How to Track Rideshare Mileage and Expenses for Taxes

A trip-by-trip log, receipts, and income records help rideshare drivers substantiate federal tax filings. See how to compare mileage and actual-expense methods.

Track each business trip as it happens, keep records of your total annual vehicle mileage, and save receipts and platform income statements. For your 2026 federal return, calculate standard-mileage deductions in two date ranges: 72.5 cents per business mile for January 1–June 30, 2026, and 76 cents per business mile for July 1–December 31, 2026. Those rates cannot be applied to all miles indiscriminately: the drive must qualify as business use, and your records need to support it.

What to record for every business trip

Keep a dated, trip-level log. For each business use of the vehicle, record:

  • Date of the trip.
  • Destination or area traveled.
  • Business purpose, such as picking up or transporting a passenger.
  • Odometer readings at the start and end, or the miles driven.

Also record the vehicle’s total mileage for the year and its business mileage. Those totals help substantiate business use, especially if you use the actual-expense method. The IRS accepts records such as logs, diaries, trip sheets, account books, and digital records. It says entries made weekly can be considered timely; waiting until tax time to reconstruct trips is weaker evidence.

As IRS Publication 463 puts it, “You can’t deduct amounts that you approximate or estimate.” A logbook is one practical format, but it is not required or IRS-endorsed. A spreadsheet or digital log can work if it captures adequate details and is retained.

A practical recordkeeping routine

  1. At the start of a shift or business-use period: note the date and odometer reading.
  2. For each business trip: enter the destination or area, business purpose, and miles or start and end odometer readings.
  3. Track parking and tolls separately: save receipts or transaction records and identify the business reason for the charge.
  4. Keep income records: save platform statements and payment records, including amounts not reported on an information form.
  5. Update the log regularly: weekly entries are preferable to a year-end reconstruction.
  6. At year-end: total business miles and all miles driven in the vehicle; retain receipts for actual vehicle expenses if using or evaluating that method.

Which rideshare miles count as business use?

Do not assume that every mile driven with a rideshare app open is automatically deductible. IRS Publication 463 generally treats travel between home and a main or regular workplace as personal commuting. Parking at a regular workplace is generally commuting too, although qualifying business parking and tolls may be deductible.

Rideshare situations such as driving between passenger trips, repositioning, or waiting with the app active can depend on the facts. Keep a clear record of what you were doing and why the trip was business-related; the general commuting rule does not settle every app-on mile. For uncertain situations, consult a tax professional familiar with your circumstances.

Standard mileage or actual vehicle expenses?

The two federal methods calculate vehicle deductions differently. Compare them using complete records, and apply the rules for your vehicle’s history before choosing.

Choice restrictions For an owned car, choosing the rate in the first year it is available for business use can preserve the option to choose later. For a leased vehicle, using the rate requires continuing it for the entire lease, including renewals. Availability depends on vehicle history and applicable depreciation rules.

For 2026, divide qualifying miles by date: use 72.5 cents per business mile for January 1–June 30, 2026, and 76 cents per business mile for July 1–December 31, 2026. The IRS revised the rate beginning July 1, 2026, following recent fuel-price increases. Do not apply one rate to every mile driven during the year.

If you use standard mileage, do not also deduct actual operating costs already represented by the rate. The IRS permits qualifying business parking and tolls in addition to the rate; parking at a regular workplace may instead be a personal commuting expense. With actual expenses, claim only eligible costs and allocate mixed-use costs between business and personal use.

Report rideshare income, not just expenses

Rideshare income is taxable. Report all income, even if a platform does not send a Form 1099 or another information return. The IRS states: “You must report all income on your tax return, even if you don’t receive Forms 1099 from the businesses that pay you.”

The IRS says a person generally must file a federal return if net self-employment earnings are at least $400. Independent contractors may also need to make estimated tax payments. These are general federal rules; your filing and payment obligations depend on your full tax situation.

How long to keep your records

IRS Publication 463 gives three years from filing as the general period for retaining records that support a deduction or income item. Vehicle business-use records may be needed for each year in the vehicle’s recovery period, so vehicle documentation can warrant longer retention. Keep logs, receipts, platform statements, and payment records together in a format you can retrieve if needed.

This guidance covers US federal taxes for rideshare drivers, particularly self-employed or independent-contractor drivers. State and local rules can differ. Check the IRS standard mileage rates for later years or subsequent revisions, and consult a qualified tax professional about fact-specific trips or deductions.
