How to Use the Azure Pricing Calculator

By TheFinanceBase Team 9 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Azure Pricing Calculator helps you forecast the monthly cost of a proposed Microsoft Azure setup before you deploy it. Add the services you need, select the correct region and configuration, enter realistic usage, compare pay-as-you-go with eligible commitment discounts, and then save or export the estimate.

It is a planning tool—not an invoice. The result depends on the products and usage you configure, the date, currency, billing agreement, discounts, and assumptions you provide.

What the Azure Pricing Calculator does

The official Azure Pricing Calculator lets you build a cost estimate from multiple Azure products. Microsoft says its unit prices are based on parameters such as region, size, operating system, tier, and product features. It is useful for:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Budgeting before deployment.
  • Comparing alternative Azure architectures.
  • Testing different regions, SKUs, and service tiers.
  • Modeling storage, requests, transactions, bandwidth, hours, and other consumption.
  • Comparing retail pricing with eligible agreement-specific pricing.

The calculator does not validate whether your architecture is technically suitable, whether a particular SKU has capacity in a region, or whether every possible charge has been included. It totals the products and usage you configure, so omitted dependencies will not appear in the result.

After deployment, use Azure Cost Management, budgets, alerts, tags, invoices, and Cost Analysis to compare actual spending with the forecast.

Information to gather before you start

Your usage assumptions usually matter more than the mechanics of clicking through the calculator. Gather:

  • The Azure services required by the application.
  • The intended region or regions.
  • Production, staging, development, and disaster-recovery environments.
  • SKU, tier, instance size, capacity, and redundancy requirements.
  • Operating system and software-licensing assumptions.
  • Number of resources and expected operating hours.
  • Storage capacity, transactions, requests, messages, throughput, or tokens.
  • Inbound and outbound data-transfer expectations.
  • Retention, backup, replication, and monitoring requirements.
  • Expected growth and peak usage.
  • Your billing arrangement, such as pay-as-you-go, Microsoft Customer Agreement, Enterprise Agreement, or eligible CSP pricing.
  • Whether stable usage might justify a reservation or savings plan.
  • Whether Azure Hybrid Benefit or another licensing benefit applies.

Open and understand the calculator

Open the calculator directly at azure.microsoft.com/pricing/calculator, or reach it through the Azure website’s Pricing navigation. Basic retail estimates generally do not require an account. Signing in may enable saved estimates and agreement-specific pricing, subject to your billing permissions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The interface has three practical areas:

  • Product picker: Search for a service, browse categories, and add product cards.
  • Product configuration: Select region, SKU, tier, operating system, quantity, hours, and service-specific usage.
  • Estimate summary: Review product totals and, where applicable, recurring and upfront costs.

Microsoft describes the estimate as a collection of products, similar to a shopping cart. New products are added with default settings, so never assume the initial configuration represents your workload.

Step by step: create an Azure cost estimate

1. Start with a clean estimate

Remove old products or create a new estimate before beginning. Be careful with Delete all; Microsoft documents it as irreversible within the estimate.

2. Add the first service

Search for the actual Azure product rather than a broad architecture label. Common starting points include Virtual Machines, App Service, Azure Kubernetes Service, Storage, Azure SQL Database, Cosmos DB, Functions, Container Apps, Azure Monitor, and networking services.

The calculator estimates the products you select; it is not an architecture recommender. If your design requires a database, backup service, firewall, or monitoring, add those separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Select the deployment region

Choose where the resource will actually run. Region affects price, available SKUs, data-transfer charges, replication options, latency, data residency, availability-zone support, and sometimes reservation eligibility.

  • Broad Compatibility: Besign LS03 Laptop Mount is compatible with all laptops from 10''-15.6'', such as Air 13, Pro 13 / 15 / 2018 / 2017 / 2016, Lenovo ThinkPad, Dell, HP, ASUS, Chromebook, and other notebooks.
  • Ergonomic Design: This LS03 Laptop Stand could elevate your laptop by 6’’ to a perfect viewing level, help you improve your posture and reduce neck and shoulder pain. This laptop stand is super easy to detach and assemble.
  • Stable And Protective: This laptop stand is made of premium Aluminum alloy, it is sturdy, support up to 8.8 lbs(4kg), no worry any wobble at all; the rubber on the holder hands sticks tightly, ensure your laptop stable on the stand and prevent any scratches.
  • Keep Laptop Cool: the open aluminum design provides good ventilation and airflow to prevent your laptop from overheating. It folds flat if you need to store it, create extra space on your desk and keep your desk clean and organized.
  • Easy to Use: thanks to the detachable design, you could assemble it very easily it 3 steps.

Do not choose a region solely because it displays a lower price. First satisfy legal, technical, resilience, and performance requirements, then compare viable regions.

4. Match the SKU, tier, and features

Configure the product to resemble the intended deployment. Depending on the service, this may include:

  • VM family and size.
  • Database compute tier and capacity.
  • Storage performance and redundancy.
  • Provisioned or serverless mode.
  • Operating system and licensing.
  • Backup, replication, and availability options.
  • Networking or security features.

A generic product selection is not enough. For example, a database estimate can be substantially wrong if it uses the wrong compute tier, storage amount, redundancy setting, or throughput target.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Replace default usage with realistic consumption

Enter the expected number of instances, hours, storage, requests, transactions, messages, data processed, bandwidth, retention, and environments. For a variable workload, create at least three scenarios:

  • Low: minimum expected demand.
  • Expected: realistic operating baseline.
  • High: peak demand or near-term growth.

For a production budget, separate production, nonproduction, disaster recovery, and temporary migration resources instead of multiplying one idealized configuration.

For Virtual Machines, Microsoft documents a default example of 730 hours per month. Changing the hours—for example, to 200—changes the estimate. Treat 730 as a calculator modeling convention, not as proof that every VM runs continuously or that every calendar month contains exactly 730 hours.

6. Name each configuration

Use meaningful names such as prod-web-vm-eastus, prod-sql-primary, or dr-storage-westus2. Unique names make a large estimate easier to audit and explain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Add dependencies and ancillary services

“One application” normally involves several billable products. Depending on the design, consider adding:

  • Application Gateway, Front Door, CDN, or another edge service.
  • Monitoring, log ingestion, and retention.
  • Container Registry.
  • Disaster-recovery replicas.
  • Marketplace software and third-party licenses.
  • An appropriate Azure support plan.

Use an architecture diagram or service inventory as a checklist. A VM-only estimate, for example, may omit disks, backups, networking, monitoring, and security.

8. Compare pricing plans

Where available, compare:

  • Pay-as-you-go: Best for uncertain, temporary, or changing usage, but normally the highest standard rate.
  • Reservation: Potentially attractive when a resource, size, region, and usage are predictable.
  • Savings plan: More flexible when eligible compute usage is steady overall but resources may change size or region.

Microsoft states that reservations may provide deeper discounts for specific stable usage, while savings plans apply a fixed dollar-per-hour commitment across eligible compute. The calculator may show upfront and monthly-equivalent amounts separately.

Do not select a commitment simply because its displayed monthly equivalent is lower. Check the term, eligible services, region and SKU constraints, migration plans, cancellation rules, and whether the workload is likely to remain stable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s overview cites maximum potential savings of up to 72% for reservations and up to 65% for savings plans compared with pay-as-you-go prices. Those are not guaranteed results for every service, SKU, region, agreement, or workload.

9. Add support

Microsoft’s calculator guidance recommends adding a support plan and lists Basic, Developer, Standard, and Professional Direct. Select the plan your organization actually needs, then verify its current eligibility and price in the calculator or on Microsoft’s support-plan page. Do not rely on an old quoted amount.

10. Select currency and agreement pricing

The calculator includes a currency control. Record the currency used and do not treat a converted amount as a permanent billing price; exchange rates and agreement billing rules can affect the eventual charge.

After signing in, eligible users may be able to select Microsoft Customer Agreement, Enterprise Agreement, New Commerce Cloud Solution Provider, or Microsoft Online Service Agreement pricing. MCA users may need to choose the billing account and billing profile. EA users may need administrator permissions and an enrollment or billing-account selection.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If agreement pricing is unavailable, possible causes include the wrong account, missing permissions, disabled EA cost-view settings, or recently changed access. Microsoft says EA access changes may take up to 48 hours to take effect. Partner Earned Credit is not estimated automatically in the calculator and must be accounted for separately when relevant.

11. Review the estimate before using it in a budget

Check every assumption:

  • Region and number of regions.
  • Quantity, hours, autoscaling, and environment count.
  • SKU, tier, size, operating system, and licensing.
  • Storage, requests, throughput, retention, and data transfer.
  • Backups, replication, monitoring, security, and support.
  • Free-tier allowances and overage assumptions.
  • Pay-as-you-go or commitment plan.
  • Currency, agreement, and discounts.
  • Growth and high-usage scenarios.

Attach a written assumptions log to the estimate. A monthly number without its region, date, configuration, currency, usage, and exclusions is difficult to compare or defend.

How the estimate is calculated

A useful conceptual model is:

Estimated cost ≈ unit price × expected quantity × expected usage
                 + recurring ancillary charges
                 + upfront charges
                 − applicable discounts or benefits

This is not a universal Azure billing formula. Each service has its own meters, free tiers, minimums, billing granularity, and pricing rules. The estimate combines product configuration, anticipated consumption, and the selected pricing plan.

For automated retail-price analysis, Microsoft provides the Azure Retail Prices API. Microsoft identifies USD as the pricing currency for Azure retail prices; non-USD values returned by the API are reference values for estimating budgets. For example, the documented endpoint is:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
https://prices.azure.com/api/retail/prices?$filter=serviceName eq 'Virtual Machines'

The API can support internal tools and regional or SKU comparisons, but it does not remove the need to interpret meters, eligibility, usage, and agreement terms correctly.

Reservations or savings plans: which should you model?

Choice Usually fits Main risk
Pay-as-you-go Uncertain, temporary, or changing workloads Higher standard rate
Reservation Stable resource, size, region, and usage Less flexibility and commitment risk
Savings plan Steady eligible compute usage that may move between resources Unused hourly commitment is wasted

Microsoft documents one- or three-year compute savings-plan terms and a one-year database savings plan. Unused hourly commitment does not roll over, and savings-plan purchases cannot be canceled or refunded. Compute savings plans do not cover software, networking, or storage charges.

Model the discounted and undiscounted cases separately. Use historical usage where possible and avoid basing a commitment only on an unproven peak forecast.

Save, share, and export your estimate

Microsoft documents controls for:

  • Save: Preserve progress.
  • Save as: Rename a saved estimate.
  • Share: Create a link that others can view; only the owner can make changes.
  • Export: Download the estimate as an Excel file.
  • Clone: Quickly create a similar configuration.
  • Rearrange services: Group or reorder products.
  • Currency: Change the displayed currency.

When sending an estimate to finance or procurement, include its creation date, region, agreement type, included and excluded services, growth assumptions, and the person responsible for validation. Prices and service availability can change, so version the estimate rather than treating it as permanent.

Why the calculator may differ from your Azure bill

A difference does not automatically mean the calculator is broken. Common causes include:

  • Actual usage was higher or lower than forecast.
  • Autoscaling, idle resources, or unexpected traffic changed consumption.
  • Storage, backups, egress, monitoring, or Marketplace charges were omitted.
  • A free tier was exceeded or its duration ended.
  • The chosen region, SKU, tier, operating system, or license was different from production.
  • Taxes, currency conversion, negotiated rates, credits, or partner adjustments affected the invoice.
  • Prices or service terms changed after the estimate was created.
  • A stopped VM remained allocated. A guest operating-system shutdown is not necessarily the same as Azure deallocation; Azure auto-shutdown is designed to stop and deallocate a VM.

Free services can also have usage limits, time limits, quotas, or paid dependencies. Model usage above the allowance rather than assuming that “free” means the entire architecture costs nothing.

What to use after deployment

The calculator is the starting forecast. Once resources are running:

  1. Use Cost Analysis to inspect actual charges.
  2. Create budgets and alerts for subscriptions, resource groups, or workloads.
  3. Apply tags and naming conventions so costs can be assigned to teams or environments.
  4. Compare actual usage with the calculator’s low, expected, and high scenarios.
  5. Use Azure Advisor after usage history exists to identify underused resources and cost recommendations.
  6. Review invoices and detailed usage records for agreement-specific charges.

Microsoft notes that some Cost Analysis data may take up to 24 hours to appear after adding a service or making a purchase.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Practical example without invented prices

Suppose a small business is planning a web application with production and staging environments. Instead of entering one generic “app” cost, create separate configurations for the web compute, database, storage, backups, bandwidth, monitoring, and support. Select the required production region, then use the appropriate smaller or scheduled staging configuration. Model normal traffic and a high-traffic case, and document whether database redundancy and disaster recovery are included.

Run the estimate first at pay-as-you-go rates. Only after usage is expected to be stable should you create a second version comparing a reservation or savings plan. Export both versions with the date, assumptions, exclusions, and agreement information. This produces a more useful budget than quoting a single monthly figure whose configuration cannot be reproduced.
