Proton Workspace is a genuine business-suite alternative to Google Workspace and Microsoft 365, but it trades some ecosystem maturity and migration convenience for stronger privacy defaults. Launched on March 31, 2026, it bundles Proton Mail, Calendar, Drive, Docs, Sheets, Meet, VPN and Pass under one business subscription. Proton’s end-to-end-encryption design and Swiss headquarters are the main differentiators; organizations should still verify compatibility, administration and compliance requirements before switching.
What Proton Workspace includes
Workspace is not simply a rebranded email plan. It is Proton’s integrated productivity bundle for business users, covering communications, files, collaboration, meetings, network privacy and password management.

Why businesses are considering Proton
Encryption as the default position
Proton says Workspace data is encrypted on the device, in transit and while stored, with end-to-end encryption enabled by default. It also says its applications are open source and independently audited and security tested. Those are Proton’s claims; buyers should review the technical documentation, administrator controls and any exceptions that apply to particular features.
Swiss privacy positioning
Proton is headquartered in Switzerland and presents Workspace as outside US jurisdiction. That is a jurisdictional positioning claim, not an absolute shield from cross-border requests or every legal process. A company’s own contracts, data locations, employees and subprocessors can still affect exposure.
Privacy-oriented collaboration features
Proton Drive supports password-protected sharing links and expiration controls. Proton says Lumo does not train on customer conversations or retain prompts for model training. These controls may appeal to law firms, healthcare organizations, financial businesses, journalists, nonprofits and consultancies that routinely share confidential material.
How Proton compares with Google Workspace and Microsoft 365
Google and Microsoft generally win on ecosystem breadth, mature administration and compatibility with existing business workflows. Proton’s advantage is a privacy model that places end-to-end encryption, open-source applications, VPN and password management at the center of the bundle.

Migration: what Easy Switch can and cannot do
Proton’s Easy Switch tool is intended to move email, contacts and calendars from an existing provider while allowing old and new systems to run in parallel. That parallel period can reduce disruption while users learn new applications and administrators verify delivery.
Google Drive is the main complication
A June 2026 TechRadar report described a limitation: Easy Switch did not offer an equivalent bulk path for Google Drive files. Organizations had to export and re-upload files, with file-by-file handling reported as a constraint. Confirm the current migration tools before signing a contract because this capability may change.

- Inventory mailboxes, aliases, groups, calendars, shared drives, file types, integrations and retention requirements.
- Test Proton Docs and Sheets with representative Word, Excel and Google-format files, including formulas, comments, permissions and version history.
- Use Easy Switch for email, contacts and calendars, then run old and new services in parallel during validation.
- Plan a separate export, conversion and re-upload process for Drive files, including ownership and sharing permissions.
- Recreate external integrations, automated workflows, mobile-device policies and meeting-room procedures before the final cutover.
- Keep an auditable rollback plan until mail flow, calendar sharing and critical documents have been verified.
Is Proton Workspace compliant for HIPAA, GDPR and CCPA use?
Proton states that Workspace is ISO 27001 certified, SOC 2 Type II audited and designed to support HIPAA, CCPA and GDPR compliance. “Supports” does not mean a customer is automatically compliant. Certification scope, contractual terms, data-processing agreements, configuration, access controls, retention rules and employee procedures all matter.
Healthcare organizations should confirm whether the required business-associate agreement and product configuration are available. GDPR and CCPA assessments should address controller or processor roles, data transfers, deletion requests and regional residency. Ask Proton for current certificates, audit reports or summaries, subprocessors and contract language before treating the service as approved.
Who should choose Proton Workspace?
Strong fit
- Small and midsize organizations where confidential email, files and calendars are central.
- Teams seeking one vendor for encrypted collaboration, VPN and password management.
- Businesses willing to test document compatibility and rebuild integrations.
- Organizations that value reduced dependence on US-based Big Tech ecosystems.
Potentially weaker fit
- Companies dependent on advanced Excel macros, complex Office desktop workflows or specialized Google integrations.
- Large enterprises requiring highly mature identity, telephony, archiving or third-party application ecosystems.
- Teams expecting a one-click bulk migration of a large Google Drive estate.
Bottom line for small businesses
Proton Workspace can replace the core functions of Google Workspace or Microsoft 365 for many small businesses, especially those that prioritize encrypted data and controlled sharing over the broadest integration catalog. Standard is the lower-cost entry point at $12.99 per user per month on annual billing, while Premium adds more storage, larger meetings and Lumo. The decision should follow a pilot that tests files, integrations, administration and compliance—not encryption claims alone.
