There is no universal winner: Smartsheet suits spreadsheet-oriented PMOs, monday.com and Asana emphasize accessible portfolio visibility, Wrike is a stronger candidate when resource capacity and budgets matter, and Planview is aimed at enterprise strategy and investment governance. The right choice is the lightest platform that can keep portfolio data accurate and support the decisions your organization actually makes.

Which tool fits each portfolio use case?
Smartsheet: flexible, spreadsheet-style PMO portfolios
Smartsheet is a strong shortlist choice when teams already understand grids, forms, reports, and dashboards and want standardized project intake alongside rollups. Its portfolio offering emphasizes intake, approval processes, templates, automated project provisioning, and portfolio rollups. The trade-off is that the named Portfolios capability appears in Enterprise and Advanced Work Management, while Control Center and other scaling tools are associated with Advanced Work Management. Review Smartsheet’s portfolio features and plan gates before assuming a lower tier covers a PMO’s needs.
Smartsheet’s grid flexibility can also work against standardization: without controlled templates and field definitions, different project owners may record the same information in incompatible ways. It is less attractive if teams strongly resist spreadsheet-like interfaces or the organization cannot assign an owner to maintain its configuration.

monday.com: visual cross-functional tracking
monday.com is suited to teams that value a visual workspace and want portfolio views alongside day-to-day execution. Its product page describes an All Projects Dashboard that consolidates connected project boards, with a stated maximum of 200 boards, and AI-assisted portfolio risk insights. Treat the board limit and AI availability as product- and plan-specific; monday.com’s plan documentation should be checked for the configuration being purchased. AI-generated risk signals can prompt review, but they do not replace named risk owners, mitigation plans, or escalation rules.
The portfolio page lists a free plan for up to two seats and annual-billing paid prices of $9 Basic, $12 Standard, and $19 Pro per seat/month, with Enterprise priced through sales. It says portfolio dashboards and AI risk analysis are available on Standard and above. Asana: goals and cross-functional portfolios
Asana Advanced is a fit for teams that want to connect portfolios with goals, workload, approvals, reporting, and cross-functional execution without moving directly to a dedicated enterprise PPM suite. Asana positions Advanced for organizations managing portfolios and goals across departments. Its features include unlimited portfolios, goals, workload, approvals and proofing, formulas, and selected reporting integrations. The plan page lists Advanced at $24.99 per user/month billed annually; Starter is $10.99 per user/month billed annually, and Personal is free for up to two users. Enterprise pricing is custom. Verify current terms on Asana’s pricing page.
Workload in Advanced applies to projects in a portfolio; Enterprise adds universal workload and capacity planning across projects and portfolios. That distinction matters if leaders need organization-wide capacity rather than a view limited to portfolio projects. Asana’s portfolio organization and formula fields also should not be mistaken for full capital allocation, cost forecasting, scenario analysis, or benefits-realization controls.

Wrike: capacity and rate-based budgeting
Wrike deserves a closer look when staffing capacity, utilization, and project economics drive portfolio decisions—particularly in agencies and professional-services teams. Its Pinnacle tier lists advanced resource and capacity planning, role management, portfolio financial tracking, advanced reporting and BI, and monitoring budgets using team-member or role-based bill and cost rates. Its page also describes two-way syncs with 22 integrated systems, including Jira and GitHub; confirm the specific integration and synchronization behavior you need rather than treating a count as proof of fit.
The PMO pricing page displays Business at $25 per user/month for the shown configuration, while Pinnacle and Apex require contacting sales. Wrike says the displayed packaging applies to new purchases on or after January 21, 2026 and may change. Check the current PMO pricing page for the configuration and contract being considered. Wrike’s deeper capabilities can bring added cost and administrative demands, making it harder to justify when the need is only a simple dashboard.
Planview: strategic portfolio governance
Planview is the clearest fit on this shortlist for mature PMOs and EPMOs managing investments across business units. Its strategic portfolio management framing connects strategy and capital allocation with resource allocation, execution, and measurement of intended outcomes across initiatives and investments. Its project portfolio management offering also emphasizes demand, prioritization, resource planning, and scenarios. See Planview’s SPM overview and PPM overview.
This depth makes Planview a poor match for a small team that only needs project status and milestones. Enterprise configuration, process design, integrations, adoption, and sales-led pricing should be part of the buying decision; a reliable public starting price is not established here.

Jira Align: Agile-at-scale planning
Jira Align is a specialized option for large software and product organizations coordinating programs, dependencies, and strategic objectives across Agile teams, particularly those already operating in an Atlassian-centered environment. It should not be confused with Jira Software: Jira Software primarily manages issues and team work, while Jira Align is the enterprise portfolio and program planning layer. It is usually a poor fit for non-Agile organizations or general business portfolios. Atlassian’s Jira Align product page is the appropriate starting point for product and sales details; do not infer its price from Jira Software pricing.
Celoxis: project economics and profitability
Celoxis merits evaluation by mid-market PMOs and professional-services organizations where budgets, costs, billing, margins, resource use, and multi-project reporting are more important than a consumer-style interface. A comparison by TechnologyAdvice identifies it as a financial portfolio-tracking option. That is a comparison-source characterization, not independent proof that it will meet a specific organization’s requirements. Check the official Celoxis pricing page for live plans and billing, and test its integrations and reporting against the existing stack.
ClickUp: configurable work management
ClickUp can suit teams willing to assemble their own portfolio model from custom fields, views, dashboards, and automation. That flexibility is useful when the portfolio is relatively simple or the organization has a clear internal owner for configuration. It can become a source of setup and governance overhead if definitions drift. Confirm the selected plan’s portfolio, workload, reporting, automation, storage, and usage limits on ClickUp’s pricing page; current figures are not established here.
What portfolio management software actually needs to manage
The term covers several different jobs. A task manager tracks individual work; project management organizes delivery of a defined initiative; program management coordinates related projects. Project portfolio management (PPM) compares and governs multiple projects or programs, while strategic portfolio management (SPM) connects strategy, funding, capacity, execution, and outcomes. Planview describes SPM as connecting strategy and capital allocation to business outcomes across initiatives, programs, and investments. A dashboard that collects project statuses is not automatically a PPM or SPM system.

This comparison covers project, program, and strategic portfolios. It does not rank investment portfolio trackers for securities, asset allocation, tax lots, or household net worth.
Portfolio intake and prioritization
Look for centralized request forms, business-case capture, approvals, duplicate-request handling, strategic alignment, scoring, standard templates, and automated project setup. A prioritization model may weigh strategic contribution, customer or regulatory impact, expected revenue or savings, risk reduction, effort, capacity demand, dependencies, time to value, and confidence in benefits. Sorting projects by status is not the same as comparing investments. Smartsheet’s portfolio offering emphasizes intake, approvals, standardized templates, provisioning, and rollups.
Resource and capacity planning
Determine whether the software can compare demand with available capacity by person, role, team, or skill; show allocation percentages and over-allocation; account for external resources; and model what-if scenarios. A workload chart may be useful, but it is not necessarily a forecast by skill or role. Ask whether actual effort or timesheet data feeds the planning model. For example, Asana distinguishes workload for projects within a portfolio from Enterprise universal workload and capacity planning; Wrike lists advanced resource and capacity planning in Pinnacle.
Financial controls and outcomes
Decide whether the portfolio must track estimates and actual costs, labor rates, capital versus operating expenditure, budget variance, forecast cost at completion, revenue and margin, funding by strategic theme, or benefits realization. Confirm how the system calculates these values: a manually entered budget field is not equivalent to costs derived from time, rates, forecasts, and approved changes. Wrike lists budget monitoring using team-member or role-based bill and cost rates in its higher-tier offering. If investment choices depend on business cases, ask whether assumptions and expected benefits can be compared and later measured against results.

Dependencies, risks, scenarios, and reporting
Useful portfolio-level controls include cross-project dependencies, schedule conflicts, risk probability and impact, mitigation owners, critical-path visibility, change-impact analysis, and scenario modeling. Executive views should support drill-down to project detail and show schedule or budget variance, capacity, strategic-goal progress, and data freshness. Automated or AI-assisted risk insights can help surface questions; formal governance still needs defined risk criteria, human review, owners, due dates, mitigations, and audit history.
Governance, integrations, and data quality
For larger organizations, evaluate role-based access, SSO/SAML, user provisioning, audit trails, data residency, retention, approval history, export/API access, and standard templates. Test whether the tool can exchange data with the systems where work actually happens—such as Jira, Azure DevOps, ERP, CRM, or finance platforms—and identify which system owns each field. A manual monthly dashboard can create a reporting tax rather than a trustworthy source of truth. Assign data owners, update cadences, stale-status escalation, and shared definitions for green, yellow, and red before rollout.

Use the following as practical heuristics, not universal portfolio-size standards:
- A handful of initiatives and basic visibility: a structured spreadsheet or lightweight work-management tool may be sufficient if the minimum record is just project name, owner, status, target date, strategic theme, budget, risk, dependency, and last update.
- Recurring cross-team reporting and goals: compare Asana, monday.com, ClickUp, and Smartsheet based on adoption, governance, and the exact portfolio features in the relevant plan.
- Role capacity, cost rates, utilization, and budgets: evaluate Wrike or Celoxis closely, validating how forecasts and actuals are calculated.
- Formal PMO intake and standardized provisioning: compare Smartsheet, Wrike, and dedicated PPM options against the organization’s templates and controls.
- Enterprise strategy, funding, scenarios, and benefits: consider Planview or a comparable enterprise SPM platform, with implementation and change management included in the evaluation.
- Agile-at-scale planning: assess Jira Align when portfolio coordination is built around Agile delivery and Atlassian workflows.
Before choosing, score the criteria that drive actual decisions. A typical organization-wide PPM evaluation might weight portfolio visibility and reporting, resource capacity, intake and prioritization, and financial management at 15% each; risk and dependencies, strategic alignment, and integrations at 10% each; and governance and ease of adoption at 5% each. These weights are a starting point, not an objective formula. Marketing portfolios may emphasize approvals and proofing; product portfolios may emphasize dependencies and roadmaps; professional services may prioritize margins and utilization; transformation portfolios may emphasize scenarios and benefits.

Questions to ask before buying
- Which exact plan includes portfolios, and are the portfolios unlimited?
- Is resource management included or an add-on? Can it plan by role and skill, not only named user?
- Does the system calculate actual costs from time and rates, and can it separate capital from operating expenditure?
- Can it model scenarios and show the effect of a change across schedules, capacity, and funding?
- Can it synchronize with the organization’s delivery, ERP, CRM, and finance systems? Which direction does each integration sync?
- How does it flag stale updates, and what happens when a project is archived or its template changes?
- What limits apply to dashboards, boards, projects, automations, API calls, storage, and guests?
- Can the organization export all portfolio data, and what audit, retention, SSO, provisioning, and data-residency controls are available?
- What implementation, migration, integration, administration, training, and change-management work is required?
- What is the total cost for the needed user types, seats, features, add-ons, and contract term?
Pricing and implementation costs to compare
Public per-user prices are not directly comparable unless billing cadence, seat count, user roles, and required features match. A low entry tier may not include portfolio views, capacity planning, or governance. As shown above, Smartsheet lists Portfolios in Enterprise and Advanced Work Management; Asana places unlimited portfolios and workload in Advanced; and Wrike lists advanced capacity and budgeting in Pinnacle. monday.com’s cited portfolio page puts its dashboard and AI risk features on Standard and above.
Build a total-cost estimate that includes licenses, minimum-seat or guest rules, add-ons, implementation services, data migration, integration work, administration, training, and ongoing reporting maintenance. For custom-priced enterprise products, request a quote for the intended configuration rather than inferring a rate from another product or tier. Confirm the commercial order form because capabilities and terms may change.
