There is no single best invoicing app. QuickBooks Online is the strongest all-around choice when invoices must feed accounting records. FreshBooks is usually better for freelancers, Zoho Invoice is the best free dedicated invoicing tool, Wave combines free invoicing with basic accounting, Square is strongest for sellers who also take in-person payments, and Stripe fits developer-led or international billing.

Prices below are U.S. prices checked August 16–18, 2026. Promotional offers, taxes, payment processing, add-ons and regional availability can change the real cost.

What counts as invoicing software?

“Invoicing software” covers several different products. A dedicated invoice generator creates and sends bills. An accounting platform links invoices to receivables, expenses, bank reconciliation and tax reports. Payment processors such as Stripe, Square and PayPal add invoices to help collect money, but they are not substitutes for full bookkeeping. Harvest and Paymo connect time, budgets and expenses to project invoices. Bonsai and HoneyBook add proposals, contracts, retainers and client management. BILL and BillingPlatform handle higher-volume accounts-receivable or complex contract billing. Desktop products keep records locally or on a single computer.

A ten-invoice-per-month consultant does not need enterprise billing. A retailer with inventory, sales tax and multiple users can outgrow a simple invoice generator quickly.

Best invoicing software by use case

1. QuickBooks Online: best overall for accounting plus invoicing

QuickBooks connects invoices to receivables, expenses, reports, bank feeds and optional inventory workflows. Simple Start is listed at $38/month and Essentials at $85/month on the official pricing page; a temporary 90%-off promotion is not the normal rate. Simple Start includes one user plus two accountant seats, while Essentials includes three users plus two accountant seats. Choose it when tax reporting and financial statements matter as much as sending invoices. It is expensive for invoice-only work.

2. FreshBooks: best for freelancers and consultants

FreshBooks emphasizes client-facing service work, time tracking, expenses, deposits, recurring invoices, reminders and project billing. Its plan comparison lists five clients on Lite, 50 on Plus and unlimited clients on Premium. It suits consultants, contractors and agencies that bill time or retainers; client caps and payment costs can make upgrades significant.

3. Zoho Invoice: best free dedicated invoicing

Zoho Invoice supplies recurring invoices, reminders, projects, a client portal and payment collection without a subscription. The free plan allows two users, three projects and 500 invoices per year (Zoho pricing). That ceiling is generous for many independents but unsuitable for high-volume billing. Zoho Books is the logical upgrade when full accounting is needed.

4. Wave: best free invoicing with basic accounting

Wave combines core invoicing and basic bookkeeping. Wave Pro is listed at $19/month, and payment-processing rates vary by transaction type and monthly volume (Wave pricing). It works for simple U.S. businesses that need income and expense records, but integrations and billable-expense workflows are less extensive than in larger accounting suites. Pro is charged per business; separate businesses require separate subscriptions.

5. Square Invoices: best for online and in-person payments

Square offers free invoicing with no monthly subscription and connects invoices, payment links and point-of-sale activity. Its paid tiers shown on the pricing page include $49 and $149 per month per location. The free plan still incurs processing fees when customers pay. It is a natural choice for retailers, tradespeople and other sellers already using Square; it is less suitable when accounting-neutral infrastructure is the priority.

6. Stripe Invoicing: best for developers and international billing

Stripe provides hosted invoice pages, APIs, recurring and multi-currency billing. Starter charges 0.4% per paid invoice and Plus 0.5%, before applicable Stripe Payments fees (Stripe pricing). The fee is triggered by a paid invoice, not simply an invoice created. Stripe excels at custom checkout, subscriptions and international payment flows, but it does not replace bookkeeping.

7. Xero: best for growing teams

Xero offers broad accounting, reporting, integrations and an unlimited-user positioning. The U.S. Early plan is listed at $25/month after an introductory six-month offer, but allows only 20 invoices and five bills (Xero plans). Active businesses may need a higher tier quickly. It is a strong QuickBooks alternative when multiple staff, accountants or entities need access.

8. Invoice Ninja: best for payment flexibility or self-hosting

Invoice Ninja offers hosted and self-hosted deployments, client portals, recurring invoices and multiple payment gateways. See the official site for current tiers. Self-hosting can reduce vendor dependence but adds maintenance, backups and security responsibility. Accounting integrations are less conventional than those in QuickBooks or Xero.

9. Harvest: best for time-based project billing

Harvest combines time tracking, budgets, expenses and project invoices (Harvest). It is useful when profitability depends on hours and budget variance. Pair it with accounting software if you need reconciliation, inventory or tax-led financial statements.

10. Bonsai or HoneyBook: best for proposals, contracts and retainers

Bonsai is aimed at independent professionals managing proposals, contracts, retainers and invoices. HoneyBook links leads, proposals, contracts, invoices and payments for client-service firms. Both are workflow platforms rather than inventory accounting systems; verify current prices and transaction terms before subscribing.

Ten other products worth considering

Enterprise and B2B finance

BILL supports approvals, payables, receivables and finance automation. BillingPlatform handles complex recurring, usage-based and contract billing. They make sense for finance departments, not a solo operator sending occasional invoices.

Project and agency billing

Paymo adds project management, estimates, time and billing. It is valuable for agencies but more elaborate than a simple invoice app.

International payments

Payoneer focuses on cross-border payouts and currency use cases. Treat it as a payments service, not a general ledger.

Desktop accounting and invoicing

Sage 50 provides established desktop accounting. NCH Express Invoice and Invoice Expert target local Windows invoicing. Desktop software can suit a fixed office environment, but remote access, backups, mobile use and integrations require more planning.

Simple and mobile tools

Invoice Simple, Invoice2go and Invoicely can be convenient for fast invoice creation. Confirm current ownership, plan limits, export options and integrations before relying on them for a growing business.

Free invoicing software: what “free” leaves out

  • Zoho Invoice: free software, but limited to two users, three projects and 500 invoices annually.
  • Wave: free core invoicing and accounting, with payment fees and a $19/month Pro tier.
  • Square: no monthly fee on the free plan, but payment processing applies.
  • Invoice Ninja: free and paid options, with more setup for self-hosting.
  • Stripe: no traditional invoicing subscription on the cited model, but per-paid-invoice and payment-processing fees apply.

Also check branding, support, client and user caps, bank feeds, integrations, exports and whether billable expenses are supported. A free invoice generator is not automatically the lowest-cost accounting system.

Invoicing software or accounting software?

  • Choose dedicated invoicing when separate accounting already exists and branded client workflows are the priority.
  • Choose accounting software with invoicing when invoices must update receivables, expenses, inventory, tax reports and statements automatically.
  • Choose a payment processor with invoices when cards, wallets, international payments, subscriptions or APIs matter more than bookkeeping.
  • Choose project billing when time, budgets, milestones and billable expenses determine profitability.
  • Choose enterprise billing or AR automation for approvals, collections, revenue recognition, complex contracts or high-volume billing.

Features to compare before signing up

Invoice and recurring-billing mechanics

Verify logos, colors, custom fields, tax-inclusive pricing, discounts, deposits, estimates-to-invoice conversion, credit notes, partial and milestone billing, numbering, PDFs, hosted pages and multi-currency support. “Recurring invoices” may only generate a document; automatic charging, usage billing, proration, failed-payment retries and revenue recognition are separate capabilities.

Payments

Check cards, ACH, Apple Pay or Google Pay, PayPal, other wallets, links, tips, installments, deposits, fee pass-through, settlement timing, chargebacks and reserves. A customer portal that requires an account can create more friction than a hosted pay-now page.

Accounting, tax and collaboration

Look for double-entry books, bank feeds, reconciliation, receivables aging, expense capture, billable expenses, sales-tax reports, 1099 or W-9 support, inventory, purchase orders, accountant access, exports and audit trails. For teams, compare included users, permissions, approvals, locations, entities and accountant seats—not just an “unlimited users” headline.

How much does invoicing software really cost?

Calculate annual cost as subscription plus payment processing, ACH charges, additional users or clients, payroll, bank feeds, integrations, migration and support. Model your own volume rather than assuming a card rate: a $500 invoice paid by card has a very different cost from a $50,000 invoice, and cross-border or disputed payments can add separate charges. Keep introductory prices separate from standard rates. For example, Xero Early’s $25 figure follows an introductory offer, and QuickBooks’ displayed discount is temporary.

Edge cases that change the recommendation

  • Construction and landscaping: require progress billing, deposits, retainage, change orders and job costing.
  • Agencies: need time, retainers, approvals, budgets and billable expenses.
  • E-commerce: needs inventory, refunds, fulfillment and sales-tax integration.
  • International businesses: must verify currencies, VAT/GST, local methods and settlement countries.
  • Subscription businesses: need proration, usage billing, retries and revenue recognition.
  • Multiple entities: need separate books, consolidated reporting and permissions.
  • Platform migration: confirm export of invoice history, balances, customers, recurring schedules and payment methods.

How to choose in five steps

  1. Decide whether you need a general ledger, tax reporting, inventory or only client invoices.
  2. Estimate monthly invoices, annual invoices, clients, projects and required users.
  3. List payment methods and countries, then price processing separately from the subscription.
  4. Map your workflow: time, proposals, contracts, retainers, approvals, milestones or subscriptions.
  5. Calculate a 12-month total cost at today’s standard price and identify the upgrade point if volume grows.

Common mistakes to avoid

  • Choosing by sticker price while ignoring payment fees, limits and add-ons.
  • Confusing a PDF generator with accounting software.
  • Assuming recurring invoice creation means automatic card charging.
  • Ignoring geography, currency and account eligibility for payments.
  • Buying enterprise software for a low-volume business.
  • Overlooking inventory, permissions, exports and migration.
  • Treating promotional pricing as permanent.
  • Making customers create an account when a no-login payment page is available elsewhere.

Bottom line

Start with QuickBooks Online if invoicing is part of a complete accounting system. Choose FreshBooks for service work, Zoho Invoice for free dedicated billing, Wave for free billing plus basic books, Square for POS-linked payments, Stripe for API-driven or international billing, Xero for growing teams, and Harvest, Bonsai or HoneyBook when project or client workflows drive the work. Recheck limits and fees at checkout; those details, not the word “free,” determine the practical cost.
