Start with the settings page for branding and wording; use hooks or an override when you need custom data, conditional messages, or a different layout.
Before you change anything
- Make a current backup and use a staging site before editing PHP.
- Have administrator access and a test customer email address.
- Use a child theme for template overrides, or put reusable code in a small custom plugin.
- List the extensions that send email. Subscriptions, Bookings, Memberships, shipment tracking and other plugins can add their own email classes and templates.
WooCommerce transactional emails are operational messages, not newsletters. Core examples include new, cancelled, failed, on-hold, processing, completed and refunded orders; customer invoices and notes; new-account messages; and password-reset emails. Extensions and custom code can add more.
WooCommerce’s current email documentation is at WooCommerce email settings. The exact controls shown depend on your WooCommerce version, email type and installed extensions.
Method 1: Use WooCommerce’s built-in email settings
This is the lowest-maintenance option for changing sender details, subjects, headings, short notes and basic branding.

Open an individual email
- Log in to WordPress.
- Go to WooCommerce → Settings → Emails.
- Review the notification list and click Manage beside the email you want to change.
- Edit the fields available for that notification, then select Save changes.
Depending on the email, you may be able to change its enabled status, administrator recipient, subject, heading and additional content. Some notifications expose extra settings; others do not.
Change global sender and design settings
WooCommerce also provides global email options for the sender name and sender address. An address on your store’s own domain is generally preferable for authentication and reputation, but it does not guarantee inbox delivery. SPF, DKIM, DMARC, hosting limits, recipient-provider policies and spam filtering still matter.
For WooCommerce 9.8 and later, the newer email-template settings can include a logo, logo width, header alignment and font family. New stores have the feature enabled by default according to WooCommerce’s documentation. On some existing stores, enable it at WooCommerce → Settings → Advanced → Features, then return to the Emails tab. Feature labels and availability can vary by version and extension configuration.

Find the template filename
Near the bottom of an individual email’s settings screen, WooCommerce identifies the associated PHP template. Record that filename before choosing a code-based approach. Core templates are in WooCommerce’s templates/emails directory; extension emails may live in the extension instead.

Method 2: Use template overrides and PHP hooks
Code is appropriate when you need to rearrange sections, replace markup, add custom order metadata, introduce conditional logic or make one email substantially different from the global design.
Choose a hook before copying a whole template
For a small insertion, an action hook is usually easier to maintain than a complete copied file. Common email hooks include:

The current template-structure guidance is available at WooCommerce’s developer documentation. Hook names, arguments and behavior should be checked against the current template before production use.
Add a message after the order table
Place this in a small custom plugin or your child theme’s functions.php, not in WooCommerce’s plugin files:

Limit a message to one email

}Email-specific filters and accepted arguments are version-sensitive. Verify them against the current WooCommerce code or documentation rather than treating this as a universal copy-and-paste rule.
Override a complete template safely
- Create or activate a child theme.
- Create
wp-content/themes/your-child-theme/woocommerce/emails/. - Copy the required file from WooCommerce’s
templates/emailsdirectory, preserving its filename and relative path. For example:admin-new-order.php. - Edit the copy while preserving WooCommerce variables, escaping and required hooks.
- Test both HTML and plain-text output where the email supports both.
- After WooCommerce updates, check WooCommerce → Status for outdated templates and reconcile your override with the current core file.
Never edit wp-content/plugins/woocommerce/templates/emails/. Plugin updates erase direct changes. A child-theme override is safer, but it is not maintenance-free: core templates can change and your copy can become outdated.

When a visual email-builder plugin is better
A builder can be worthwhile when you need several branded templates, reusable content blocks, visual previews, test sending, or staff-friendly editing. Check whether it supports the specific core and extension emails you use; no builder automatically covers every third-party notification.
YayMail offers a free WordPress.org edition and a paid version with broader extension support; see the WordPress.org listing and the vendor page. WooCommerce also lists its Email Customizer product at the official documentation page. Kadence WooCommerce Email Designer uses the native Customizer and includes preview and test-sending features; details are on Kadence’s product page. Availability, compatibility and licensing can change.
Do not confuse WooCommerce’s block email editor with a mature default builder. Developer documentation describes that editor as alpha and primarily as an integration path for extensions: block email editor integration.

Use the built-in preview when your version provides one, but do not treat it as final proof. WooCommerce’s preview uses dummy data, as explained in the email-preview documentation.

- Send a test email if your installed tool supports it.
- Place a controlled order with a free or low-cost product.
- Trigger each relevant status, such as processing, completed, refunded or cancelled.
- Check customer and administrator recipients separately.
- Inspect HTML and plain-text versions.
- View the message on mobile and desktop, including Gmail and Outlook where possible.
- Verify the customer name, order number, products, totals, tax, payment method, billing and shipping addresses, downloads and links.
- Confirm the sender address and check the spam folder.
- Test guest checkout and registered-customer checkout.
Common problems and fixes
The change does not appear
Clear relevant caches, confirm that you edited the active child theme, and verify the email is generated by the template you changed. A theme or extension may load a different template.
The override is ignored
Check the filename and directory letter-for-letter, confirm the email comes from WooCommerce core, and inspect the status page for override warnings. Extension emails generally require their own template path or integration.
HTML appears as text
Your callback may be printing HTML in the plain-text branch. Use $plain_text to output text separately, as in the examples above.
The preview looks right but the real email does not
Preview data is simulated. Run a real order and check dynamic values, email-client CSS, links and extension-specific content.

Template customization does not repair delivery. Check the notification’s enabled status and recipients, then investigate sender authentication (SPF, DKIM and DMARC), hosting limits, SMTP configuration, provider blocking and spam placement.
A template is marked outdated
Compare your override with the current WooCommerce template, reapply only your intended changes, preserve required hooks and retest after updating.
Practical recommendation
Make basic changes in WooCommerce’s email settings first. Add a hook for a small message, metadata block or conditional notice. Use a child-theme override only when the structure itself must change, and choose a visual builder when drag-and-drop editing and extension coverage justify another plugin dependency.
