There is no single best free accounting app for every small business. For most eligible U.S. solopreneurs, Zoho Books Free is the strongest all-around cloud choice. Wave Starter is a good fit for straightforward invoicing and bookkeeping when you can enter or import transactions manually. GnuCash and Manager Desktop are better when avoiding subscriptions matters more than browser collaboration.

“Free” can mean a permanent cloud plan, desktop software, self-hosted open-source software, or a restricted plan with paid automation. Trials of QuickBooks Online, Xero, FreshBooks, Sage and Patriot are not included as genuinely free options.

Inventory, payroll, sales-tax automation, project time, multiple entities and advanced integrations commonly require another product or a paid tier.

The 10 best free accounting apps

1. Zoho Books Free — best overall cloud option

Best for: U.S. solopreneurs and very small service businesses below the revenue threshold.

Zoho’s U.S. Free plan costs $0 per organization per month and remains available indefinitely while annual revenue stays below $50,000. The plan lists invoices, quotes, expenses, journals, vendors, mileage, online payments, customer portal, reminders, recurring invoices, bank reconciliation, financial reports, contractor tracking and 1099-related tools, with one user plus one accountant and email support. This is the most complete free cloud package in the shortlist: it is formal bookkeeping rather than an invoice-only ledger, and it offers a clear upgrade route. The threshold is decisive, however, and country editions differ. Inventory, projects, automation and analytics require paid tiers; Zoho’s U.S. paid plans currently start at $20 monthly or $15 monthly when billed annually. Confirm bank, payment, tax and accountant compatibility before migrating.

2. Wave Starter — best for simple invoicing and bookkeeping

Best for: U.S. freelancers and service businesses with uncomplicated finances.

Wave Starter is $0 and includes estimates, invoices, bills, bookkeeping records, customer management, cash-flow views and mobile invoicing. Wave’s current documentation says automatic bank imports, receipt scanning, automatic merging and automatic categorization belong to Pro, not Starter. Starter therefore works best when you manually enter transactions or import files and mainly need invoices plus basic books. Payment processing is separate: Wave lists 2.9% plus $0.60 for Visa, Mastercard and Discover; 3.4% plus $0.60 for American Express; and ACH at 1% with a $1 minimum. 3. GnuCash — best genuinely free desktop double-entry system

Best for: People willing to learn accounting and maintain local files.

GnuCash is free, open-source desktop software built around double-entry accounting. It supports small-business accounts, reports, invoices, customers, vendors and accounts-receivable/payable workflows. There is no subscription or revenue cap.

The trade-off is effort. You design the chart of accounts, manage backups and updates, and accept weaker browser collaboration, mobile access, bank automation and simultaneous multi-user work than cloud products. It is financially durable but not the easiest first bookkeeping system.

4. Manager Desktop — best modern free desktop alternative

Best for: A small business wanting guided desktop workflows without a recurring fee.

Manager offers a free desktop edition alongside paid cloud options. It provides broader small-business workflows and a more approachable interface than many traditional accounting programs. Free desktop does not mean free cloud collaboration: confirm the edition, sharing method, bank integrations and your accountant’s file requirements. Establish an automated off-device backup and periodically test restoration.

5. Akaunting — best for self-hosting and data control

Best for: Technical owners or organizations that can administer a server.

Akaunting describes itself as free, open-source online accounting software, with a free self-hosted/on-premise Standard route. Hosting, extensions and managed services can cost money. You are responsible for updates, access control, uptime, security, backups, email delivery and recovery. It is a strong data-control choice, but not a maintenance-free substitute for hosted SaaS.

6. ZipBooks Starter — best lightweight online bookkeeping

Best for: Very small businesses centered on invoices, payments and basic expense tracking.

ZipBooks is commonly offered with a free Starter plan. Because third-party descriptions can lag product changes, verify the live signup page for current bank connections, users, reports, export options and upgrade terms before relying on it. It can be a practical cloud alternative for simple books, but test portability and accountant access first.

7. Frappe Books — promising open-source desktop option

Best for: Users wanting a simpler local alternative to GnuCash.

Frappe Books is an open-source desktop project. Verify its current release activity, operating-system support, commercial license, U.S. tax features, bank import and reporting before adoption. Its smaller ecosystem means fewer established accountant workflows and less certainty around long-term support than the leading choices.

8. Odoo Accounting — best when bookkeeping is part of an ERP

Best for: A business that also needs CRM, inventory, sales, projects, manufacturing or e-commerce.

Odoo’s one-app-free structure is a bundle rule, not unlimited free access to every application. It can be cloud-hosted or self-hosted, but additional apps, users, hosting, implementation and customization can become expensive. 10. Dolibarr or ERPNext — advanced open-source choices

Best for: Technically capable organizations needing accounting inside a broader ERP.

Dolibarr and ERPNext can cover much more than bookkeeping through open-source deployment. Hosting, configuration, security, customization and maintenance can exceed a small SaaS subscription. Desktop software avoids a monthly subscription, works offline and keeps files local, but you own backups, updates, security and computer-to-computer migration. Mobile and bank-feed capabilities may be weaker.

Self-hosting gives the most control and customization. It does not eliminate total cost: budget for hosting, SSL or domain services where applicable, patching, monitoring, backups, email delivery and recovery expertise.

When free software is no longer appropriate

  • You need payroll or dependable sales-tax automation.

  1. Export the current company file, general ledger, invoices, attachments and transaction detail.
  2. Download complete bank and card statements; do not rely only on an aggregator feed.
  3. Map the old chart of accounts to the new one and establish opening balances.
  4. Import transactions or enter them, then match transfers, payments and duplicates.
  5. Reconcile each account to the statement ending balance.
  6. Compare profit-and-loss, balance-sheet and unpaid-invoice totals between systems.
  7. Keep the old system read-only and preserve a year-end archive.
  8. Ask your accountant to review the first completed period and any adjusting entries.

Is a spreadsheet enough?

A spreadsheet can work temporarily for very low transaction volume when one person records every transaction and retains statements and receipts. It is a weak long-term system for double-entry controls, audit history, reconciliation, accountant access, inventory or multiple users. Moving to bookkeeping software before volume grows is usually safer than reconstructing missing records at tax time.
