Apollo is the stronger starting point when you need contact data and outbound execution; LinkedIn Sales Navigator is stronger when you need to find and monitor people through LinkedIn’s professional network. They overlap in prospecting, but they are not like-for-like replacements. Choose based on the step slowing down your sales process: finding the right people, or contacting and working them.

These are workflow distinctions, not a universal ranking of product quality. Apollo’s current plans list prospecting, enrichment, sequences, CRM integrations and dialer capabilities at different tiers (Apollo pricing). LinkedIn separates Sales Navigator into Core, Advanced and Advanced Plus, with features varying by account type (LinkedIn plan and account-type details).
What each product actually does
Apollo: data through outbound execution
Apollo combines a B2B prospecting database with contact and company data, enrichment, email sequences, CRM-connected workflows, AI-assisted research and a dialer. Its value is that a seller can search for prospects, access or enrich contact details, and move those records into outreach without assembling every step in a separate tool. Which capabilities are included depends on the plan; some actions consume credits.
Sales Navigator: LinkedIn discovery and relationship intelligence
Sales Navigator is a LinkedIn-native tool for searching leads and accounts, saving them, monitoring relevant changes and using LinkedIn context to guide outreach. Depending on plan, that can include alerts, relationship mapping, TeamLink or CRM-connected experiences. It helps sellers understand who is associated with an account and how they might approach that person; it is not a complete contact-data and outbound platform. LinkedIn’s feature overview lists capabilities such as advanced search, alerts, InMail and integrations, with availability depending on plan.

Where Apollo has the advantage
Contact data and enrichment
Apollo is the more direct choice if the task is to obtain business email addresses or phone numbers, enrich a CRM or CSV, and prepare records for outreach. But database access is not proof that a particular record is current, deliverable or appropriate for a campaign. Verify important contacts independently, especially before investing time or credits in a large sequence.
Email, calling and automation
Apollo offers email sequences and a dialer on specified paid plans, alongside workflow and CRM features that vary by tier. The dialer is included in Basic, Professional and Organization according to Apollo’s pricing page, while an advanced dialer is a separate add-on (Apollo dialer). Sequences can make execution more efficient, but they do not by themselves solve targeting, deliverability, consent or opt-out management.
A lower published entry price, with credit economics
Apollo’s annual-billing seat prices start below Sales Navigator’s published US prices, but the seat fee is only part of the cost. Credits are used for certain data and actions, and phone-heavy or enrichment-heavy workflows can consume them faster than email-only prospecting. Apollo says credits expire at the end of the billing cycle and do not roll over; check the current credit rules and plan allowance before forecasting usage.

Where Sales Navigator has the advantage
Professional identity and account discovery
When the question is “Who currently works in this role at this company?” LinkedIn’s professional graph can be useful for finding people through current and past roles, company association, geography and shared connections. Search results still need human judgment: a profile may be incomplete, a company association may not reflect the buying team, and a keyword match does not establish authority.

Monitoring and relationship context
Saved leads and accounts, job-change alerts, company updates and other LinkedIn activity can help a seller notice a timely reason to revisit an account. Shared connections and relationship features can reveal a possible warm path where supported by the plan and team setup. This context is distinct from having an email address or phone number.
Native LinkedIn outreach
Sales Navigator supports InMail and LinkedIn-based prospecting. LinkedIn’s account-type documentation lists 50 InMail messages per month per user for Core, Advanced and Advanced Plus, but confirm the allowance for the specific account and geography before relying on it (LinkedIn account-type details). InMail is not a guarantee of a reply, and Sales Navigator is not a cold-email sequencing tool.

Think in total workflow cost, not just seat price
- LinkedIn-first selling: Sales Navigator may be the main research subscription, with a CRM and separate email or enrichment tools as needed.
- Apollo-first outbound: Apollo can cover more of the data-to-outreach workflow, but account for mailboxes, deliverability monitoring and credit use.
- Combined prospecting: Add the cost of both subscriptions and the work of syncing records, handling duplicates and coordinating opt-outs. The extra spend makes sense only if LinkedIn discovery adds value that Apollo alone does not provide.
Data quality: compare your market, not marketing claims
Neither a large record count nor a LinkedIn profile establishes that every detail is current or usable. Apollo records can be stale or incomplete; LinkedIn profiles can also lag reality or omit relevant information. There is no documented, apples-to-apples accuracy benchmark here that establishes one product as universally more accurate. Coverage and usefulness can change by country, industry, company size and role.

For a practical comparison, test a controlled sample of 100 known target contacts in the markets you sell into:
- Check whether each person still works at the stated company.
- Compare current title and seniority, and note whether the person is a contractor, former employee or otherwise misclassified.
- Test business-email deliverability independently.
- Test phone-number validity independently and distinguish direct dials from other number types where the source allows it.
- Record duplicates, missing people and false positives.
- Break results down by geography, industry, company size and role rather than relying on one blended score.
Use the same contacts and definitions for both tools. A result that works for US technology companies, for example, does not establish coverage for an international, nonprofit or public-sector list. Do not treat a prior email check as a permanent guarantee; contact data can change.
Choose by the work your team needs to do
Choose Apollo for outbound-led prospecting
- You need email or phone data, enrichment, sequences or a dialer in one workflow.
- Your team is email- or phone-led and needs to turn searches into outreach quickly.
- You can track credit consumption and verify important data before campaigns.
- You need a comparatively low published starting seat price and understand that usage can add cost.
Choose Sales Navigator for LinkedIn-led research
- You sell to identifiable people at named companies and need detailed professional searches.
- Job changes, account developments, shared connections or warm introductions matter to your sales motion.
- Your team wants to research and engage prospects in LinkedIn’s professional context.
- You can use separate tools for contact details, email execution and calling where needed.
Use both for account-based selling
A combined workflow is useful when LinkedIn is the best way to validate an account and persona, while Apollo is needed to obtain or enrich contact details and execute multichannel outreach. A disciplined handoff can look like this:

- Coordinate duplicate handling, activity attribution, opt-outs and suppression lists across the tools.
The combined approach brings extra seat costs and can create conflicting job titles, duplicate records and attribution problems. It is most defensible when better account selection and contact execution together are worth more than the added subscription and operational work.

Check integrations and operating risks before committing
Do not treat a vendor’s “CRM integration” label as proof of a particular workflow. Test the actual plan and CRM for field mapping, duplicate handling, record ownership, activity sync, write-back, API access, overwrite behavior and whether opt-outs and suppression lists stay aligned. Apollo lists CRM integrations and several enrichment routes at different tiers (Apollo plan details). LinkedIn promotes CRM insights and sales integrations, but capabilities depend on plan; Advanced Plus is the enterprise-oriented customized option (LinkedIn plan comparison).
- Email deliverability: Sequences do not replace domain authentication, reputation management, bounce handling, volume controls or message quality.
- Compliance and governance: A subscription does not itself make outreach compliant. Review privacy obligations, data processing, opt-outs, suppression controls and internal sector rules for the markets you contact.
- LinkedIn automation: Distinguish manual research and messaging from official integrations, browser extensions and unofficial scraping or automated messaging. Check current LinkedIn terms and the relevant tool’s risks before using automation.
- Team coordination: Confirm record ownership and account handoffs so multiple sellers do not contact the same person without coordination.
- Phone usage: Apollo’s listed 8-credit phone access and 2-credit-per-minute US dialer use can make phone-led workflows materially different in cost from email-only use (Apollo pricing and credits).
Alternatives if neither solves the main problem
Consider a different category rather than expecting either product to cover every sales-stack need:
