Stay with supported QuickBooks Desktop—or choose Desktop Enterprise for a new Desktop purchase—when your operation depends on complex inventory, specialized reports, local workflows, or Desktop-specific features. Do not migrate until a test confirms that your essential data and processes work in the target product.
The biggest difference in 2026: “Desktop” is no longer one product
QuickBooks Online is browser-based and cloud-hosted. Intuit manages product updates and hosted data, and users can work from supported browsers or mobile apps. Multiple users and accountants can access the same company without passing files between computers.
QuickBooks Desktop is installed software associated with a local computer or network. It remains familiar to long-time Pro, Premier, Mac, and Enterprise users and can provide deeper workflows for inventory, pricing, job costing, and reporting, depending on the edition.
For new U.S. customers, Intuit stopped selling subscriptions for Desktop Pro Plus, Premier Plus, Mac Plus, and Desktop Enhanced Payroll after September 30, 2024. Existing subscribers may be able to renew under Intuit’s terms, and Desktop Enterprise remains available. See Intuit’s U.S. product-availability notice. An old Desktop file may still open after its support period, but connected services can stop. For example, Intuit says affected Desktop 2023 products lost support and connected services after May 31, 2026; that date does not automatically apply to every edition or version. Check the service-discontinuation policy.

Confirm current packaging on the QuickBooks pricing page before buying. Inventory is not included in every Online plan, and Intuit’s migration documentation limits multi-currency to Plus and Advanced. “Users” and accountant seats are separate access categories.
Access, collaboration, and mobile work
Online is the clear choice when owners, staff, and accountants work from different locations or need to enter transactions at the same time. Browser and mobile access supports invoicing, expense capture, categorization, and other field workflows. Accountant invitations avoid exchanging local company files. User capacity depends on the plan.
Desktop is more comfortable for an office-based team that prefers a local application and an established interface. It is not completely offline: bank feeds, payroll, payments, updates, support, and other connected services require internet access. Remote Desktop access normally requires hosting or additional infrastructure, creating a separate cost and security arrangement.

Inventory: the decision that most often changes the answer
When Online may be enough
- A modest catalog with straightforward quantity and valuation tracking.
- A business willing to follow Online’s supported inventory model.
- A team that values remote collaboration more than advanced warehouse controls.
When Enterprise deserves a closer look
- Manufacturing or wholesale operations.
- Multiple warehouses or locations.
- Assemblies, bills of materials, bin locations, barcode scanning, serial or lot tracking, landed cost, or detailed fulfillment controls.
- Advanced pricing, large item lists, industry-specific reports, or real-time stock requirements.
Intuit markets Desktop Enterprise for complex inventory, manufacturing, wholesale, multiple locations, pricing, reporting, and up to 40 users. Verify the exact Enterprise edition and add-ons: no single subscription should be assumed to include every capability listed above. Online Plus or Advanced can handle some product businesses, but they are not automatically equivalent to Enterprise inventory.
Reporting, projects, and specialized workflows
Online supplies standard reports; Advanced adds custom dashboards, KPIs, permissions, batch invoices and expenses, Excel synchronization, and cash-flow or profit forecasting. Desktop Enterprise emphasizes industry reporting, customized reports, job costing, and deeper inventory reporting. Report names, filters, layouts, and calculations can differ, so a Desktop report may not reproduce identically online.
Before choosing, list your five essential reports and run representative data through the candidate product. Include project profitability, accounts receivable and payable aging, inventory valuation, sales-tax liability, payroll liabilities, and your month-end reconciliation reports where relevant.

Payroll, payments, banking, and integrations
Payroll is a separate service family. Availability depends on the Desktop product, version, subscription, and service status; Online Payroll has its own plans and fees. Card and ACH processing through QuickBooks Payments adds transaction fees beyond the accounting subscription. QuickBooks Time, third-party applications, and expert setup can add recurring costs and their own permissions and failure points.
Bank feeds require a supported institution and active connection. Reconnecting banks, payroll, payments, time tracking, and applications is a normal migration task; downloaded history and settings should not be presumed to transfer unchanged.
Security, backups, and technical responsibility
Online removes local installation and routine update work, and Intuit describes hosted infrastructure, multifactor authentication, and AES-256 encryption for stored data. Those are Intuit’s stated controls, not an independent security certification of your particular setup. You still need strong account security, device protection, role discipline, and a recovery plan.

Desktop gives you more control over local files and can suit established procedures, but you must maintain backups, operating-system compatibility, printers, email, integrations, and access controls. A neglected backup or unsupported version can become an operational risk.

Moving a Desktop file to Online is a conversion, not a perfect clone. Intuit’s migration documentation identifies these important limitations:

A safer migration procedure
- Identify the exact Desktop product and year. Pro Plus, Premier Plus, Mac Plus, Enterprise, Accountant, and the version affect eligibility and results.
- Select an Online tier by feature, not price. Check inventory, multi-currency, projects, classes, locations, permissions, payroll, and integrations.
- Create a complete backup and preserve the original file.
- Export baseline reports. Save the balance sheet, profit and loss, receivables and payables aging, inventory valuation, sales-tax and payroll liabilities, and bank-reconciliation reports.
- Clean the file. Reconcile accounts, resolve unapplied payments, and review inactive names and obsolete items.
- Use a copy or controlled test company where possible.
- Reconnect services. Set up banks, payroll, payments, time tracking, and third-party apps independently.
- Compare balances and reports. Investigate every material difference before cutover.
- Rebuild sales-tax and payroll items manually where required.
- Do not run payroll in Online until employee data, tax setup, bank details, and liability balances are verified. Intuit’s migration guidance warns users to complete migration before the next payroll run.
- Keep the original Desktop file read-only. Have your accountant review the first Online month-end close.
Which businesses should choose each option?
Choose Online when
- You are a new U.S. customer.
- You need remote, mobile, or simultaneous access.
- Your accountant needs regular access without file transfers.
- Your business is service-based or has straightforward inventory.
- You want updates and hosting handled by the vendor.
- You accept recurring subscription and add-on costs and can work within plan limits.
Stay on supported Desktop when
- Your current workflows, reports, price levels, units of measure, or lists are business-critical.
- A migration test shows report mismatches or missing data.
- Your team works mainly from one office and values the established interface.
- The disruption and consulting cost of conversion exceed the benefit of cloud access.
Choose Desktop Enterprise when
- You are a new U.S. Desktop buyer.
- You need complex inventory, manufacturing, wholesale, multiple locations, or industry reporting.
- You need a Desktop environment that can scale toward 40 users, subject to the subscription.
Consider a broader system when
Multi-entity construction or service organizations with intercompany accounting, consolidation, extensive project costing, payroll, and operational controls may need Intuit Enterprise Suite or a separate ERP. Neither ordinary Online nor ordinary Desktop should automatically be treated as a complete multi-entity system.
Compare three-year total cost, not the headline price
Build a three-year model that includes:
- Accounting subscription and expected price changes.
- Payroll, Payments transaction fees, Time, and application subscriptions.
- User seats, hosting, or additional licenses.
- Bookkeeper, accountant, implementation, and migration labor.
- Hardware replacement, IT administration, backups, and security for Desktop.
- Downtime or duplicated work during conversion.
A five-user company may find Online Plus economical because those users are included. A complex inventory company should compare Online Advanced, Enterprise, hosted Desktop, and specialist inventory systems—not Simple Start against Enterprise.

Final decision checklist
- Do we need remote and simultaneous access?
- How many operational users need access, excluding accountant seats?
- Is inventory simple, or do we require assemblies, bins, serial or lot tracking, multiple locations, landed cost, or advanced fulfillment?
- Do we rely on price levels, units of measure, specialized reports, or legacy workflows?
- Do we need multi-currency, projects, classes, locations, or custom permissions?
- Which five reports must match at month-end?
- Which payroll, payment, bank, time, and third-party connections must be rebuilt?
- Can we schedule and control a migration rather than switching before payday?
- What is the three-year total cost after services and labor?
- Has the accountant approved the test results?
For most new, collaborative U.S. businesses, start with the Online plan that actually contains the required features. For an existing Desktop user, migration is justified only when its access and workflow benefits outweigh conversion risk. For complex inventory, manufacturing, wholesale, or multi-location operations, evaluate Enterprise—or a broader ERP—before assuming Online Advanced is a replacement.
