Why Communication Infrastructure Matters as Businesses Grow

Growth adds users, locations, devices, and cloud services that depend on business communications. See what to assess before choosing or changing a system.

As a business grows, more people, locations, devices, and cloud services depend on calls, messages, and collaboration tools. Communication infrastructure deserves attention because those services rely on the underlying network and security controls—not just on the platform employees see. Planning them together can help a company understand its capacity, continuity, security, and operating costs; buying more technology by itself does not guarantee better productivity or growth.

Why does communication infrastructure become more important as a business grows?

Growth expands the number of users and endpoints that need to communicate, and often adds locations and cloud applications to the mix. That makes communications increasingly dependent on a distributed network and the controls governing access to it.

NIST’s SP 800-215, Guide to a Secure Enterprise Network Landscape, published in November 2022, describes how cloud services, geographically spread IT resources, and microservices have changed enterprise networks. Its guidance is technical rather than a ready-made plan for every company, but it makes a practical point: communications planning should account for the network that carries services and the security around that network.

Cloud-hosted email illustrates how common cloud services have become, without proving how many businesses use cloud phone or collaboration platforms. In 2025, 53% of EU businesses bought cloud computing services—85% of large businesses and 52% of SMEs—and 85% of EU businesses using cloud computing relied on it to host email, according to Eurostat’s Digitalisation in Europe – 2026 edition. These are EU statistics about cloud computing and email, not UCaaS adoption rates.

What should a growing business look for in a communication system?

Compare operating models against business needs rather than assuming one model suits every company. Options include cloud-hosted communications, locally hosted systems, and a mix. A cloud service may support distributed teams, but it still depends on suitable connectivity and does not remove the need to assess security, reliability, integrations, or total cost.

Decision area Questions to answer
Scale and administration How are users, phone numbers, locations, and devices added or removed? Who manages access and service changes?
Reliability and continuity What availability does the service provide? How much does it depend on the internet? Is backup connectivity needed, and what is the outage procedure?
Security and compliance How are identity, devices, encryption, logging, data handling, and applicable regulatory obligations addressed?
Integration and usability Does the system fit current email, calendars, customer systems, and workflows? Can employees use it consistently across devices?
Total operating cost What will licensing, network upgrades, support, migration, and existing equipment cost together—not just the subscription?

Microsoft’s overview of unified communications describes connecting communication tools across devices, departments, and time zones. It also identifies consistent user experience and security—including encryption, controls, privacy, and transparency—as selection considerations. This is vendor guidance, not an independent comparison showing that a particular platform is best.

How should security and continuity change as the network expands?

A distributed environment can make the old idea of a single, clearly defined network perimeter less useful. NIST’s announcement of SP 800-215 describes how cloud services, distributed resources, and branch offices affect network security and the attack surface. The practical response is to decide how access, devices, traffic, monitoring, and incident response will be managed as the environment changes.

NIST discusses approaches including zero trust network access (ZTNA) and secure access service edge (SASE). These are design approaches, not turnkey checklists or guarantees of security. A business should evaluate controls in light of its own systems, data, risks, and regulatory needs.

Eurostat reported that 22% of EU businesses experienced ICT security incidents in 2024, while 93% used at least one ICT security measure. Common measures included strong password authentication, backups in a separate location or in the cloud, and network access control. These EU-wide figures show that incidents are a real business concern; they do not establish that any measure prevents every incident or represent businesses worldwide. A communications plan should account for what employees can do during service or network outages and how the organization will respond to security incidents.

How can a business plan before it buys or switches?

Start with the work communications must support and the environment already in place. A staged assessment can reveal whether the constraint is the service, the network, administration, or a combination.

  1. Inventory the environment. List communication channels, users, locations, endpoint types, cloud services, business-critical workflows, and the amount of disruption the business can tolerate.
  2. Identify bottlenecks and risks. Check capacity, connectivity, access management, security controls, and continuity arrangements against the inventory.
  3. Test integrations and day-to-day use. Confirm that the proposed service works with existing email, calendars, customer systems, workflows, and employee devices.
  4. Compare full operating costs. Include subscriptions or licenses, network changes, support, migration, and equipment already in use.
  5. Plan changes and assign ownership. If a change is warranted, plan a staged migration where appropriate and name an owner for access, user, and service changes.

There is no universal employee-count threshold at which a business needs a particular architecture. A network switch or business Wi-Fi access point may be relevant if an assessment identifies a specific capacity or access need, but equipment choices depend on coverage, device load, security, and the existing network design.

What do industry adoption figures say—and not say?

Metrigy, an industry research provider, reported that 58.6% of businesses worldwide used UCaaS as their sole phone and collaboration platform in a 2025 study of 775 companies, published in 2026. Metrigy also estimated the global UCaaS market at $23.0 billion in 2025. These figures describe that firm’s study and market estimate; they are not an official census, a comparison of providers, or evidence that a particular business should adopt UCaaS.
