A practical path to becoming a data analyst is to learn how to frame a business question, work with data in spreadsheets and SQL, analyze and communicate results, then prove those skills with a complete project. Add one business intelligence tool—such as Power BI or Tableau—based on the roles you want, and consider a certificate for structure rather than as a job guarantee.

What a data analyst does

Data analysis is more than writing code or making charts. Analysts clarify what stakeholders need to know, prepare and examine relevant data, and explain findings in a form that can inform decisions. Microsoft Learn describes the role as turning raw data into relevant, meaningful insights in collaboration with stakeholders (Microsoft Learn).

That means a useful learning plan must develop both technical skills and judgment: Can you define the question, check whether the data is suitable, choose an appropriate comparison, and communicate what the evidence does—and does not—support?

A step-by-step data analyst roadmap

1. Start with questions and basic analysis

Practice translating broad requests such as “How are sales doing?” into answerable questions: Which products, regions, or periods should be compared? What counts as a sale? What decision will the result inform? Learn basic data types, rows and columns, summary measures, comparisons, and how missing or inconsistent values can affect a conclusion.

2. Become fluent in spreadsheets

Use Excel or Google Sheets to sort and filter records, validate entries, summarize data, and create clear charts. Spreadsheets are useful for understanding a dataset and checking quick calculations; they also appear in Google’s data analytics curriculum alongside other foundational tools (Google Data Analytics Certificate).

3. Learn SQL and data preparation

Learn to select and filter records, join tables, group results, and calculate aggregates. Explain what each query returns rather than treating a successful run as proof that it answers the question. Data preparation is part of the job too: check row counts, duplicates, null values, data types, and whether your filters match the business definition. Google’s curriculum includes SQL, while Microsoft describes profiling, cleaning, and transforming data as analyst work (Google; Microsoft Learn).

4. Analyze, visualize, and explain

Choose comparisons that directly address the question. Present the result in a clear table, chart, or dashboard, then write a concise explanation: what changed, what might account for it, what limitations apply, and what decision could follow. A visualization is useful only when its labels, time period, measures, and context make the evidence understandable.

5. Choose one BI tool, then extend with code if useful

Learn one business intelligence (BI) platform first. Power BI is a reasonable choice for roles centered on Microsoft’s ecosystem; Tableau is another option represented in Google’s curriculum. Neither official source establishes that one tool is preferred across all regions or employers. Look at a sample of current job listings in your target location and industry, and weigh tool requirements, data-source compatibility, access or licensing, and which platform lets you finish a portfolio project sooner.

Python or R can extend your capabilities when you need repeatable data cleaning, larger workflows, or analysis beyond what a spreadsheet or BI tool handles. Treat programming as an addition to sound analysis and communication, not a substitute for them.

6. Build an end-to-end case study

Use a public or otherwise shareable dataset to answer one concrete question. A strong case study lets a reader follow the work from question to recommendation:

  • State the question and why it matters.
  • Identify the dataset and its provenance.
  • Describe preparation choices, including relevant exclusions or data-quality issues.
  • Show the analysis and the visuals that support the answer.
  • Explain limitations and what cannot be concluded.
  • Give a concise, evidence-based recommendation.

Where appropriate, publish the SQL queries or notebook alongside the dashboard or report. Google’s certificate includes a capstone case study that learners can share with potential employers (Google). A well-documented project makes your process visible; it does not guarantee an interview or job.

How to choose a certificate

Compare programs by curriculum coverage, hands-on work, time and cost, software access, learner support, and fit with the jobs you are targeting. A certificate can organize study and provide a project, but it is not a universal prerequisite for analyst roles.

Google Data Analytics Certificate

Google presents its foundational certificate as suitable for learners without prior experience or a degree. The provider estimates about 240 hours to complete its eight courses, with suggested schedules of roughly three months at 20 hours a week or six months at 10 hours a week. These are estimates for completing Google’s program, not a forecast of how long it will take to get hired. The page lists a U.S. and Canada subscription price of $49 USD per month after a seven-day trial; check the provider’s current page for price and terms before enrolling (Google Career Certificates).

Microsoft Power BI Data Analyst Associate

Microsoft classifies its Power BI Data Analyst Associate credential as intermediate. Its exam covers preparing data, modeling data, visualizing and analyzing data, and managing and securing Power BI. The credential is most relevant when target roles use Power BI, not a prerequisite for every data analyst job. Microsoft lists renewal every 12 months; its credential page was updated April 20, 2026 (Microsoft Learn).

Set expectations about timelines, jobs, and pay

Use a course provider’s stated study time only to plan that course. Google’s estimate of about 240 hours describes its eight-course certificate; it does not account for every learner’s pace, additional project work, job-search time, or the requirements of a particular employer.

Do not use data scientist pay as a proxy for data analyst pay. The U.S. Bureau of Labor Statistics reports a May 2025 median annual wage of $120,230 for data scientists, a separate occupation; that figure is not a data analyst wage estimate (U.S. Bureau of Labor Statistics). The sources cited here do not establish a comparable data-analyst-specific wage or universal demand figure. For local expectations, review current postings in your region and note the tools, responsibilities, and experience they actually request.

Turn the roadmap into a study plan

  1. Define a target: review relevant local job listings and note recurring responsibilities and tools.
  2. Build the foundation: practice business-question framing, spreadsheet work, SQL, data checks, and basic analysis.
  3. Choose a visualization tool: select one BI platform that fits the roles and software access you have.
  4. Complete a case study: publish a clear question, preparation process, analysis, visuals, limitations, and recommendation.
  5. Fill specific gaps: add Python or R, a credential, or another project when it addresses a requirement you have observed.
