Compare QuickBooks with the actual bank or credit-card statement, correct the underlying transaction, and continue only when the discrepancy is US $0.00. Do not start with an unexplained adjustment just to force the difference to zero.
First, identify the symptom

Also confirm which product you use. QuickBooks Online and QuickBooks Desktop have different controls and menu paths.
Protect the records before changing anything
- Obtain the bank or credit-card statement for the exact period.
- Confirm the account name and account type in QuickBooks, especially if several accounts use the same bank.
- Record the statement’s beginning balance, ending balance, and ending date.
- Save or export the relevant reconciliation and discrepancy reports.
- In QuickBooks Desktop, back up the company file before undoing a reconciliation.
- Change one supported transaction at a time so the original cause remains identifiable.
Editing or deleting a reconciled item can affect prior-period financial statements, tax reports, inventory, payroll allocations, or sales-tax filings. Obtain accountant review before changing a closed or filed period.
QuickBooks Online: correct the reconciliation systematically
Check statement information first
Go to All apps → Accounting → Reconcile, select the bank or credit-card account, and choose Edit info. Compare Ending balance and Ending date digit by digit with the statement, correct them, and select Save. A wrong ending figure can look like a transaction error. Intuit’s reconciliation guidance lists this as the first check.

Repair a beginning-balance discrepancy after earlier reconciliations
- Go to All apps → Accounting → Bank transactions and ensure the period’s items are matched, categorized, posted, or properly excluded.
- Go to All apps → Accounting → Reconcile and select the account.
- If QuickBooks reports that the beginning balance is off, select We can help you fix it.
- Open the Reconcile Discrepancy Report.
- Review each listed item, select View for its change history, and use Change Type to see whether it was edited, moved, deleted, or unreconciled.
- Correct only the transaction supported by the statement and other source documents.
- Recheck the report and continue only when the Total Discrepancy Difference is US $0.00.
The report identifies changes that may affect the beginning balance; it does not prove that every listed transaction should be edited. See Intuit’s beginning-balance instructions.
Fix a first-time reconciliation
For an account that has never been reconciled, investigate the opening balance. It is the real-world balance on the date you began tracking the account. Compare that date and amount with the bank record, including transactions that were pending or outstanding when the account was set up. Correct the opening-balance entry or related setup transaction, then return to reconciliation. The opening balance is different from the current reconciliation’s beginning balance, which normally comes from the previous reconciliation’s ending balance. Find missing, duplicate, and incorrectly timed transactions
When a statement item is missing
- Compare the statement with the register line by line, checking date, amount, payee, and transaction type.
- Search All apps → Accounting → Bank transactions for downloaded items that remain unmatched or uncategorized.
- Enter a genuinely missing item using the appropriate form: expense, check, deposit, sales receipt, transfer, or payment.
- Verify that it belongs to the correct account.
- Mark it reconciled only if it cleared during the statement period.
Use the normal source transaction rather than a generic journal entry so the payee, category, tax treatment, class, customer, project, and attachments remain accurate.

When QuickBooks contains an extra item
- Check whether it cleared in a later statement period.
- Look for a duplicate downloaded transaction.
- Confirm it was not entered in the wrong bank account.
- Review whether the bank combined several receipts into one deposit.
- Check the transaction date against the statement coverage dates.
- Review the Past Reconciliation report before changing a previously reconciled item.
Delete or void only an item proven to be erroneous or duplicated. A valid transaction that cleared later should remain in the books and be reconciled in the correct period. Intuit discusses these checks in its end-of-reconciliation guidance.

A transfer can be missing from one account, duplicated in both, or entered as an expense and deposit instead of a transfer. Compare both account registers. Also remember that downloaded, matched, categorized, or posted is not the same as reconciled: the reconciliation mark must agree with the statement.
Respect clearing dates
A transaction’s entry date is not always the date it cleared. Do not move a valid item into the current reconciliation merely because it was entered during that month.

When the bank combines several payments into one deposit
If the statement has one deposit but QuickBooks has several customer payments, reproduce the bank’s deposit structure. Where appropriate, place the component payments in Undeposited Funds, create one bank deposit for their combined amount, and reconcile that single deposit to the bank line.
Do not use Undeposited Funds mechanically. If the receipts were already posted directly to the bank account, or your business uses another clearing-account workflow, changing them can duplicate income. The correct flow depends on how the original receipts were recorded.
Unreconcile one transaction in QuickBooks Online
Use this when one item was marked reconciled incorrectly; it does not undo the whole period.

- Go to All apps → Accounting → Chart of accounts.
- Find the bank or card account and select View register.
- Open the transaction.
- In the checkmark column, cycle the status: R means reconciled, C means cleared, and blank means uncleared.
- Select Save, correct the transaction if necessary, and reconcile it again.
Removing the reconciliation mark changes the next reconciliation’s beginning balance. A full QBO reconciliation undo requires an accountant or a user with the In-house accountant role. See Intuit’s transaction-reconciliation instructions.

- Back up the company file.
- Go to Banking → Reconcile.
- Select Undo Last Reconciliation.
- Select Continue, then OK.
- Correct the underlying entries and redo the period.
Desktop also offers Enter Adjustment, which creates a journal entry to the Reconciliation Discrepancies expense account. That is an accounting decision of last resort, not a routine way to hide an unexplained difference. See Intuit’s Desktop guidance. Desktop users can review Reports → Banking → Previous Reconciliation.
Should you post a reconciliation adjustment?
Usually, no—not until the cause has been investigated. Even a small difference may be a wrong amount, bank fee, interest item, duplicate, timing issue, sign error, combined deposit, or edited prior-period transaction. An adjustment can make the screen show zero while misstating income, expenses, assets, or liabilities.

Use an adjustment only when the difference is understood, supported, recorded in the correct account and period, and documented for review. If you cannot explain it, stop rather than complete the reconciliation with a mystery plug.
When to escalate to an accountant or QuickBooks expert
- Several prior periods are affected.
- A closed period or filed tax return must be changed.
- The discrepancy report contains many unexplained changes.
- You lack permission to undo the required reconciliation.
- The books were migrated between QuickBooks Online, Desktop, or Desktop for Mac.
- The bank statement may be incomplete or amended.
Product behavior can differ after a platform or edition change, and a professional can determine whether to edit, reverse, or rebuild entries without damaging reported periods.
