Monitoring may occur through software on the device, work accounts and services, device-management tools, or the network. The most reliable starting point is your employer’s written privacy and technology policies, followed by direct questions to IT or HR about what is collected and why.
Why there is no definitive on-screen sign
Workplace monitoring can leave no obvious indicator on the computer. A running process, a warm laptop, fan noise, or faster battery drain does not prove that monitoring is taking place. Conversely, not seeing a monitoring app does not rule out collection through account logs or network equipment.
The Information Commissioner’s Office (ICO) lists possible device-activity monitoring such as web browsing, emails and messages, documents, application use, screen captures, webcam captures, and keystrokes. These are capabilities employers may use—not evidence that any particular employer has activated them. See the ICO’s worker-monitoring guidance and its device-activity guidance.
Where monitoring can happen
On the computer
Software installed on a company computer—or a work agent on a personal computer—may collect device activity, security events, or configuration and compliance information. A visible work profile, management certificate, VPN, or security program is a clue that some work management may be configured; it does not establish which personal information, if any, is collected.

In work accounts and services
Work email, collaboration platforms, cloud storage, and other services can keep logs of activity such as sign-ins, authentication attempts, or configuration changes. The data available depends on the service and the employer’s setup.
On the network
Firewalls, proxies, and DNS services can produce records of website connections or DNS requests even if no monitoring app is visible on the computer. The UK National Cyber Security Centre (NCSC) describes these and other logging capabilities in its BYOD guidance. Connection records do not, by themselves, show that the employer is reading the contents of messages or documents.

What the device and network setup means for your privacy

How to check and get a clear answer
- Read the relevant policies. Look for the employee privacy notice, acceptable-use policy, remote-work rules, and any bring-your-own-device (BYOD) or device-management instructions. Note the stated purposes, data categories, access rules, retention periods, and any mention of screenshots, webcam, keystroke, application, or web-activity monitoring. The ICO says employers should make monitoring information accessible and explain how and why information is processed.
- On a personal device, review work-management settings. Check for a work or school profile and work-installed management, VPN, or security software. Treat what you find as a prompt to ask questions, not as proof that personal activity is being collected. Ask what the employer manages and whether private use is excluded; ICO guidance says employers should take care not to capture private use on workers’ own devices.
- Ask IT or HR specific questions. For example: “What information does the company collect from this device and my work accounts?” “Does monitoring include screenshots, webcam, keystrokes, browsing, or app-use records?” “Is collection continuous, event-triggered, or sampled?” “Who can see the records and how long are they kept?” “Does the work profile separate personal activity?”
- Raise concerns through an appropriate workplace channel. Avoid uninstalling work security or management tools, bypassing controls, or installing anti-spy software as a test on an employer-managed system. Device management and monitoring may serve security purposes, and a do-it-yourself experiment will not reliably establish what is collected.
- Ask about data used in a decision. If monitoring information contributes to a performance or disciplinary decision, ask what information was considered and how to correct or explain inaccuracies. The ICO notes that system errors or misinterpretation can make monitoring information inaccurate.
UK legal context—and why location matters
The legal points here are UK-specific, based on ICO and GOV.UK guidance accessed on 4 October 2026; they are not a universal statement of employment law. The ICO says data-protection law does not prohibit worker monitoring, but employers must carry it out lawfully and fairly, balance business purposes with workers’ rights, and use the least intrusive means that achieves the purpose. It also says expectations of privacy are generally greater at home, where monitoring may expose information about household or family members.
ICO guidance says workers should be told what is monitored and how their information is used, apart from very exceptional cases where covert monitoring is justified. For device-activity monitoring, the ICO calls for a defined purpose, documented justification, consideration of less intrusive alternatives, an appropriate lawful basis, and advance information to workers. A data protection impact assessment is required where processing is likely to pose a high risk.

GOV.UK says an employer may monitor without workers’ knowledge when it suspects lawbreaking and giving notice would make detection difficult, but only for a specific investigation and only until that investigation ends. The ICO notes that its guidance is under review following the Data (Use and Access) Act, so check the current guidance if you need to rely on it. For a dispute or a question about rights, seek advice that applies to your country.
