Use “Dear [verified full name]” whenever you can identify the person responsible for the role. If no reliable name is available, use “Dear Hiring Manager” or a more specific team or role greeting such as “Dear Finance Hiring Team.” When you do not know someone’s gender or pronouns, write their full name without Mr., Ms., Mrs. or Miss.
Start by finding the recipient’s name
A named, correctly addressed recipient is the strongest default. Check the job advertisement, employer’s website, professional-network profiles and any contact who referred you. Confirm both the spelling and the person’s role before using the name. The UK National Careers Service says it is important to try to address a cover letter to someone by name.
Use the person’s full name when gender is uncertain
Write “Dear Robin Lopez” or “Dear Shadi Hamid” rather than guessing a title. A full name avoids an incorrect gender or marital-status assumption and remains formal. Do not add Mrs. or Miss unless the recipient has clearly stated that preference; Indeed specifically cautions that those titles require guesswork about marital status.
Use a title only when it is verified
If the posting or the person’s professional profile clearly uses a title, “Dear Dr. Patel” may be appropriate. Otherwise, the full-name format is safer and more inclusive than assuming Mr. or Ms.

What to write when you cannot find a name
Choose the most specific accurate role or group you can identify:
- Dear Hiring Manager: a professional, gender-neutral fallback for an individual hiring contact you cannot identify.
- Dear Recruitment Manager: useful when the organization’s recruiting function is clearly named.
- Dear [Department] Hiring Team: such as “Dear Marketing Hiring Team” when the vacancy belongs to a known department.
- Dear Search Committee: appropriate for universities, nonprofits and other committee-led searches.
Team-based greetings are preferable when several people share hiring responsibility. They show that you understand the organization’s structure instead of arbitrarily selecting one person.

When “Dear Hiring Manager” is professional
“Dear Hiring Manager” is acceptable when you have made a reasonable effort to find a name but cannot verify one. It is better than inventing a contact, using the wrong person’s name or making a gendered assumption. Avoid adding a comma or colon inconsistently; “Dear Hiring Manager:” is a conventional business-letter style, while “Dear Hiring Manager,” is also widely used. Follow the formatting style used elsewhere in your application.
Why “Dear Sir or Madam” is usually a last resort
“Dear Sir or Madam” remains listed as a fallback in National Careers Service guidance, but it gives no information about the recipient and assumes a binary form of address. A role-specific or team-specific greeting is generally more informative. Use it only when you cannot identify a person, role or hiring group and the employer’s conventions leave no better option.

Salutations to avoid
- Hey [Name] or Hi [Name]: too casual for most formal cover letters, even when the company culture appears relaxed.
- To whom it may concern: impersonal and usually less useful than naming the hiring function.
- Dear Mr. or Ms. [Surname] without confirmation: risks a wrong gender assumption.
- Dear Mrs. or Miss [Surname]: implies a marital-status assumption; Indeed advises avoiding these forms.
- A guessed name: an incorrect personal greeting can be worse than an accurate role-based one.
A quick decision process
- Search for a named contact. Review the posting, employer site, professional networks and referral contacts.
- Verify the details. Check spelling, current role and whether the person is connected to this vacancy.
- Choose the format. Use “Dear [Full Name]” when gender or pronouns are uncertain; add a verified title only when the person uses it.
- Switch to a group greeting if needed. Select “Dear Hiring Manager,” a department hiring team or a search committee based on the known structure.
- Proofread the opening. Make sure the salutation matches the employer, position and level of formality used throughout the letter.
Does one salutation improve interview odds?
Professional guidance supports accuracy, relevance and respectful language, but no numerical interview-rate advantage for one salutation over another was established in the available guidance. Treat the greeting as part of a credible, tailored application rather than a standalone tactic.
