How to Correct Business Details Across Multiple GST State Registrations

Map every GSTIN, classify the changed field, and use the matching amendment route. Rule 19 applies only specified changes across same-PAN registrations; other corrections may require filings for each affected GSTIN.

To correct business details across multiple GST registrations, first identify every GSTIN linked to the business’s PAN and the exact field that changed in each record. Then file the matching amendment for every affected GSTIN. Some changes—particularly specified legal-name and day-to-day management changes—are expressly effective across registrations under the same PAN; other corrections should not be assumed to update every State automatically.

Start by mapping the GSTINs and the changed fields

Prepare a list of the business’s GSTINs and the States or Union Territories where it is registered. For each GSTIN, note the current particulars and the field that needs correction: for example, legal name, trade name, principal or additional place of business, authorized signatory, or another registration detail. This inventory helps distinguish changes that Rule 19 expressly applies across same-PAN registrations from changes that may need a separate filing for each affected GSTIN.

Keep the submission record and ARN for each filing. After processing, check the registration particulars and amended certificate for every GSTIN that should reflect the change. The GST Portal provides amended certificates for viewing or download.

Choose the amendment route based on the field

File a non-core correction on the GST Portal

  1. Sign in to the GST Portal and open Services > Registration > Amendment of Registration Non-Core Fields. GST Portal instructions
  2. Select the editable section that contains the detail to be corrected, enter the new information, and complete the portal’s verification and submission steps.
  3. Save the submission record and ARN. GSTN says a successful non-core filing is auto-approved, subject to portal validations and any required online verification.

The GSTN guide says a business address cannot be amended through the non-core application. Use the core amendment route for an eligible principal or additional place-of-business change instead. GST Portal instructions

File a core amendment with supporting documents

For a core field, Rule 19 provides for an electronic amendment application in FORM GST REG-14, with documents relating to the change. Follow the current portal prompts for the affected field and GSTIN, and provide the supporting material requested there. The proper officer reviews the specified core changes; if approved, the amendment order is in FORM GST REG-15. Rule 19 also directs a registered person to submit the amendment application within 15 days of the change. This is the statutory submission period, distinct from the rule’s 15-working-day officer-approval period. Use the currently available portal process and retain the ARN and submission record for each affected GSTIN. CGST Rules, Rule 19

Know which changes Rule 19 applies across registrations

For a legal-name change where the name recorded on PAN has not changed, and for the specified changes involving persons responsible for day-to-day affairs, Rule 19 says the change applies to all registrations held under the same PAN. For other corrections, including address and other registration details, the rule does not make a blanket promise of automatic State-by-State updating. Check each GSTIN and file for every registration that needs the corrected information. CGST Rules, Rule 19

Pause before a PAN change, relocation, or restructuring

If a change in business constitution changes the PAN, Rule 19 calls for a fresh FORM GST REG-01 registration application rather than an amendment to the old PAN’s registration. Moves, restructurings, closures, or other changes that may involve cancellation or a new registration can depend on the facts; do not treat them as routine address edits without checking the applicable requirements. For those cases, confirm current rules and portal prompts or obtain case-specific tax advice. CGST Rules, Rule 19

Check the result for each affected GSTIN

  • Confirm the amended particulars appear in the registration record for each GSTIN that required a filing.
  • View or download the amended registration certificate from the GST Portal where available.
  • Keep the ARN, submission record, supporting documents, and outcome with the relevant GSTIN’s records.

Portal labels and validations may change. The current field-specific prompts are important, and the available guidance does not establish a complete document checklist for every State, relocation, or closure scenario.
