Cloud for Small Business: Essential Services and Storage Solutions

Most small businesses need more than one “cloud storage” product. A practical setup combines a productivity and identity suite, an organization-owned file workspace, and an independent backup with tested recovery. Add object storage or hosted applications only when the workload requires them.

What “cloud” means for a small business

Cloud services are hosted capabilities delivered over the internet. They overlap commercially, but their operating models and prices differ.

The minimum cloud stack most small businesses need

  1. Business identity and productivity: choose Microsoft 365 or Google Workspace for email, calendars, documents and user accounts.
  2. Organization-owned team storage: use SharePoint or Teams files, Google shared drives, or a controlled Dropbox team space rather than personal folders.
  3. Independent backup: use a separate backup service or object-storage target. Synchronization and recycle bins are not a complete backup.
  4. Security and administration: require MFA, least privilege, separate administrator accounts, logging and an offboarding procedure.
  5. Recovery practice: test restoring files, accounts and critical applications into a clean environment.

Before buying, record user count, devices, current data volume and growth, file types, recovery-time and recovery-point objectives, regulatory obligations, external-sharing needs, and who will administer the service.

Cloud storage is not cloud backup

What synchronization is good at

  • Keeping current files available across computers and phones.
  • Collaborative editing and client sharing.
  • Version history and recycle-bin recovery for recent mistakes.

What backup is designed to do

  • Restore deleted, encrypted or corrupted data to an earlier point in time.
  • Recover a lost laptop, server, NAS or virtual machine.
  • Keep independent copies for longer retention and disaster recovery.

If ransomware encrypts a synchronized laptop, the encrypted versions can propagate to the cloud workspace. A compromised account can also delete files everywhere it has access. Use separate credentials, retention and, for critical repositories, immutable or Object Lock protection. A recycle bin is useful, but its retention period and restore scope may be limited.

Microsoft’s native Microsoft 365 Backup service lists consumption pricing of $0.15 per GB per month of protected content. Confirm its covered data, retention, restore granularity and independence before treating it as your entire backup plan: Microsoft 365 Backup pricing.

Microsoft 365 or Google Workspace?

Choose Microsoft 365 when… Choose Google Workspace when…
Staff rely on desktop Word, Excel, Outlook and PowerPoint. The business is browser-first and centered on Gmail, Docs, Sheets and Meet.
Windows, Teams, SharePoint and Microsoft identities are already established. Real-time browser collaboration and shared drives are central.
You need Microsoft’s broader identity, endpoint and compliance ecosystem. You prefer pooled organizational storage and a comparatively simple administration model.

Microsoft 365 storage and limits

Microsoft lists 1 TB of OneDrive storage per user for Business Basic, Standard and Premium. It positions SharePoint as the more appropriate solution for advanced organizational content management; OneDrive is not a general repository for system backups or departmental data. Business plans are designed for up to 300 users. Confirm regional packaging and pricing because Microsoft references updates around July 1, 2026: OneDrive for Business service description and Microsoft 365 plans and pricing.

Google Workspace storage and shared drives

Google’s US pages observed August 18, 2026 list these standard annual-commitment prices:

These are standard US prices, before tax; promotions can change displayed introductory offers. Starter, Standard and Plus support up to 300 users. Storage is pooled, so a video-heavy department can consume capacity needed elsewhere. Files in Google shared drives are owned by the organization and can persist when their creator leaves: Google Workspace and Google shared drives documentation.

The decision is not simply “Google is cheaper” or “Microsoft is better.” Compare desktop versus browser workflows, file-format requirements, migration effort, integrations, administration and backup coverage.

Where Dropbox fits

Dropbox is often a good focused file platform for creative, agency, consulting and project teams that exchange large files with clients across operating systems. Its security page showed Professional at $16.58 per month for one person with 3 TB, and Advanced at $24 per user per month for teams of three or more, starting at 15 TB for the team. Enterprise pricing is contact-sales and billing arrangements can vary: Dropbox security and plan details.

Dropbox may be poor value when you also need business email, desktop Office licensing, application object storage, server backup or a low-cost archive. It can duplicate file-sharing capabilities already included in Microsoft 365 or Google Workspace, and it is not automatically an independent backup.

When object storage is the right tool

Object storage addresses data through APIs and buckets rather than employee-oriented folders. It suits backup repositories, application data, archives, media libraries and automated workflows. Costs can include capacity, requests, retrieval and data transfer; lifecycle rules can move older data to cheaper classes.

Backblaze B2 advertises S3 compatibility, a starting price of $6.95 per TB per month, no minimum file-size or storage-duration fees, the first 10 GB free, and free egress up to three times average monthly storage under its stated terms. Additional egress is listed at $0.01 per GB. The comparison is based on US West and can vary by region and workload: Backblaze B2 pricing.

Amazon S3 separates storage and transfer pricing; region, storage class, requests, retrieval and internet egress determine the bill. Transfers to AWS services in the same Region can receive different treatment: Amazon S3 pricing. Choose AWS S3, Azure Blob or Google Cloud Storage when applications, automation or an existing cloud engineering team justify the complexity.

Security controls to configure first

  • Require MFA for every user, with phishing-resistant MFA for high-risk administrators where supported.
  • Keep separate administrator accounts and maintain at least two trusted administrators.
  • Use groups and least privilege; review permissions and external links monthly.
  • Transfer or preserve a departing employee’s files and email before disabling the account.
  • Enable audit and access logs, encryption in transit and at rest, and alerts for unusual activity.
  • Protect backup credentials separately from production credentials.
  • Apply immutable retention for critical backups and test restoration.

Backblaze describes MFA, application keys, access management, bucket logs, server-side encryption and Object Lock for retention-protected data: ransomware readiness and backup and archive. A vendor certification does not by itself make your business compliant; contracts, configuration, access controls, retention and staff practices still matter.

Use a deliberate 3-2-1 recovery design

Keep three copies of important data, on at least two storage types or locations, with one copy isolated or off-site. For ransomware-sensitive data, add immutable retention, separate recovery credentials, a documented restore sequence and a clean recovery environment. Do not blindly synchronize compromised endpoints to every destination.

Calculate total cost, not just advertised capacity

Use this worksheet:

Monthly platform licenses
+ Additional storage
+ Independent backup and backup storage
+ Expected restore, retrieval or egress charges
+ Security, compliance and support add-ons
+ Migration cost amortization
+ Managed IT or MSP fees
+ Taxes and currency effects
= Estimated monthly total

Also record whether storage is per-user or pooled, annual or monthly commitment, minimum retention or object duration, former-employee retention, and expected download volume. Google’s flexible plans bill active accounts monthly and cost more than annual commitments: Google flexible plan and Google billing details.

  1. Inventory users, devices, applications and data growth.
  2. Select the primary identity and productivity platform.
  3. Create organization-owned team sites or shared drives.
  4. Configure domain DNS and business email.
  5. Enable MFA and define administrator and user roles.
  6. Set external-sharing and link-expiration rules.
  7. Migrate files, mail and permissions; plan coexistence and training.
  8. Configure independent backup with appropriate retention.
  9. Enable immutable retention for critical backup sets.
  10. Restore a file, folder, user account and business-critical system.
  11. Document offboarding, emergency contacts and disaster recovery authority.
  12. Review permissions, storage growth and costs every month.

Recommendations by business profile

  • Microsoft-centric office: Microsoft 365 plus independent backup.
  • Google-centric startup: Google Workspace shared drives plus independent backup.
  • Creative or agency team: Dropbox for delivery if its workflow advantages justify the overlap, plus a separate backup.
  • Remote consultancy: Either major suite, with MFA, shared ownership and tested recovery.
  • Technical business: Add S3-compatible or hyperscale object storage for applications and automation.
  • Regulated organization: Select editions, contractual terms, data regions, retention and audit controls with specialist guidance.

The Bottom Line

Start with the suite that matches how your staff work, keep business files in organization-owned spaces, and add independent immutable backup. Treat Dropbox as a focused sharing platform and object storage as an infrastructure component—not as interchangeable substitutes.
