They can help a business find unknown devices, recover equipment, reduce unused software seats, plan replacements, respond to incidents and produce audit evidence. The software is only part of the solution: discovery coverage, authoritative data sources, integrations and accountable owners determine whether the records can be trusted.
ISO/IEC 19770-1:2017 sets requirements for IT asset-management systems and was confirmed as current in 2024 (ISO standard). NIST describes ITAM as connecting physical and virtual assets so management can understand what exists, where it is and how it is used (NIST SP 1800-5).
What an IT asset management system does
ITAM is a lifecycle discipline supported by software, controls and operating procedures. A system records an asset from request and purchase through deployment, operation, transfer, recovery and final disposal. It can connect the record to a user, location, supplier, contract, warranty, service, cost centre, security status and related incidents or changes.
Typical assets include laptops, phones, servers, network and security appliances, printers, peripherals, software installations and entitlements, SaaS subscriptions, cloud resources, virtual machines, containers, storage, leases, warranties and spare stock. A configuration item (CI) can also be an application, database or service relationship. A CI is operationally important even when it is not a balance-sheet asset.

The lifecycle an ITAM program governs
- Plan and request the technology.
- Approve, purchase or lease it.
- Receive, identify and tag it.
- Deploy and assign it to a person, pool, location or service.
- Operate, patch, support and monitor it.
- Transfer, repair, replace or redeploy it.
- Recover it when a worker leaves or a contract ends.
- Sanitize, retire, dispose of or archive it.
- Retain ownership, financial and audit records as required.

Atlassian describes Assets as linking assets and CIs to requests, incidents, problems, changes and workloads (Atlassian Assets guide). ServiceNow documents a shared model across Asset Management, ITSM, CMDB and Security Operations (ServiceNow Asset Management).
How ITAM improves business operations
Faster service-desk diagnosis
An agent who can see the affected device, owner, warranty, operating system, recent changes and related incidents spends less time collecting basic facts and is less likely to escalate unnecessarily. This is an operational advantage, not a guaranteed percentage improvement.
More controlled purchasing and stock
Lifecycle records reveal equipment available for redeployment, aging devices, unused stock, warranty and lease end dates, duplicate orders and equipment still assigned to departed workers. Procurement can buy against verified demand rather than spreadsheets.
Lower software and SaaS waste
SAM can reconcile installations and usage with purchased rights, identify duplicate products, reclaim unused seats, expose unauthorized installations and highlight renewals. ServiceNow’s documentation describes tracking rights, allocations, compliance and reclamation (ServiceNow SAM documentation). An installed-software list alone is not SAM: entitlement, contract and licensing-rule data are required.
Better security response
Security teams can prioritize vulnerabilities using ownership, software versions, network location, business criticality, support status and cloud-resource responsibility. ITAM improves visibility; it does not replace endpoint protection, vulnerability management or identity controls.

Audit and compliance evidence
Useful evidence includes purchase and assignment history, license entitlements, approvals, contract terms, software history and disposal or sanitization certificates. ITAM can improve audit preparation but cannot prevent a software publisher from auditing an organization.
Predictable refresh and continuity planning
Age, warranty, repair history, operating-system support deadlines, lease expiry, criticality and replacement cost allow finance and IT to forecast refresh requirements and identify unsupported equipment before it disrupts a service.
Onboarding and offboarding
Connecting HR, identity, endpoint management, procurement and the service desk can automate a new hire’s device profile, software rights, shipping and assignment, then trigger recovery and access-removal steps at termination.
More reliable financial information
ITAM can hold purchase cost, lease terms, chargeback fields and disposal records. It does not automatically become the accounting system: capitalization, depreciation, tax and financial-reporting treatment remain organization- and jurisdiction-specific.

Hardware lifecycle management
Look for receiving, barcodes or QR labels, custody history, stockrooms, repairs, returns, warranties, leases, transfers, replacement schedules and disposal approvals. The data model must support shared, kiosk, laboratory, pool and hot-desk devices, not only one device assigned to one employee.
Software asset management
Evaluate product normalization, purchase-entitlement imports, user-, device-, core-, concurrent-, consumption- and subscription metrics, downgrade and upgrade rights, maintenance, virtual environments, bundles, effective license-position calculations and reclaimable-seat workflows. Usage data can be incomplete for offline use, shared accounts, virtual desktops or infrequently used critical software, so it should inform decisions rather than alone determine compliance.
CMDB relationships
Useful links include user to device, device to operating system, application to server, service to application, database to application, contract to asset, incident to affected CI and change to impacted service. Test relationship depth, reconciliation, import rules and reporting rather than accepting a “CMDB” label at face value.
Workflow, reporting and APIs
High-value automations include purchase approval, provisioning, onboarding, offboarding recovery, transfer, repair, license reclamation, warranty renewal, stock replenishment and disposal. Reporting should cover completeness, unknown devices, owners and locations, duplicates, aging, warranties, leases, unused software, compliance exposure, cost by department or service, recovery, redeployment and manual exceptions. Require REST or event APIs, webhooks, SSO, role-based access, audit logs and full exportability.
A practical implementation roadmap
1. Define scope and accountability
List asset classes, required fields, lifecycle states, retention rules, privacy limits, approvals and the system of record for each field. A workable ownership model assigns purchase orders to procurement or finance, configuration to endpoint management, employment status to HR, identity to the directory, business criticality to service owners and disposal evidence to IT operations or facilities.

2. Build a minimum viable inventory
Start with laptops, desktops, mobiles, servers, network equipment, critical software, SaaS subscriptions and employee-assigned assets. Require an identifier, type, manufacturer/model, serial number, owner, location, status, purchase date, warranty or lease end, source, last-seen date, criticality and transfer or disposal history.

3. Connect authoritative sources
- HR and identity
- Endpoint management and directory services
- Procurement and finance
- Service desk
- Cloud providers
- SaaS and licensing sources
- Security and vulnerability tools
Set precedence rules so multiple systems do not overwrite the same field unpredictably.
4. Normalize and reconcile
Match serial numbers and device identifiers, normalize manufacturer and product names, deduplicate, flag conflicting owners, separate discovered from purchased assets, mark stale records and preserve historical values where auditability matters. Distinguish discovered, authorized, managed, compliant, assigned, supported and retired states.
5. Automate visible wins
Begin with offboarding recovery, new-device assignment, warranty alerts, license reclamation, unknown-device investigation, stock replenishment and disposal approval. Automation reduces repetitive entry but still needs human exception handling and policy decisions.
6. Measure outcomes
Set a baseline before deployment. Useful targets include more assets with current owners, fewer unknown devices, faster answers about custody, fewer unused licenses, faster recovery, fewer emergency purchases, shorter asset-related resolution times and fewer audit exceptions. Do not promise a universal return on investment without organization-specific baseline data.

Metrics and simple formulas
- Asset completeness: assets with all required fields ÷ total assets.
- Ownership coverage: active assets with a current owner ÷ total active assets.
- Recovery rate: assets recovered during offboarding ÷ assets assigned to departing users.
- License utilization: active users or installations ÷ purchased entitlements.
- Redeployment rate: assets redeployed ÷ assets returned to stock.
- Unknown-device rate: unmanaged or unidentified devices ÷ discovered devices.

Small organizations may need discovery, assignment, barcode support and simple reports. Enterprises often add multi-region administration, publisher-specific licensing, cloud and SaaS governance, delegated access, chargeback, high-volume APIs and implementation services.

Trade-offs and edge cases to test
ITSM-native versus specialist ITAM
ITSM-native products put asset context directly into requests and incidents and share users, permissions and automation. Specialist platforms may provide deeper SAM, discovery or cloud optimization. Licensing, administration and implementation can be more complex in a broad suite.
Discovery-first versus workflow-first
Discovery-first products may produce stronger technical inventory but weaker procurement and custody controls. Workflow-first products may manage approvals and employee events well but require integrations for complete discovery.

One platform can reduce synchronization work; a best-of-breed stack can deliver deeper discovery, SAM or security. Multiple contracts, conflicting ownership, duplicate records and more administration are the price of that depth.
Cloud, BYOD and privacy
Cloud resources are ephemeral and may be created outside procurement. Track ownership, allocation, cost, service, security and lifecycle—not merely existence. For BYOD, define consent, data minimization, selective corporate-data removal and legal review; the organization may not be entitled to inventory an entire personal device.
Leases, shared devices and intermittent check-ins
Lease records need return conditions, residual value, damage responsibility, early-return charges and sanitization evidence. Shared workstations, pools and kiosks need custody by location, team or shift. Use states such as active, temporarily offline, missing, lost, retired, pending disposal and archived; a stale check-in alone does not prove retirement.
Common implementation failures
- Importing spreadsheets without defining owners, lifecycle events, reconciliation and ongoing accountability.
- Tracking only laptops while ignoring SaaS, cloud, software rights, contracts, warranties, network equipment and shared devices.
- Relying on manual updates for transfers and offboarding.
- Calling every discovered device authorized, secure, supported or compliant.
- Building a huge CMDB before identifying decisions such as change impact, incident diagnosis or disaster recovery.
- Allowing HR, endpoint, procurement and service-desk systems to overwrite fields without precedence rules.
- Choosing a platform from a feature checklist without testing discovery accuracy, reports, administration, integrations and total cost.
- Ignoring portability: require exports of records, relationships, attachments and audit history, plus API access and clear deletion and termination terms.
Procurement checklist
- Give each vendor the same counts for laptops, mobiles, servers, virtual machines, network devices, cloud resources, SaaS users, locations and service-desk agents.
- Ask how pricing counts agents, users, assets, asset units, devices, concurrent sessions, modules, discovery nodes, consumption and implementation.
- Test remote, off-network, shared, leased, BYOD, cloud and container scenarios.
- Verify supported license metrics, publisher content, downgrade rights, bundles, subscriptions and usage limitations.
- Confirm native connectors, API rate limits, webhooks, SSO, data residency, encryption, audit logs, retention and export.
- Request implementation, cleansing, integration, training, premium support, sandbox, storage, renewal and exit costs in writing.
Bottom line
Choose ITAM to solve a defined operational problem, then build the governance that makes its data dependable. A discovery tool is not a lifecycle program, a CMDB is not automatically useful, and a feature-rich suite is not automatically economical. The strongest investment is a trusted system of record for clearly defined asset data, connected to procurement, HR, endpoint, service-desk, security and finance processes, with measurable improvements in ownership, recovery, utilization, risk and planning.
