Why Facebook Lead Ads Aren’t Sending Leads to Your CRM—and How to Fix It

Trace missing Facebook Lead Ads leads from Meta’s form record through Page access, CRM permissions, trigger settings, and reporting scope.

If Facebook Lead Ads aren’t showing up in your CRM, first find out whether the lead exists in Meta and whether the CRM connection can access it. Then check the exact Page and form selected, the live trigger, and—if the CRM record exists—the report’s filters and attribution rules. A successful test does not prove that a live connection still has access or is turned on.

Start by locating the break in the lead path

A lead has to pass through several separate points: a person submits a form, Meta creates a lead record, the connected user and app can access it, the integration watches the right Page and form, and the CRM creates or reports the record. Check these in order rather than changing unrelated settings.

  1. Confirm a lead record exists. Look for the submission in Meta’s lead records, or use the CRM or connector’s test workflow. Salesforce documents checking test lead status and error codes; Zapier recommends creating a sample lead with Meta’s Lead Ads testing tool.   2. Check access. Verify the connecting user’s access to the Facebook Page and, where applicable, the ad account. Then check the Page’s Leads Access settings and whether the CRM app itself is authorized if access is customized.
  3. Match the Page and form. Confirm the integration uses the Page that owns the form and the current form, not an older or similarly named one.
  4. Inspect the live connection. Confirm the workflow or automation is on and the connected account has not expired or lost permissions. If you reconnect an account, make sure the trigger uses that reconnected account.
  5. Check CRM scope and reporting. If the record exists in the CRM but not in a dashboard, inspect sync scope, filters, and attribution before treating it as a delivery failure.

Menu names and permission requirements vary by CRM and Meta account setup. Use the steps below for the integration you actually have.

Facebook leads not showing in CRM: check Page and app access

Page access, ad-account access, a user’s lead access, and an app’s lead access are distinct. Having administrative access to a Page does not necessarily mean the integration app is authorized to retrieve its leads.

  • Confirm the Facebook user connected to the CRM or automation has access to the correct Page. Check ad-account access too when the integration or lead type requires it.
  • Open the Page’s Leads Access settings, if available, and verify that the relevant user and CRM or connector app can access leads. When access is customized, the app may need explicit authorization.
  • If you changed permissions, reconnect the account in the integration and verify that its trigger now uses the reconnected account.

If you use Zapier

Zapier says a test that works while new leads fail can indicate that Zapier no longer has lead access to the Page. Check that the correct Zapier app is included in the Page’s lead access; Zapier notes that “Zapier” and “Zapier Inc.” can appear as separate app entries. After changing access, reconnect Facebook, select the reconnected account in the trigger, and turn the Zap back on. A prior successful test alone does not establish that the live Zap still has access. Zapier’s troubleshooting guide covers this failure pattern.

If you use HubSpot

HubSpot’s troubleshooting guidance lists Page and ad-account administration for the connected user, Business Manager ownership alignment, user Leads Access, Ads Publish permissions, and enabled HubSpot Ads Integration permissions among the checks. Make sure lead syncing is enabled for each relevant Page and that the form was created in the connected Meta account and runs under the Page connected to HubSpot. HubSpot says the Leads Access settings screen may be unavailable if the Business Manager has not enabled Leads Access Manager; in that case, its guidance says the connected Facebook user already has Leads Access. If you use Salesforce Lead Capture

Salesforce advises checking that the task creator has Page admin access and permission to download leads. Leads attributed to an ad may also require ad-account access. If Leads Access is customized, check that both the relevant person and Salesforce Lead Capture have access. Confirm the lead is still present in Meta’s lead download area. Salesforce also documents edition prerequisites, so verify that Lead Capture is supported in your Salesforce edition. Meta leads not triggering in Zapier: verify the Page, form, and trigger

If a test trigger cannot find a form, first confirm the connected user can access the relevant Page and, where required, its ad account. Then make sure the trigger points to the Page used by the form. A sample lead may be needed to populate the trigger’s test data.

Check whether the form was edited or recreated. Zapier says an updated form can receive a new ID, so an automation still pointed at the old form may need the current form selected again. The same practical check applies when you have more than one Page or form with a similar name: verify the actual Page and form selected in the trigger. Why did test leads work but real leads stop?

A test confirms only the conditions present at the time and in the workflow being tested. It does not guarantee the live connection retains Page lead access, points to the current account and form, or remains switched on. Compare the test setup with the live trigger rather than assuming that a successful test clears the whole integration.

  • Check the live workflow’s on/off state.
  • Review whether the Facebook connection expired or its permissions changed.
  • Confirm the live trigger uses the currently connected account, correct Page, and current form.
  • Use the connector’s test status or CRM error details to identify where processing stopped.

For Salesforce Lead Capture, Salesforce recommends reviewing the test lead’s status and any error code, as well as confirming that the lead still exists in Meta. Facebook lead form submissions may have synced but not appear in a report

Before repairing an integration, search the CRM’s lead or contact records directly. A reporting gap is not always a delivery failure. HubSpot explains that ad attribution reports use different inclusion rules: a report based on first ad interaction may omit a lead who became a contact through a website conversion before later submitting a lead ad.

HubSpot describes an “All ad interactions” report as an option for Professional and Enterprise customers, and an Ads Interactions list as an option for Starter or Free users. It also identifies a sync setting limited to “New leads,” rather than “All leads,” as a possible cause of discrepancies. When two connection methods are available

A CRM’s native integration and an automation connector can have different permission, testing, and historical-sync behavior. The documented details here are product-specific; the sources do not establish a universal winner or a complete feature comparison across all editions.
