Best Thank-You Letter Examples and Templates for Interviews, Gifts, and Favors

Find adaptable thank-you note examples for interviews, gifts, dinner invitations, and favors, plus help choosing a fitting format and tone.

Choose a format for the moment: use a concise email after a job interview, and a handwritten note for a significant gift, dinner invitation, or substantial favor. In either case, name what you’re thanking the person for and add one true detail that makes the message yours. The templates below are starting points—replace every bracketed prompt before sending.

Choose the right kind of thank-you note

These are context-specific choices, not a rule that one delivery method is always best. Emily Post recommends handwritten notes for dinner parties, substantial favors, gifts, and houseguest stays, while saying email is acceptable for casual coffee or meals and very small favors. Emily Post’s guide to thank-you notes also advises writing as soon as possible; as it puts it, “A late note is always better than no note at all.”

Thank-you email after a job interview

For an interview, send a brief note to the interviewer within 24 hours if possible. Purdue’s Center for Career Opportunities recommends that timing for email or mail; it is career-writing advice, not a universal deadline for personal notes. Purdue’s after-the-interview guidance recommends expressing thanks and interest, reminding the interviewer of a relevant qualification, supplying any missed or requested information if needed, and thanking them again. Excelsior OWL likewise recommends writing within 24 hours in its thank-you letter guidance.

Subject: Thank you for meeting with me

Hello [interviewer name],

Thank you for taking the time to speak with me about the [role] position. I especially appreciated learning about [specific project, team priority, or point from the conversation]. Our discussion reinforced my interest in [organization or role], and my experience with [relevant skill or example] would help me contribute to [specific need discussed]. Please let me know if I can provide any additional information. Thank you again for your time.

Keep the qualification tied to something real in the interview. If you owe the interviewer a requested item or want to clarify a missed point, include it briefly rather than turning the thank-you into a second cover letter. Purdue OWL distinguishes a thank-you note from a separate application-status follow-up in its follow-up and thank-you letter overview.

Optional formal letter version

Use a typed or handwritten letter when a more formal format suits the employer or situation. Purdue says email can help ensure timely receipt if an interviewer will be traveling; otherwise, a handwritten or typed letter may feel more formal. Keep the same message, but use a conventional greeting and closing.

Thank you for meeting with me on [day] to discuss the [role] position. I appreciated hearing about [specific project, team priority, or point from the conversation]. Our discussion strengthened my interest in [organization or role], and my experience with [relevant skill or example] could help with [specific need discussed]. Thank-you note for a gift or hospitality

A personal note can be brief: greet the person, thank them specifically, add a personal detail, and—if it feels natural—say something about getting together again. Emily Post’s guide recommends making the first sentence explicit about the gift or act, then adding an original thought.

Dear [name],

Thank you for [specific gift / inviting me to dinner / welcoming me into your home]. I especially appreciated [a true detail about the gift, effort, or occasion]. [Optional: I hope we can get together again soon.] Thank you again for thinking of me.

Warmly,
[Name]

For a gift, the detail might be how you plan to use it, if that is true. For a meal or stay, mention a particular dish, conversation, or kindness rather than relying on general praise.

Thank-you message after someone helps you

Recognize the action and its effect without overstating the favor. Offer to return it only if you genuinely mean to; a thank-you should not create a promise you do not intend to keep.

Favor template

Dear [name],

Thank you for [specific help]. Your [specific action] made it easier for me to [honest result]. I appreciate you taking the time, and I hope I can return the favor sometime.

Make the wording fit the recipient

Before sending, replace the prompts with details the recipient will recognize. For an email, Purdue OWL advises a meaningful subject line, greeting, standard spelling and punctuation, concise writing, and an appropriate signature block in its email etiquette guidance.

  • Check the recipient’s name and spelling.
  • Say exactly what you are grateful for.
  • Add one truthful detail about the conversation, gift, effort, or occasion.
  • Match the tone and delivery method to the relationship and situation.
  • Proofread, and remove any bracketed prompts before sending.

Thank-you notes are useful expressions of courtesy and interest, but the cited career guidance does not establish that sending one changes hiring outcomes. Keep the message sincere and specific rather than treating it as a formula for a result.
