What hotel billing software actually includes

At its narrowest, hotel billing software records room and service charges, calculates taxes, creates invoices or guest folios, records payments and produces reports. Hotel-native systems add reservations, room availability, check-in and checkout, housekeeping, night audit, restaurant or bar posting, OTA connections, guest records and accounting integrations.

A GST invoice generator is therefore not automatically a hotel-management system. Decide first whether you need a billing layer or an operational PMS.

Vyapar suits an owner moving from handwritten bills to mobile invoicing. Ask specifically whether the selected edition supports room folios, advance deposits, check-in and checkout, split billing, restaurant posting and night audit. “Free hotel billing” may mean basic invoicing rather than a free PMS.

A practical free starting point for a very small property after its limits are demonstrated.

3. Zoho Invoice: best genuinely free invoicing option

What it does

Best use and limitation

Choose Zoho Books when an accountant needs books, GST reports, inventory, bank feeds and profit-and-loss reporting. It is not primarily a front-desk PMS, so room allocation, housekeeping, night audit and OTA functions may require another system or integration. E-invoicing support does not itself establish that your hotel is legally required to use e-invoicing.

Verdict

Best accounting-focused option when finance controls matter more than built-in room operations.

5. TallyPrime: best established accounting and GST option

What it does

TallyPrime combines billing, accounting, inventory, GST, e-invoicing, e-way bills, banking and cash-flow functions, and markets accommodation-service workflows. Product information is available at TallyPrime billing and TallyPrime for accommodation services.

Best use and limitation

TallyPrime fits hotels whose accountants already use Tally, or those needing established inventory, GST and multi-user accounting workflows. Its experience is more accounting-oriented than front-desk-oriented. Do not call it a complete PMS unless the specific implementation supplies reservations, room inventory, housekeeping and folio functions.

The page indicates subscription billing rather than a long-term lock-in.

Best use and limitation

Choose Hotelogix when reservations, housekeeping, POS, room charges and operational reporting must share one system. It is excessive for a one-room homestay that only issues occasional invoices, and the trial is not a free-forever plan.

Verdict

Best full hotel-management choice in this shortlist, at a higher and less predictable cost than billing-only apps.

A credible PMS alternative: eZee Absolute

eZee Absolute is worth comparing with Hotelogix. Its brochure describes guest folios, billing and payments, regional statutory tax templates, and multi-language and multi-currency folios: eZee Absolute brochure. Billing app or PMS?

A billing app is usually enough when

• The property has few rooms and reservations arrive by phone, WhatsApp or an OTA extranet.
• The owner mainly needs invoices, payment records and basic inventory.
• There is no integrated restaurant, bar, spa or housekeeping workflow.

A PMS is preferable when

• Reservations change frequently and availability must update automatically.
• Multiple staff need roles, permissions and audit trails.
• Housekeeping status affects room sales.
• Restaurant, spa, minibar or laundry charges must post to guest folios.
• The hotel uses OTAs, a direct booking engine, night audit or occupancy reporting.

Is free hotel billing software really free?

“Unlimited invoices” can still coexist with limits on users, devices, businesses, terminals, e-invoices, e-way bills, exports or advanced reports.

GST: what “GST-ready” does and does not mean

A vendor’s GST-ready claim generally means tax fields, tax calculations, invoice formats, GST reports or e-invoicing connections. The hotel remains responsible for correct tax classification, place of supply, rates, service descriptions, invoice numbering, records, cancellations, credit notes, discounts, advances, filing and reconciliation.

Confirm the hotel’s current e-invoicing obligation with a qualified tax professional. Software support does not prove that a particular property must use e-invoicing, nor does it guarantee that configuration is legally correct.

Features to test before buying

• Room rates, tax rules, GSTIN capture and HSN/SAC configuration.
• Guest folios, deposits, partial and split payments, split folios, room changes and rate changes.
• Early check-in, late checkout, discounts, complimentary stays, cancellations, refunds and credit notes.
• Posting from restaurant, bar, spa, laundry and minibar; POS integration where needed.
• Printed and digital invoices, WhatsApp or email delivery, UPI and card recording.
• Cashier shifts, day-end reconciliation, audit logs, role permissions and reopened-folio controls.
• Data export, backup and restore, Tally or Zoho integration, e-invoice and e-way-bill workflows.
• Android, Windows, printers, cash drawers, kitchen printers, QR displays and offline operation. Confirm each device and outage workflow with the vendor.

Demonstrate this workflow before subscribing

1. Create a reservation and capture a guest GSTIN where applicable.
2. Check the guest into a room and record an advance.
3. Post restaurant, minibar, laundry and late-checkout charges.
4. Split the bill between guest, company, cash, UPI and card.
5. Apply a discount and produce the final folio.
6. Correct an error through the product’s cancellation or credit-note process.
7. Export the transaction to the accounting system.
8. Run a day-end cashier report and reconcile cash and digital payments.
9. Repeat checkout during an internet outage to test offline behaviour and later synchronisation.
10. Export property data before cancelling the subscription.

Migration, integrations and hidden costs

Before switching, preserve open balances, deposits, guest history, tax settings, room types, rates, invoice numbering, supplier and inventory records, receivables and historical reports. Ask whether the accounting connection is one-way: a PMS may export invoices without synchronising credit notes, refunds, reversals, ledger mappings or department revenue. Confirm setup, training, payment gateways, channel management and other add-on charges in writing.
