To accept UPI for a business in India, onboard with an acquiring bank or merchant payment provider, then use the merchant QR for in-person sales, a payment link for remote clients, or a payment gateway for a website or app. Check each payment in your merchant dashboard or bank records—not from a customer’s screenshot alone—and confirm the provider’s current fees and settlement terms before signing up.
Choose a way to accept payments that matches how you sell
NPCI says merchants can integrate UPI through QR, intent, application-based and collect modes. In practice, many small businesses and freelancers can start with a merchant QR or payment link; a gateway or integrated checkout is more relevant when payments need to happen through a website or app. The merchant acceptance arrangement comes through onboarding with an acquiring bank or provider, not from displaying a QR image by itself. In person: use a merchant QR
For a shop, market stall, service business or in-person freelance meeting, ask the provider to issue or configure a merchant QR. NPCI describes QR as a UPI merchant integration mode; the QR carries merchant information that the customer sees in their payment app. A static QR can be printed or displayed. Some provider offerings also include dynamic QR displays, speakers or POS equipment.
A sticker or standee is only a way to show the provider-issued QR. It does not create a merchant account or route funds on its own. For example, PhonePe’s offline merchant page describes QR stickers and standees, as well as SmartSpeaker and POS products.

Remote freelance work: send a payment link
A payment link lets you request payment remotely without maintaining a website. You can share it with a client for an invoice, deposit or project milestone. PhonePe describes payment links for businesses that do not have an app or website; review the provider’s link-expiry, refund, fee and settlement terms before relying on one for client work. Website or app: use a gateway or integrated checkout
If customers need to pay on your website or app, a payment gateway can provide checkout and integration options. PhonePe describes APIs, SDKs and plugins, as well as dynamic UPI QR. The right integration depends on your platform and checkout needs; confirm the technical requirements and commercial terms directly with the provider.

How to get set up
Onboarding is handled through an acquiring arrangement. NPCI says the acquiring bank carries out compliance and risk checks, configures merchant identifiers and UPI details, and provides the infrastructure. Requirements vary by provider, business type and category; there is no single document list that applies to every freelancer or small business.
- Choose an acquiring bank or merchant provider. Ask whether it accepts your business structure and category, and whether it supports the payment method you need: QR, links or online checkout.
- Confirm the provider’s KYC requirements. Ask which identity, business and bank-account documents it needs before you begin. Paytm’s merchant FAQ describes one provider’s flow, including registration, business details, KYC, account linking and merchant UPI ID or QR generation; treat it as Paytm-specific guidance, not a universal checklist.
- Check how the QR or checkout will work. Ask whether the QR is static or dynamic and which UPI apps can scan it. For remote and online payments, confirm how links or checkout are created and shared.
- Read settlement, support and pricing terms. Find out where funds settle, how settlement timing is determined, how to look up a transaction, and how to raise a dispute or request a refund. Check current fees and any hardware or gateway charges in writing.
- Test the setup and save your records. Make a test payment if the provider permits it, verify it in your merchant app or dashboard and bank records, and save the transaction reference and support instructions.
If you are considering using a personal UPI ID instead of an onboarded merchant QR, ask your bank or app whether that use is appropriate for your business and how records, limits and support work. Requirements can vary, and a universal rule for every bank and business type is not established by the cited guidance.

Verify payments, reconcile sales and handle problems
NPCI says funds reach the merchant pool or bank account as set out in the agreement after the customer confirms payment. The agreement and product determine how that works for your setup, so check the merchant-side status rather than assuming every product settles identically or instantly.
- Confirm receipt in your own records. Check the merchant app or dashboard and reconcile the transaction against bank records and its reference. A screenshot or verbal confirmation from a customer is not proof that your account received the money.
- For a pending or disputed payment, check before requesting another one. Use the provider’s transaction lookup or support process to avoid asking the customer to pay again while the first payment’s status is unclear.
- For transaction status or a grievance, contact the acquiring bank or provider. NPCI directs merchants to their acquiring bank for transaction checks and grievances. Refund processing follows the bank’s defined process. See the NPCI UPI FAQ.
- Keep customer-side checks clear. Ask customers to verify the displayed payee or merchant name and amount in their own UPI app before approving. Never ask for their UPI PIN or OTP.
What does it cost to accept UPI?
Fees depend on the payment product and provider, so check the live terms for the exact service you plan to use. The RBI report says the Government directed that MDR not be collected for UPI and RuPay debit card transactions effective January 1, 2020. That policy context does not establish that every gateway, payment link, device or optional provider service is free. The RBI report provides the policy background.
