The cheapest legitimate route is Microsoft 365 for the web: create or sign in to a free Microsoft account at Microsoft365.com and use browser versions of Word, Excel, and PowerPoint. You also get 5 GB of OneDrive storage. That is not the full Windows or Mac desktop suite: offline work, macros, advanced Excel analysis, mail merge, complex layouts, and some presentation features require a licensed desktop app or a different tool.
The best free option: Microsoft 365 on the web
Microsoft’s free consumer offering is a set of browser apps, not a generally free, fully featured desktop Office download. With a Microsoft account, you can create and edit ordinary documents, spreadsheets, and presentations, collaborate in real time, and download common Office file formats. Microsoft says the free account includes 5 GB of OneDrive storage and that the advertised sharing workflow uses files saved in OneDrive.
Start at Microsoft’s free Office web-app page or go directly to Microsoft365.com. The web apps run in a supported browser, so they are useful on a computer you do not own and across different operating systems.
How to use free Word, Excel, and PowerPoint
- Open Microsoft365.com.
- Select Sign in. Use an existing Microsoft account or choose the option to create one.
- On the Microsoft 365 home page or app launcher, select Word, Excel, or PowerPoint.
- Choose a blank file or a template and begin editing.
- Save the file to OneDrive. This enables access from another device and the web apps’ normal sharing and collaboration features.
- Select Share to invite people or copy a link. Collaborators can work in the same file when their permissions allow it.
- When you need a local copy, use File → Download (or the equivalent download control) and select the appropriate format.
The free apps handle essays, résumés, letters, household budgets, lists, schedules, ordinary formulas, tables, charts, sorting, filtering, basic data validation, standard slide decks, comments, and real-time coauthoring. Always keep a local backup of important work; a single cloud copy is not a complete backup strategy.

What the free web apps cannot do
Microsoft’s Office Online service description documents differences that change over time. The following are the practical limits most likely to affect a household, student, or job seeker.
Word for the web
- It is not a full offline authoring environment.
- Mail merge and VBA or Forms scripts are unavailable.
- Advanced page-layout and printing controls are reduced.
- Desktop-only work includes some citation and bibliography tools, reference features, SmartArt, watermarks, document parts, and protection options.
For a report with ordinary headings, images, tables, and basic formatting, the browser version is usually sufficient. A publisher-ready document, complex thesis, or mail-merge project is a better fit for desktop Word or a specialist workflow.
Excel for the web
Excel for the web supports ordinary formulas, tables, charts, PivotTables, conditional formatting, sorting, filtering, data validation, and collaboration. It does not provide the complete desktop analysis and automation toolset.
- You cannot create or run VBA macros in the browser. A macro-enabled workbook can be opened and edited, but its macros cannot run there.
- Full Power Pivot and some advanced analysis, audit, what-if, compliance, and control features are desktop-oriented.
- Creating and refreshing some external data connections is not equivalent to the desktop workflow.
- Normal offline authoring is not a feature of the free browser experience.
If your workbook depends on macros, a data model, external connections, or a repeatable professional reporting process, test the exact file in licensed desktop Excel before committing to the web version.

PowerPoint for the web
The browser app is appropriate for conventional slides, comments, editing, presenting, and collaboration. Desktop PowerPoint remains preferable for elaborate animations and transitions, complex media, add-ins, detailed formatting, and work that must continue without an internet connection.
Offline work and local files
Think of the free apps as online-first. A browser shortcut is not the same as an installed offline license. If you have unreliable internet, download your files and use an offline desktop suite such as LibreOffice or ONLYOFFICE, or obtain a licensed desktop Office entitlement.
For a file currently stored only on your computer, upload it to OneDrive, open it in the relevant web app, edit and save it, then download a copy if you need it locally. Formatting fidelity can vary with complex documents, macros, advanced spreadsheet models, fonts, embedded objects, and specialized PowerPoint effects. Keep the original file and inspect the downloaded result.
Mobile apps: free, but not desktop replacements
Microsoft’s free-account information includes web and mobile access to Word, Excel, PowerPoint, OneDrive, and Outlook. The support comparison says basic editing is available on phones and tablets under 10.1 inches, while paid subscriptions unlock additional mobile features; availability can vary by country or region. Mobile apps are useful for reading, light editing, and quick creation, but feature- and device-dependent editing is not a complete substitute for desktop Office.

Check whether school or work already provides Office
School and university accounts
Eligible schools may provide Microsoft 365 Education at no direct cost to students or educators. Eligibility, available apps, and desktop-install rights depend on the institution’s plan; a personal student email address does not automatically qualify.
- Ask the school’s IT department whether Microsoft 365 Education is included.
- Use the school’s Office portal or Microsoft’s education page with your institution-issued account.
- Check whether the license offers only web apps or also Windows and Mac desktop installation. Microsoft publishes plan distinctions in its education plan comparison.
- Export personal files before graduation, withdrawal, or a change in status. The institution can disable the account and its storage.
Employer-provided accounts
An employer may license Microsoft 365, but a work email address alone does not guarantee desktop Office. Confirm whether the assigned plan includes desktop apps, whether installation on a personal device is allowed, whether company files may be stored there, and whether administrators can manage or remove the account. Save personal documents elsewhere before employment ends.
Free trials are temporary, not a free plan
On its US comparison page, Microsoft currently displays one-month trial options for Microsoft 365 Personal, Family, and Premium. Trials require care because subscriptions automatically renew at the regular price unless canceled.

- Record the trial end date and the payment method attached to the account.
- Cancel before renewal if you do not intend to pay.
- Do not create multiple accounts to evade licensing or trial limits.

The prices below are Microsoft’s displayed US prices as of August 18, 2026. Promotions, taxes, platform, region, and future price changes can alter the amount. Monthly and annual subscriptions automatically renew unless canceled.

Microsoft lists these plans at its consumer comparison page. Office Home 2024 is not free and is not equivalent to a Microsoft 365 subscription. Its $179.99 upfront price exceeds one year of Personal at the displayed annual rate, but it avoids recurring payments; the better value depends on how long you will use it and whether you need storage, multi-device access, and ongoing updates. Family’s total price is higher than Personal, yet it can reduce the cost per person when all additional users are legitimate household members.
A storage-only OneDrive plan should not be assumed to include desktop Word, Excel, and PowerPoint. Buy it for storage, not as a substitute for an Office license.

LibreOffice
LibreOffice’s official download page provides Windows, macOS, and Linux builds; it displayed version 26.2.5 on August 18, 2026. It is the strongest general-purpose choice for free offline writing, spreadsheets, and presentations, including for Linux users who do not want a Microsoft account or subscription.

ONLYOFFICE
ONLYOFFICE’s official download page lists free desktop and mobile apps for Windows, Linux, macOS, Android, and iOS. Its interface and compatibility-oriented workflow can feel familiar to Microsoft Office users.
- Advantages: free local editing and a Microsoft-like interface for common DOCX, XLSX, and PPTX work.
- Trade-offs: some cloud, collaboration, enterprise, and advanced features may require separate services or paid plans. The free desktop app is distinct from commercial cloud offerings.
Google Docs, Sheets, and Slides
Google presents Docs, Sheets, and Slides as browser-based collaboration tools. They are a strong fit for people already using Google Drive and Gmail who prioritize simultaneous editing.
- Advantages: straightforward real-time collaboration and familiar Google Drive integration.
- Trade-offs: they are not Microsoft Office; complex formatting, advanced Excel features, and macros may not carry over. Export and recheck files when sharing with a Microsoft-centric workplace.
Avoid fake “free Office” downloads
KMS activators, cracks, key generators, pirated product keys, modified installers, and “pre-activated” Office packages are not legitimate free options. They can expose documents and passwords, install malware, break updates, and create licensing problems. Download Microsoft software only from Microsoft or use a reputable alternative’s official site. If an installed copy suddenly asks for activation, remove suspicious activators and inspect the signed-in account and subscription status rather than searching for another key.

Common problems and fixes
“I downloaded Office, but it says I need to activate it.”
- Open Word or Excel and inspect which Microsoft account is signed in.
- Check the account’s subscriptions and confirm whether it includes desktop Office.
- If it does not, use Microsoft365.com for the free web apps or install LibreOffice or ONLYOFFICE for offline work.
- Remove unauthorized activators or suspicious installers.
Microsoft 365 Basic or a storage-only entitlement does not necessarily include desktop Word, Excel, and PowerPoint.
“The browser version is missing a feature.”
Identify whether you need macros or VBA, mail merge, advanced citations, offline authoring, Power Pivot, external-data workflows, advanced analysis, complex page layout, or sophisticated animation and add-ins. Verify the exact feature in Microsoft’s service-description tables, then use a licensed desktop app, an institutional license, or an offline alternative.
“My document looks different in another program.”
- Keep the original file.
- Use DOCX, XLSX, or PPTX when the recipient expects Microsoft Office, but do not assume perfect fidelity.
- Check fonts, page breaks, charts, formulas, embedded objects, and speaker notes in the final software.
- Export to PDF when the recipient needs a fixed-layout copy rather than an editable file.
“My OneDrive is full.”
The free account allowance is 5 GB. Delete unnecessary files, empty the recycle bin, download an archive, or move files to another storage provider. Paying for more storage may not unlock desktop Office; confirm the plan’s inclusions before purchasing.
“My school account stopped working.”
Graduation, withdrawal, an expired student or staff status, an administrator’s license change, or a disabled sign-in can end access. Export personal files before your affiliation ends, and do not treat an education account as permanent personal storage.
