Quick answer: Choose Microsoft 365 Personal for one person, Family for a household of up to six, Business Basic for a company that can work in web and mobile apps, and Business Standard when employees need installed Word, Excel, PowerPoint and Outlook. Choose Business Premium when advanced identity, device and threat controls justify the price. Apps for business is the modular choice when you need desktop Office and OneDrive but already have email and collaboration elsewhere. Prices and Copilot entitlements change, so confirm the exact US plan and checkout price before subscribing.

The real difference: household subscription or organization?
Home plans attach to a personal Microsoft account. The purchaser invites household members, and each person uses a separate account with the storage allocation assigned to that person. This is convenient for family sharing, but it does not create company-owned identities or administrative control.
Business plans create a Microsoft 365 tenant for an organization. Users receive work accounts in Microsoft Entra ID, administrators can add or suspend accounts, and company data can remain under organizational control when staff change. Business licenses are purchased per user, not per household.

- Business storage: OneDrive for Business for an individual’s work files plus SharePoint sites for team-owned content.
- Email: Consumer plans use personal mail services; Business Basic, Standard and Premium include Exchange Online email and calendars, including custom addresses such as [email protected].
- Administration: Business tenants support policies, centralized access and offboarding. A family subscription does not.

Home plans explained
Microsoft 365 Personal
Personal is the straightforward choice for one individual who wants desktop Word, Excel, PowerPoint, Outlook and OneNote, 1 TB of OneDrive, consumer security features and changing Copilot benefits. Microsoft lists use on up to five devices simultaneously for the licensed person. It is a poor fit when clients, contractors or employees need separate work identities or when business records must belong to a company.
Microsoft 365 Family
Family covers one to six people for $12.99 monthly or $129.99 annually at the observed US list price. Each person can receive up to 1 TB, so “6 TB” means six individual allocations rather than one shared drive. At the annual price, six fully participating users cost about $21.67 per person for the year; the value disappears if only one person uses it.
Microsoft’s current consumer page indicates that Copilot benefits may be limited to the subscription owner. Do not buy Family assuming every invited person receives identical AI access; verify the current terms.
Recommended Free Tools
Microsoft 365 Premium
Premium raises the consumer price to $19.99 monthly or $199.99 annually and is aimed at people specifically seeking higher Copilot usage limits or features described as exclusive to Premium. If your need is Office, storage and ordinary household sharing, Personal or Family is usually the better value.
Office Home 2024
Office Home 2024 is a $149.99 one-time purchase shown on Microsoft’s comparison page for one PC or Mac. It suits someone who dislikes subscriptions and needs basic desktop Word, Excel and PowerPoint. You give up the subscription’s OneDrive allocation, family sharing, continuing feature updates and services such as business email, Teams and SharePoint.

Business plans explained
Business Basic: web and mobile first
Business Basic costs $6.00 per user per month with annual billing or $7.20 monthly at the observed US price. It includes custom-domain Exchange email, Teams, SharePoint, OneDrive for Business, web and mobile Office apps, identity management, spam and malware filtering and business support. It does not license the installed desktop versions of Word, Excel, PowerPoint or Outlook. Choose it only when browser and mobile apps are sufficient.
Business Standard: the default desktop-app tier
Standard costs $12.50 per user per month annually or $15.00 monthly. It adds desktop, web and mobile Office to the business email, Teams, SharePoint and OneDrive services. For many small businesses, it is the practical middle ground: professional email and organizational ownership without paying Premium’s security-focused price.
Business Premium: security and device controls
Premium costs $22.00 per user per month annually or $26.40 monthly. Microsoft positions it for advanced identity and access controls, stronger protection against phishing and malware, sensitive-data discovery and protection, and device or endpoint management. It is worth considering for managed laptops, remote staff, customer or regulated data, and organizations without an equivalent security stack.
Premium is not automatically “better” for every business and it does not replace backups, patching, least-privilege configuration, staff training or incident response.
Apps for business: a modular option
Apps for business is listed at $8.25 per user per month with annual billing. It provides installed Office apps and OneDrive but not the complete Exchange, Teams and SharePoint collaboration bundle. It can reduce duplication when email and meetings are already supplied by Google Workspace, Zoom, Slack or another provider.
No-Teams variants
Microsoft offers no-Teams SKUs in some markets. Its Business Basic page shows a US-facing example of $4.40 per user per month annually and $5.28 monthly, but availability and exact pricing depend on country, channel and SKU. Confirm whether Teams is included, excluded or separately licensed before purchase at the Business Basic details page.

Desktop apps, devices and licensing
Personal and Family include desktop Office. Business Standard, Premium and Apps for business do as well; Business Basic is web and mobile only. Microsoft’s business comparison lists up to five PCs or Macs, five tablets and five mobile devices for users on plans with desktop apps. The consumer page lists up to five simultaneous devices for a licensed user.
These limits are not the same as the number of people, installations, simultaneous sessions or devices an administrator can manage. A business still needs one license for each user, even if several users share a computer.
Security, ownership and collaboration
Consumer plans include consumer-oriented identity, data and device protections, but they are not organizational security systems. Basic and Standard add business identity management and filtering. Premium adds materially stronger controls, yet the appropriate choice depends on risk and existing tools.
Use SharePoint team sites for durable company content and OneDrive for Business for individual work. Do not keep the only copy of company records in an employee’s personal OneDrive. OneDrive synchronization is not an independent backup: deletions, corruption and ransomware can synchronize too.

Copilot and AI: verify the exact entitlement
“Copilot” now describes several consumer and business experiences. Consumer pages currently describe Copilot-related benefits in Personal, Family and Premium, with higher limits and additional features in Premium; Family AI access may be limited to the owner. Business pages describe AI chat, web grounding, writing assistance, data analysis and agents, while the full Microsoft 365 Copilot experience can be a separate license.

Before relying on AI, check the exact plan, country, eligible apps, user type, usage limits, preview status and whether business-data grounding requires an add-on or configuration. Treat these details as changeable rather than permanent plan specifications.

Student or individual professional
Choose Personal if you need desktop Office and 1 TB of storage. Choose Office Home 2024 only when avoiding a subscription matters more than cloud services and ongoing updates.
Two-person household
Family is usually cheaper than two Personal subscriptions and provides separate 1 TB allocations.
Family of five
Family is the natural fit if all five people are household members who need Office and OneDrive. Do not treat its invitations as employee accounts.
Freelancer with a custom domain
Choose Business Basic if browser apps work, Standard if desktop Office is required, and Premium if client data and managed devices create a meaningful security need.
Five-person startup
Standard is the usual starting point when everyone needs desktop apps, business email and collaboration. Basic lowers cost for browser-first roles; Premium fits higher-risk data or unmanaged security.
Best Value
- Alternative office suite: Word processor TextMaker, Spreadsheet program PlanMaker, Presentation software Presentations, Automation tool BasicMaker
- Licensed for 5 users / household or 1 user / organization, perpetual lifetime license for Windows, Mac and Linux
- User interface with modern ribbons or classical menus
- Compatible with all modern Microsoft Office documents including DOCX, XLSX, PPTX
- The complete office suite can be installed on a USB flash and used without installation
Business already using Google Workspace
Compare Apps for business with your existing stack. Buying Standard may duplicate email, calendars, storage and meetings you already pay for.
Business that only needs desktop Excel
Apps for business is the focused business SKU. If the use is occasional and non-business, free web apps or Office Home 2024 may be sufficient.
More than 300 users
Microsoft identifies up to 300 users for the core Business family. Organizations above that threshold should evaluate Enterprise licensing rather than stacking ordinary Business plans.
Annual versus monthly billing
At the displayed consumer prices, annual billing saves about $19.89 for Personal, $25.89 for Family and $39.89 for Premium compared with twelve monthly payments. Annual business rates are also lower than monthly rates, but they commit you for longer and subscriptions auto-renew unless canceled.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteMonthly billing can be worth the premium for a new company testing compatibility, seasonal operations, uncertain headcount or an uncompleted domain migration. Choose annual billing once the plan and seat count are stable. Promotional first-year prices should not be treated as the recurring rate.
Cancellation and migration checklist
- Identify files, mailboxes, calendars and workflows that depend on the subscription.
- Export or migrate important data before canceling, especially when a business tenant or employee account is involved.
- Check OneDrive usage; cancellation or an over-quota state can affect synchronization and access.
- Remove unused business seats and transfer ownership of team content before offboarding users.
- Confirm whether replacement email, meetings, storage and desktop-app licenses are ready.
Installed Office apps do not become permanently full-featured licenses merely because they were installed during a subscription. Microsoft does not publish one universal post-cancellation timeline for every scenario, so review the current account and support notices before ending service.
When Microsoft 365 is not the best fit
Consider Google Workspace if your organization is built around Gmail, Google Drive, Docs and Meet. Consider LibreOffice for basic desktop editing without recurring fees, accepting compatibility and collaboration trade-offs. Existing nonprofit, education or enterprise agreements may also change the calculation.
Quick Recap
Final decision tree
- Is this a household? Choose Personal for one person or Family for two to six.
- Does the organization need a custom domain, managed users or company-owned files? Choose a Business plan.
- Are web and mobile apps enough? Choose Business Basic. If installed Office is required, continue.
- Do you need installed Office plus email and collaboration? Choose Business Standard.
- Do sensitive data, managed devices, remote workers or phishing risk justify stronger controls? Choose Business Premium.
- Do you already have email and meetings elsewhere? Compare Apps for business instead of paying for duplicate services.
