The best merchant service for a small business depends on how customers pay, your transaction sizes, and what you need beyond payment acceptance. There is no single cheapest provider for every business: compare the fees for your actual mix of in-person, online, keyed, and invoice payments, then factor in software, hardware, payout terms, and account-risk policies.
What merchant services do
Merchant services let a business accept noncash payments through an online checkout, card reader, or point-of-sale (POS) system. Payment processing moves payment information and funds through the customer’s payment method and financial institutions toward the business’s bank account. Cards, digital wallets, and bank transfers may all be part of the mix. Shopify’s 2026 guide describes this flow; Square’s US overview discusses acceptance through card readers and POS systems.
Providers can include banks, independent sales organizations, and fintech companies. The label “merchant services” covers more than the transaction rate: the service may also include checkout software, reporting, invoices, recurring billing, hardware, and support.
How to compare providers for your business
- Sales channel: Identify whether you take payments in person, online, by phone or keyed entry, through invoices, or across several channels. Rates often differ by payment method.
- Effective fees: Compare the percentage and fixed charge for each payment type. Also check for monthly software, hardware, chargeback, payment gateway, PCI-related, or other fees that apply to your account.
- Monthly volume and average ticket: Fixed transaction charges have a larger proportional impact on small purchases. At higher volume, ask whether a custom quote or interchange-plus pricing is available, and compare the full estimated bill rather than the headline rate.
- Workflow: Check whether the service supports the inventory and POS tools, invoices, recurring payments, integrations, and reporting your business needs.
- Funds and risk operations: Review payout timing, dispute handling, account reviews, possible holds, and contract terms. A low rate is less useful if the provider’s operating terms do not suit your cash flow.
- Hardware compatibility: Confirm that a reader or terminal works with the selected processor and your existing devices before buying it.
Shopify’s 2026 guide gives a broad small-business processing range of 1.5%–3.5% per transaction. That is an editorial range, not a quote or a rate every merchant will receive; actual costs depend on provider, pricing model, and payment method.

The breadth of that list is a reminder to compare business fit and pricing structure rather than assume a short list is exhaustive.

The following are provider-stated examples on US pages accessed October 4, 2026. They are not directly interchangeable: payment channel, product, fixed fees, eligibility, and additional charges affect the amount a business pays. Verify the current schedule and terms before choosing.

For broader context, the U.S. Census Bureau reported that ecommerce accounted for 16.4% of total US retail sales in 2025, totaling $1.23 trillion, as reported by Shopify. That figure describes retail sales overall; it does not predict an individual small business’s online share or processing costs.

Understand the account model and operational trade-offs
The Federal Reserve Financial Services and Business Payments Coalition Small Business Payments Toolkit distinguishes pay-as-you-go aggregators such as PayPal, Stripe, and Square from traditional merchant-account arrangements. Aggregators can offer fixed rates without requiring a merchant account. The toolkit also discusses chargebacks, clearing delays, contract terms, and possible fund holds.
The toolkit is an older educational resource, so use it to understand the structural distinction—not as a statement of any provider’s current contract or protections. Read the provider’s current terms for account review, settlement timing, dispute processes, and termination provisions before you depend on a service for day-to-day cash flow.

Estimate the cost using your own transactions
- Gather a representative month. Estimate payment volume, number of transactions, average ticket, and the share paid in person, online, by keyed entry, or by invoice.
- Apply the matching rate to each channel. For a percentage-plus-fixed fee, estimate each channel as (volume × percentage rate) + (number of transactions × fixed fee). Use each provider’s relevant rate rather than applying an in-person rate to online or keyed payments.
- Add non-transaction costs. Include monthly software, hardware, gateway, chargeback, and other applicable charges. Separate one-time equipment costs from recurring costs.
- Check the operating terms. Compare payout timing, dispute procedures, account review or hold provisions, and contract commitments alongside the estimated fees.
- Recalculate when the business changes. A shift in average ticket, online share, or volume can change which pricing structure is favorable. If volume is substantial, ask providers for a quote based on the same transaction profile.
Choosing a card reader or POS system
If you accept payments in person, a card reader or POS terminal is a hardware decision tied to the processor. Square describes readers and POS systems as acceptance channels, and NerdWallet’s comparison presents Square as an entry point for brick-and-mortar businesses. Neither source establishes a universally compatible reader or a current Amazon listing. Before purchasing a device, match its model and connection requirements to the provider, software, and phone or tablet you plan to use.
