Yes—256 GB is enough for a light, cloud-first laptop, but it is a constrained choice rather than a safe default in 2026. Browsing, email, streaming, schoolwork and cloud documents can fit comfortably. Games, creative applications, local media libraries, virtual machines and long-term primary use usually justify 512 GB or 1 TB.

The deciding factor is not Windows versus macOS alone. It is how much software, media, project data and offline content you keep on the internal drive.
What “256 GB” really gives you
The number on the box is the drive’s advertised capacity, not empty space available for your files. Formatting, the operating system, recovery partitions, preinstalled programs, updates, temporary files and caches all consume capacity. The exact result varies by model, operating-system edition, recovery setup and manufacturer software, so there is no universal usable-space figure.
Browser caches, Downloads, local copies of synchronized folders, phone backups, game launchers and application libraries grow over time. A drive that has room for your current documents can still become uncomfortable when an update needs temporary working space or a video editor creates proxies and render caches.

Do not run any laptop permanently at near-zero free space. Keep a meaningful buffer, check storage periodically and treat free space as working capacity—not wasted capacity.

Microsoft’s buying guidance spans 256 GB to 1 TB or more and says people who keep creative files in the cloud may need less internal storage. It also presents 128–256 GB as suitable for users who prefer cloud storage such as OneDrive (Microsoft’s laptop-buying guide).
Who should skip 256 GB?
- Gamers: modern games can occupy tens or more than 100 GB each, and launchers may need additional temporary space for updates.
- Video editors: 4K footage, proxies, exports and cache files can fill a small drive quickly. Your archive may be elsewhere, but the active project still needs working space.
- Photographers: RAW originals and local catalogues are much larger than ordinary compressed phone pictures.
- Music producers and offline listeners: sample libraries and downloaded lossless music consume substantially more than streamed audio.
- Developers: SDKs, package caches, Docker images, emulators, build artifacts and local databases can exceed the size of the source code.
- Virtual-machine users: one Windows or Linux virtual machine takes many gigabytes before applications and snapshots are added.
- Frequent travellers: downloaded films, maps, documents and games temporarily turn a comfortable drive into a full one.
- Long-term primary-laptop buyers: four or more years of updates and accumulated data make a small, non-upgradeable drive harder to manage.
Windows, Mac and Chromebook differences
Windows
Windows 11 requires at least 64 GB of available storage, but Microsoft describes that as a minimum and warns that updates and features can require more (Windows 11 requirements). It is not a comfortable-capacity recommendation.

OneDrive Files On-Demand can leave selected files online-only, while files marked for offline use consume local space. Microsoft 365 home plans include 1 TB of OneDrive storage per user, and family-oriented plans can provide up to 6 TB total (Microsoft 365 system requirements). As of the current support page, the OneDrive desktop app requires Windows 10 version 22H2 or Windows 11; support for Windows 10 version 21H2 and earlier ended August 15, 2026 (OneDrive system requirements).
macOS
A 256 GB Mac can suit office, study, browser and cloud-based work. iCloud Drive and Optimize Mac Storage can reduce locally stored copies, but optimization is not an independent backup. macOS applications, creative caches, iPhone and iPad backups, Xcode components, virtual machines and local media libraries can make 256 GB restrictive.
Modern thin Mac laptops generally do not offer user-upgradable internal storage, so capacity matters at purchase. An external SSD helps, but adds a device and cable and can be forgotten or disconnected. Storage performance also varies by model and generation; do not assume every 256 GB Mac is slower than a 512 GB model without model-specific testing.

Chromebooks
Chromebooks are often the strongest case for 256 GB because browser applications and cloud storage do most of the work. Local Android and Linux apps, downloaded media, photos and Linux development environments can still consume the drive. A 128 GB or 256 GB Chromebook may suit a cloud-first student better than a 256 GB Windows or Mac laptop, but verify whether the model supports expandable storage. A microSD card is useful for media, not a complete replacement for fast internal storage.
Which activities consume space fastest?
These are planning examples, not guaranteed sizes for every software version:

- Games: individual installations range from several gigabytes to well over 100 GB, with additional update and shader space.
- Video: camera originals, proxies, exports and editing caches multiply the size of the source footage.
- Photos: RAW files and local library databases grow far faster than compressed JPEG snapshots.
- Music: downloaded lossless libraries are materially larger than streamed music.
- Development: toolchains, emulators, containers, dependencies and build outputs often outweigh the repository itself.
- Virtual machines: the virtual disk, snapshots and guest applications all need room.
- Offline travel: temporary downloads can consume dozens of gigabytes even on a light-use machine.
Separate working storage from archive storage. You can have terabytes of archived photos while needing only enough internal capacity for the current project—provided the archive and its backups are reliable.

Can cloud storage make 256 GB practical?
Yes, when your workflow is genuinely cloud-first. Online-only files reduce the local footprint, documents remain available across devices and sharing is convenient. Cloud storage does not provide unlimited local capacity, however: applications, games, virtual machines, caches and offline files still live on the laptop.
What cloud storage does not solve
- No-internet situations or slow, unreliable connections.
- Large local applications, games and scratch files.
- Subscription costs and account or service outages.
- Privacy and account-access concerns.
- Accidental deletion or corruption synchronized across devices.
Synchronization is not automatically backup. A deletion can propagate to synchronized locations, depending on the service and retention settings. Keep an independent backup of important files.
Common services and current price signals
Apple includes 5 GB of iCloud storage free. Apple’s US prices displayed August 18, 2026 were $0.99 per month for 50 GB, $2.99 for 200 GB, $9.99 for 2 TB, $29.99 for 6 TB and $59.99 for 12 TB (Apple iCloud+ storage plans). iCloud+ can be shared with up to five family members and includes features such as Private Relay and Hide My Email (Apple iCloud+).

Apple One is a bundle rather than a storage-only purchase. US prices displayed August 18, 2026 were $19.95 per month for Individual, $27.95 for Family and $39.95 for Premier (Apple One). Choose it for the included services, not merely to add storage.
Google One offers expanded storage, family sharing and additional benefits, with plans varying by location. Check the US purchase flow for current prices (Google One support). Microsoft’s current OneDrive pricing should likewise be checked before purchase because the official page does not provide a stable complete US price table in the available information (OneDrive plans and pricing).
Is an external SSD a better deal?
Often, but it trades simplicity for flexibility.

For an external SSD, check USB-C compatibility, sustained write performance, cable quality, warranty, encryption features and filesystem compatibility. A reputable 1 TB or 2 TB portable SSD can hold photo libraries, projects, games or archives, but one external drive is not a backup strategy. Keep at least two independently stored copies of important data, with one preferably off-device or off-site.
How to make a 256 GB laptop last longer
Windows
- Open Settings > System > Storage and inspect which categories are growing.
- Use Storage Sense to remove temporary files and automate appropriate cleanup.
- In OneDrive, use Files On-Demand and make infrequently needed folders online-only.
- Review Downloads, old installers, game libraries, video folders and Windows backup data.
- Do not delete unknown system folders manually; keep room for updates and application caches.
macOS
- Open Apple menu > System Settings > General > Storage.
- Review Applications, Documents, Downloads, Messages, iOS files and System Data.
- Use iCloud optimization only after confirming that originals are safely stored elsewhere.
- Move supported libraries and project archives to an external SSD.
- Empty Trash when you need the space reclaimed; do not try to delete System Data wholesale.
Chromebook
- Open the storage-management screen in Settings.
- Review local files, offline content, Android apps, Linux storage and cached data.
- Remove downloaded media and unused Linux environments.
- Before buying, confirm whether the model supports microSD or another storage-expansion option.
Menu names can change with operating-system releases, so verify the exact labels on your version.

- Is this your only computer?
- Will you keep it for four years or longer?
- Can the internal SSD be replaced or upgraded?
- Do you need files offline?
- Do you install games, creative applications, emulators, containers or virtual machines?
- Do you already pay for cloud storage, and is that a recurring cost you accept?
- Would carrying and backing up an external SSD be convenient?
- Does the laptop have a suitable high-speed USB-C or USB port?
- Will more than one person store files on it?
Final verdict
Buy 256 GB only when your workload is light, your files are mostly online and you are willing to manage local storage. For most people buying a primary Windows or Mac laptop, 512 GB is the safer minimum—especially when the internal drive cannot be upgraded. Choose 1 TB or more for gaming, creative work, development toolchains, virtual machines, substantial offline media or maximum long-term flexibility.
