The CRM Maintenance Checklist: What Businesses Should Review Every Quarter

A practical quarterly CRM review for cleaner records, safer changes, current access controls, and more dependable business reports.

Every quarter, review your CRM’s data quality, fields, pipeline, user access, automations, integrations, backups, and reports. Measure problems before changing records, back up the system before bulk edits, and finish by validating the results and assigning owners to unresolved work. The routine helps keep sales and service records usable and the reports built from them trustworthy.

Quarterly CRM maintenance checklist

1. Check data quality and duplicates

  • Review duplicate contacts, accounts, leads, and other record types using the matching rules, reports, duplicate rules, or scheduled jobs available in your CRM.
  • Look for records with missing required information, stale details, inconsistent formatting, or no clear owner. Track counts over time, but establish your own baseline rather than assuming there is a universal acceptable duplicate or completeness rate.
  • Before merging, document which record should survive and how conflicting field values will be handled. Salesforce documents record-level duplicate handling and organization-wide duplicate jobs; Microsoft Power Platform documents recurring checks and scheduled bulk duplicate-detection jobs. The exact controls and labels depend on the product and configuration.

2. Audit fields, definitions, and data standards

  • Review custom fields and properties for unused, duplicated, or ambiguous definitions. Confirm that teams understand what each retained field means and when to use it.
  • Check required fields, accepted values, formatting rules, unique identifiers, lifecycle stages, and ownership conventions. Where possible, use validation rules to prevent avoidable errors at entry.
  • Keep a data dictionary for custom fields, including their purpose and responsible owner. HubSpot’s administration guidance recommends a quarterly property audit and documenting custom properties; its data-quality guidance also recommends mapping the schema, using field-level permissions, and reviewing data-quality dashboards.

3. Compare pipeline stages and handoffs with the real process

  • Confirm that sales or service stages reflect how work actually moves, rather than an outdated process or a convenient reporting label.
  • Review stage-gated fields, close dates, amounts, ownership routing, service-level expectations, and handoff notes. Check that information needed by the next person is captured at the point it becomes necessary.
  • Salesforce’s checklist guidance recommends mapping the stages a lead moves through and checking that the CRM matches that process. HubSpot recommends conditional pipeline stages and handoff rules. Adapt these controls to your own team’s process.

4. Review users, permissions, and sensitive-data access

  • Compare active CRM users with current staff and approved business needs; remove or disable access for departed users according to your organization’s process.
  • Review roles and administrator access, as well as permissions to view, export, or delete records. Check field-level visibility and access to sensitive data.
  • Confirm that access controls and data-residency arrangements still meet applicable organizational and compliance requirements. Salesforce’s checklist guidance includes reviewing access controls, data residency, and compliance certifications; HubSpot recommends team and field-level permissions.

5. Inspect workflows, automations, and integrations

  • Inventory workflows, webhooks, imports, sync connections, and integration users. Look for failures, stale field mappings, disconnected tools, duplicate record creation, and automations that no longer fit the process.
  • Check error logs or data-quality dashboards where available, and confirm that an accountable person monitors important connections and workflow failures.
  • Review how data is transferred between systems. HubSpot’s integration documentation warns that overlapping transfer and sync mechanisms can create duplicates, so confirm that each data path has a clear purpose.

6. Check backups and protect changes

  • Export or otherwise back up the CRM before bulk merges, deletions, schema changes, or major automation edits. Confirm what the backup contains and how it can be restored or used to recover records.
  • Test merge logic on a filtered subset before applying it broadly. Document the intended outcome and inspect the affected records before proceeding.
  • After a material change, validate record counts, field values, workflows, integrations, and access. HubSpot recommends a backup export and testing merge logic before bulk changes; Salesforce migration guidance recommends a complete backup and post-change validation.

7. Validate reports, dashboards, and remediation ownership

  • Check that pipeline, conversion, forecast, activity, and service reports still use current fields and stages. Review dashboards whenever a field definition or pipeline stage changes.
  • Investigate unexpected totals or trends against the underlying records and filters instead of assuming the dashboard is correct.
  • Assign an owner and due date to each cleanup or remediation item, and record unresolved risks. Salesforce and HubSpot both emphasize that dependable reporting relies on accurate, governed data.

Run the review over four weeks

  1. Week 1 — Measure: Establish a snapshot of the issues identified in the checklist, including data problems, system errors, access changes, and report anomalies. Record the date and definitions used so the next quarter’s figures can be compared fairly.
  2. Week 2 — Clean safely: Complete approved record cleanup and ownership corrections only after the backup and test steps above. Apply the organization’s retention policy when archiving records.
  3. Week 3 — Verify controls: Review whether permissions, field definitions, pipeline gates, workflow logic, integration credentials, and sensitive-data access still match current needs.
  4. Week 4 — Validate and document: Recheck affected records and reports, test key automations, document remaining risks, and assign owners and due dates for the next quarter’s actions.

Keep the checklist useful across quarters

Save the baseline, definitions, completed changes, and unresolved actions in a shared maintenance log. Compare like with like each quarter, since a change in matching rules or report filters can alter counts without reflecting a real change in data quality. CRM features and implementation details vary by platform, edition, and configuration; use the applicable product’s current administration guidance when following its controls.

Salesforce Help describes the value of clean records this way: “Maintaining clean, accurate data is one of the most important things you can do to get the most out of Salesforce.”
