper; Flexera).
Utilization and license optimization
Distinguish installed, assigned, active, entitled, compliant, and business-critical. Validate inactivity with the business owner before reclaiming a seat or deleting a resource. Review idle hardware, stockroom aging, duplicate subscriptions, low-utilization cloud capacity, maintenance on retired equipment, and applications with overlapping functions.
Refresh decisions
Do not use age alone. Rank assets by unsupported status, critical vulnerabilities, repeated failures, high operating cost, warranty or lease deadlines, incompatibility, productivity impact, parts availability, data sensitivity, residual value, and migration cost. Lifecycle dates should be verified against the current manufacturer or publisher policy; Lansweeper provides end-of-sale and end-of-support views for planning (lifecycle management; lifecycle information).
Retirement and disposal
Obtain owner approval, complete migration, remove the asset from production, revoke credentials, certificates, tokens, VPN access, and management agents, preserve required records, and select reuse, return, resale, recycling, or destruction. Apply an approved sanitization method appropriate to the media, data sensitivity, policy, and legal requirements; a factory reset is not universally sufficient. Capture chain-of-custody and vendor evidence, cancel support and leases where applicable, and close the record.

Connect ITAM to security, finance, and ITSM
- Send inventory to vulnerability management and flag unsupported systems for remediation.
- Use assignments to support identity, conditional-access, and offboarding controls.
- Link software inventory to application-risk and entitlement reviews.
- Propagate procurement, HR joiner/mover/leaver, endpoint, EDR, service-desk, CMDB, cloud, SaaS, contract, and finance events.
- Use asset data to stop maintenance payments and subscriptions after retirement.
ITAM improves visibility and supports these controls; it does not itself secure devices or prove regulatory compliance. ServiceNow documents connections to governance, risk, compliance, and software-support checks (ServiceNow risk documentation).
Operational workflows
New hardware
- Submit a standardized request; obtain manager and budget approval.
- Check stock and redeployment before procurement.
- Buy from an approved vendor.
- Match shipment, PO, and invoice at receiving.
- Record asset ID, serial, warranty, and support dates.
- Apply security configuration and endpoint enrollment.
- Assign the device or stock location and record acceptance.
Employee offboarding
- Trigger from HR or the identity system.
- Identify devices, accessories, licenses, and SaaS seats.
- Revoke access and recover equipment, escalating loss.
- Assess condition and preserve or sanitize data as required.
- Repair, redeploy, store, sell, recycle, or destroy.
- Update asset, license, contract, and exception records.
Software renewal
- List contracts renewing within the chosen horizon.
- Compare entitlements, installations, assignments, and usage.
- Validate critical users and application overlap.
- Review changed metrics, editions, terms, and cancellation rights.
- Negotiate quantity, term, support, and conditions.
- Update the entitlement record, approval, and next review date.

Define “inventory accuracy” by fields and date—for example, the percentage of records whose existence, owner, location, and technical identifier were validated within the target period. Do not present a single accuracy percentage without that definition.

Phase 1: Scope and ownership
Name an executive sponsor, process owner, data owners, security and compliance contacts, in-scope categories, objectives, existing systems, and required reports. Start with a bounded scope such as corporate laptops and software subscriptions.
Phase 2: Data model
Define lifecycle states, required fields, allowed values, naming and identifier rules, ownership roles, source precedence, retention, exceptions, and audit history. States may include ordered, received, in stock, reserved, deployed, repair, lost, stolen, pending refresh, retired, sanitized, reused, resold, recycled, destroyed, and closed.

Phase 3: Reconciliation
Combine procurement, finance, endpoint, discovery, service-desk, contract, stockroom, and spreadsheet data. Prioritize unsupported and security-sensitive production assets rather than perfecting low-value history first.
Phase 4: Automation and integration
Automate PO imports, receiving, barcode or QR tagging, assignments, joiner/mover/leaver events, endpoint reconciliation, warranty and renewal alerts, stock replenishment, retirement approvals, and disposal evidence. Integrate ERP, HR, identity, MDM, EDR, vulnerability, ITSM, CMDB, cloud, SaaS, contracts, and finance without duplicating every fact in every system.
Phase 5: Optimization and continual improvement
Once data quality is acceptable, reclaim licenses, redeploy hardware, review maintenance, forecast refreshes, identify unsupported systems, compare cloud consumption with commitments, standardize catalogs, and conduct monthly data reviews, quarterly license and refresh reviews, physical audits, annual policy reviews, and post-disposal evidence audits.
Common failure modes
- Spreadsheet-only control: weak concurrency, auditability, integrations, and automation.
- Discovery-only programs: technical visibility without ownership, entitlement, cost, or disposal governance.
- Duplicate identities: one device appears under procurement, endpoint, network, CMDB, and service-desk identifiers.
- Stale telemetry: a missing check-in may mean travel, power-off, reimage, agent failure, loss, or retirement—not proof of nonexistence.
- Leases and vendor ownership: return condition, sanitization, accessories, and billing closure differ from owned assets.
- BYOD: separate corporate data and applications from personal ownership, privacy, wipe authority, and legal holds.
- Cloud drift: resources need account ownership, tags, cost centers, data classification, expiration, access, backup, and commitment records.
- License ambiguity: installed, assigned, used, and licensed are different; virtualization, indirect access, bundles, and geography complicate counts.
- Retirement without access revocation: deleting a record while certificates, tokens, accounts, or agents remain active.
Choosing ITAM software
Select the least complex product that supports your asset scope, controls, integrations, evidence, and operating capacity.

Best for hardware assignment and stock control, not complex SAM or cloud optimization.
- Lansweeper: its August 18, 2026 page showed free use up to 100 assets after a 14-day trial, Starter from approximately $199 monthly billed annually and Pro from approximately $379 with 2,000 assets, plus quote-based Enterprise from 10,000 assets. Verify currency and billing display before purchase (pricing).
- ManageEngine AssetExplorer: the August 18, 2026 cloud display listed 250 assets at $115 monthly/$1,245 yearly, 500 at $225/$2,345, 1,000 at $360/$3,895, 5,000 at $1,155/$12,445, and 10,000 at $1,545/$16,695; on-premises prices and regional terms differed. A free edition is advertised for 50 cloud nodes or 25 on-premises nodes (pricing; product page).

Assessment checklist
- Every in-scope asset category has an owner, lifecycle state, and authoritative data source.
- New purchases are captured at receiving and reconciled to PO and invoice.
- Serial, cloud, device-management, and entitlement identifiers are normalized.
- Unknown, duplicate, stale, and conflicting records enter an exception queue.
- Security, HR, procurement, finance, ITSM, cloud, and contract events flow reliably.
- Usage is reviewed before license renewal, reclamation, or cloud resizing.
- Refresh decisions use support, risk, economics, and business requirements—not age alone.
- Retirement revokes access, sanitizes data, captures evidence, and closes financial and contractual records.
- KPIs have written definitions, owners, targets, and review cadence.
- The selected tool matches estate complexity and the team’s ability to maintain integrations and data quality.
