A strong character reference letter gives a decision-maker a credible, firsthand account of someone’s conduct. It identifies the writer, explains the relationship, acknowledges the purpose, and supports a few relevant qualities with specific examples. Court, employment, rental, immigration, volunteer and school requests each have different requirements, so confirm the recipient’s instructions before sending.
What a character reference letter is
A character reference is a personal account from someone who knows the subject well enough to describe observed reliability, honesty, responsibility, conduct or community involvement. It is not a résumé, a legal argument or a collection of unsupported compliments.
Acas distinguishes a character reference from a work reference: the writer explains how they know the person, how long they have known them, their strengths and their suitability for the decision. Opinions should be fair, accurate and supported by evidence. Acas also says references must not be misleading or include irrelevant personal information (Acas, updated 29 November 2024).
What to include in every letter
1. Your identity and credibility
Give your full name and occupation or relevant role. Add qualifications, organisation, address or telephone number when the recipient requires them or when they help establish how you know the person. Use professional letterhead only when authorised and appropriate; do not imply that you speak for an employer or organisation without permission.

2. Your relationship and length of acquaintance
State when you met, how you know the person and how often you interact. “I have known Sam for six years as a neighbour and volunteer coordinator, seeing him weekly” is more useful than “I know Sam well.”
3. The purpose and relevant context
Name the role, tenancy, application or other decision when the recipient expects it. For a court reference, state that you understand the person is before the court and identify the charge or matter and plea only to the extent you genuinely know those facts.

4. Specific, firsthand evidence
Replace adjectives with one or two incidents. Explain what happened, what the person did and what resulted. A concrete example of accepting responsibility, helping someone, meeting a commitment, volunteering or handling pressure is stronger than a list of virtues.
5. An honest closing and contact details
Give your overall view in measured language, offer a phone number or email if suitable, sign the letter and follow the requested file format, copy count and submission method.

Court guidance from Victoria Legal Aid and Legal Aid NSW treats the letter as information the decision-maker may consider when assessing a person’s circumstances and character. Requirements differ by jurisdiction and court; use the exact recipient and salutation requested.
- Check the instructions and deadline. Confirm the court, presiding magistrate or judge, required format and whether the person’s lawyer must file or provide the letter.
- Date and address the letter correctly. Victoria Legal Aid instructs writers to date the reference, address it to the presiding magistrate or judge, begin with “Your Honour,” and include a full name and phone number.
- Identify yourself and the relationship. State your occupation, how long you have known the person and the nature and frequency of contact.
- Acknowledge the matter honestly. Say that you understand the charge or matter and, where relevant, the plea. Include only facts you personally understand; do not repeat rumours or argue disputed evidence.
- Give relevant examples. Describe observed conduct and community involvement that helps the court understand the person. Mention future plans or circumstances only if you know them firsthand.
- Close respectfully. State your honest view, provide contact details, sign and print your name.
Illustrative court format
[Date] The Presiding Magistrate/Judge [Court] Your Honour, My name is [full name], and I am [occupation]. I have known [person] for [period] as [relationship]. I understand that [person] is before the court regarding [charge or matter], and I am aware of [relevant plea or facts genuinely known]. In my experience, [person] has shown [trait] when [specific event]. I observed [concrete behaviour and outcome]. [Add another firsthand example only if relevant.] I understand the seriousness of the matter. My view of [person] is based on [length and nature of contact]. I can be contacted at [phone/email]. Yours faithfully, [Signature] [Printed name]
What not to put in a court reference
- Do not tell the court what penalty to impose.
- Do not argue about the law, police or disputed evidence.
- Do not include irrelevant private detail.
- Do not make a statement you know is false.
- Do not call the conduct “out of character” if you know of similar prior conduct.
Victoria Legal Aid’s guidance is to write formally while speaking honestly about the person (updated 20 February 2026). Legal Aid NSW likewise advises acknowledging the offence and plea where relevant rather than avoiding the subject.

Choosing the right referee
The best referee is an adult with a good reputation who knows the person well enough to provide current, specific, firsthand examples and is permitted by the recipient’s rules to write. Legal Aid NSW identifies possible referees such as a neighbour, employer or colleague, doctor, teacher, family friend, or community or club member. For a court letter, the writer should be willing to acknowledge the offence.
A close friend can write a character reference when the receiving organisation allows it, but a friend who has little direct contact may be less persuasive than a neighbour, supervisor or community leader who has observed relevant conduct. Never select someone simply because they will exaggerate praise.

Adapting the letter to its purpose

How long should it be?
No official guidance establishes a universal ideal word count or a guaranteed effect on an outcome. Aim for the shortest letter that identifies your credibility, relationship, relevant context and one or two well-supported examples. A concise, readable letter is preferable to pages of repeated praise. Follow any length limit or form supplied by the recipient.
Editing and submission checklist
- Confirm the recipient, purpose, jurisdiction and deadline.
- Check every name, date, charge, job title and contact detail.
- Separate what you personally observed from what someone else told you.
- Replace general praise with verifiable incidents.
- Remove protected, private or irrelevant information and anything you cannot defend.
- Use a respectful, factual tone; avoid exaggeration.
- Confirm whether a signature, letterhead, identification, file type or number of copies is required.
- Submit through the requested channel, often via a lawyer, court registry, employer, agent or online portal.
Common questions answered
Can a family member write one?
That depends on the recipient. A family member may be allowed, but the relationship should be disclosed and the writer should explain why their observations are relevant. An independent referee may carry more weight where the rules permit one.
Should I mention weaknesses?
Address an issue only when it is relevant, firsthand and necessary for an accurate account. Do not volunteer sensitive information that the recipient did not request, and never conceal known facts by making an absolute claim you cannot support.
Can I reuse the same letter?
Only as a starting draft. Change the recipient, purpose, examples and requested format for each decision; a generic letter can appear careless or irrelevant.
Where can I find a template?
