Requirements specific to Indian employers
Indian organisations commonly need different holiday and leave policies by state, establishment, branch, shift or worker category. Confirm that the product can model your own rules for regional and restricted holidays, comp-off, sandwich leave (if your policy uses it), probation, encashment, carry-forward and payroll cut-off dates.
Software automates rules you configure; it does not determine which law applies to every employer. State, industry, establishment and employee-category requirements should be validated with an HR or legal professional.

Zoho’s accessible India plan PDF shows a five-user free tier, but it is dated May 15, 2019; do not publish its rates as 2026 pricing without confirmation: Zoho plan document. A competitor page describes SumHR as free, but that claim also needs confirmation on SumHR’s current site and is not treated as an established free option here.

1. greytHR — best overall for Indian HR and payroll integration
greytHR suits employers that want leave, attendance, employee self-service and Indian payroll in one system. Its documented positioning covers configurable leave types and accruals, holiday lists, carry-forward, encashment and leave-to-payroll processing. Employees can use web and mobile self-service.
The current pricing page displays ₹45 per additional employee per month for Essential and ₹85 for Growth, plus a seven-day trial and a custom Premium plan. Base fees and included modules should be checked in its calculator before purchase: greytHR pricing.
Best fit: companies replacing spreadsheets with an India-oriented HRMS. Avoid if: you only need a simple leave calendar and already have payroll.
2. PagarBook — best for a small business wanting simplicity
PagarBook is positioned as a lightweight, mobile-first tool for basic attendance, leave records, salary management and approvals. It can work for a small employer that does not need elaborate accrual formulas or multi-state governance.
A greytHR comparison reports ₹2,912 per month for its stated test scenario and a trial; this is not a confirmed current first-party price. Verify the employee limit, payroll scope and export options at PagarBook.
Avoid if: you need complex pro-rata, comp-off, encashment or branch-specific policies.
3. Keka — best for employee experience and payroll-linked workflows
Keka emphasizes mobile self-service, team calendars, automated approvals and payroll-linked leave. It is a natural mid-market shortlist where employees and managers will apply and approve leave primarily from phones.
Accessible material does not establish a reliable public price. Request a quote that separates leave, attendance, payroll, implementation and add-ons through Keka pricing. Its comparison article describes capabilities but is vendor-authored: Keka leave-management page.
Avoid if: you need a transparent low-cost plan for fewer than 20 employees or leave-only functionality.

Zoho People is strongest when employee data, Books, Payroll, Analytics or other Zoho applications already form your business stack. Role- and location-based policies, calendar integration, reporting and workflow automation are the relevant strengths.
Confirm current India pricing and exactly which payroll functions are available for your geography at Zoho People pricing. The old five-user free-tier document is evidence of historical availability, not proof of a current 2026 offer.
Avoid if: you do not use Zoho and would need substantial custom integration or deeper India payroll capability than the selected modules provide.
5. factoHR — best for complex leave policies
factoHR is a candidate for comp-off, pro-rata accruals, sandwich rules, multiple holiday calendars and payroll-linked encashment. Those rules should be demonstrated with your own policy rather than accepted from marketing copy.

A ₹4,000 monthly figure appears in the comparison’s scenario, but pricing transparency varies. Obtain a module-by-module quote from Zimyo.
Avoid if: published pricing and a very short implementation are more important than granular controls.
7. Quikchex — best for payroll and compliance-led operations
Quikchex fits teams where approved leave must feed payroll accurately. Evaluate eligibility rules, hierarchical approvals, LOP handling, encashment, employee history and auditability together, not as isolated checkboxes.
The comparison reports ₹6,750 per month for a 50-person scenario. Confirm whether that includes payroll, GST, implementation and other modules at Quikchex.
Avoid if: you want a polished standalone PTO product without broader payroll operations.

8. HROne — best for distributed and mobile-first organisations
HROne’s relevant capabilities include automated credits, location-wise holidays, floating and restricted holidays, short or hourly leave, adjustment workflows and analytics. These are useful when employees work across offices or shifts.
The comparison reports ₹4,950 per month for its scenario and warns that setup and per-user costs can rise at scale. Request a deployment plan at HROne.
Avoid if: a small team would use only leave requests and none of the wider HR platform.
9. Pocket HRMS — best transparent-price full HRMS for SMBs
Pocket HRMS combines leave, payroll, attendance, geo-tagging, employee self-service and WhatsApp approvals. Its official page lists Standard at ₹2,995 per month billed annually for 50 employees, with ₹60 per additional employee; Professional is ₹4,495 for 50 employees, with ₹90 per additional employee. Premium is custom-priced and states a 100-plus employee minimum.

Avoid if: you have fewer than 50 employees unless the vendor offers another package in writing.
10. Qandle — best for configurable approval chains
Qandle is worth evaluating where role- and location-based policies, multiple leave types, custom approval paths, team calendars and payroll-ready LOP or encashment data matter.
The comparison reports ₹2,950 per month for a 50-person scenario, but public plan scope needs confirmation. Ask about add-ons, APIs and implementation at Qandle.

Under 10 employees
Start with a simple tool or an established ecosystem product. Prioritise mobile requests, balances, a holiday list and data export. Do not buy enterprise modules for a process a spreadsheet can still manage safely.
About 10 to 50 employees
Compare PagarBook, Zoho People and entry-level full HRMS plans. Test joining-date accruals, manager substitutions and payroll exports before migrating all records.
50 to 500 employees
greytHR, Keka, factoHR, Pocket HRMS, Zimyo, Qandle and Quikchex deserve structured demos. Insist on location policies, payroll-period locking, audit logs and migration support.

More than 500 employees or many locations
Shortlist systems with formal implementation, role-based access, APIs, SSO/MFA options, data-export commitments and support escalation. HROne and larger HRMS deployments may fit, but total cost and configuration effort must be quoted.
Price comparison rules
Normalize every proposal to the same employee count and billing period:
Annual subscription + GST + implementation/migration + add-ons + payroll + integrations + premium support
Ask whether billing counts all employees or only active users, whether contractors and inactive records are charged, whether payroll and mobile access are included, whether APIs cost extra, and what changes at renewal. A low monthly figure is not comparable when one quote excludes payroll and another includes it.
What to test in a demo
Give every vendor the same scenario:
An employee joins on 17 July, becomes eligible after three months, accrues leave monthly, works in Bengaluru with a different holiday list from Mumbai, takes a half-day before a company holiday, and later receives comp-off. Show the resulting balance, approval route, payroll output and audit history.

Also test backdated leave, cancellation after approval, notice-period leave, negative balances, carry-forward caps, year-end encashment, multiple managers, shift workers, transfers between locations, payroll locking and bulk policy changes.
12-point buying checklist
- Can it model every leave type and accrual rule in your written policy?
- Are policies assignable by state, branch, grade, shift and worker category?
- Does approved LOP flow natively, by API or only through CSV?
- Are half-days, hourly leave and comp-off calculated correctly?
- Can payroll data be frozen after cut-off?
- Are carry-forward, lapse and encashment rules configurable?
- Do mobile and web versions have feature parity?
- Are approvals, adjustments and policy changes logged?
- Can you import historical balances and export all data on exit?
- What are the minimum users, GST treatment and renewal terms?
- Are implementation, migration, integrations and support charged separately?
- What encryption, role controls, SSO/MFA, backups, retention and deletion terms apply?

Many advertise location or branch calendars, but confirm that separate state, office, employee-group and restricted-holiday calendars are available on the plan you would buy.
Does leave software replace legal advice on Indian leave rules?
No. Employers remain responsible for determining applicable state-, industry-, establishment- and employee-specific requirements.
Can a company migrate from Excel?
Usually, vendors can import balances or employee data, but historical transactions, opening balances and policy dates must be mapped and checked before go-live.
