Employers generally had to furnish 2025 Forms W-2 and 1099-NEC by January 31, 2026. Because that date fell on a Saturday, many forms were furnished by Monday, February 2, 2026. Some 1099 forms have different deadlines, including February 17, 2026 for Form 1099-B, Form 1099-DA, Form 1099-S and certain Form 1099-MISC statements.
If a form is missing, request it from the employer or payer first, check your IRS Individual Online Account for a wage-and-income transcript, and do not omit income just because a statement has not arrived. If necessary, file on time with Form 4852 when its substitute-form rules apply, then amend the return with Form 1040-X if the final document changes your estimate.
Why a “2025” form may arrive in 2026
Tax forms are named for the year of income they report. A 2025 W-2 or 1099 covers payments made during 2025, but the issuer usually furnishes it in January or February 2026. The issuer’s furnishing deadline, the date information appears in an IRS transcript and your tax-return filing deadline are separate milestones.

These dates come from the IRS’s 2025 due-date guidance and 2025 Publication 17. A financial institution or other payer may also issue a corrected statement later.

What to do when a W-2 or 1099 is missing
1. Contact the issuer first
Ask your employer, payer or issuing agency for a reissued statement and confirm the mailing address, email address or online tax-document portal they used. For a W-2, the IRS says the employer is required to provide the form. Keep a copy of your request, the date you made it and any response.
2. Check your IRS wage-and-income transcript
Sign in to your IRS Individual Online Account and look for the available 2025 wage-and-income transcript. It can provide reported wages, withholding and other information when the IRS has received the issuer’s data. A transcript may be blank or incomplete while the issuer’s data has not yet reached the IRS, so it is not proof that no income was reported.

3. Escalate a missing W-2 after February
For a W-2 that is still missing after the end of February, call the IRS at 800-829-1040. Have your name, address, Social Security number, dates of employment and the employer’s name, address and telephone number ready. IRS staff can contact the employer and explain the procedure for filing with Form 4852.
4. Compare every document when it arrives
Review the replacement or late form against your final pay stub, bank records and the return you filed. Check wages or payments, federal withholding and state information. A corrected form can change both income and withholding even when the original statement was already filed.

Can you file without the form?
You should not wait past the filing deadline solely because a statement is missing. Reconstruct the amount from your final pay stub, account statements and other reliable records, and file on time. Do not leave income off the return simply because an employer or payer has not delivered a document.
When Form 4852 is appropriate
Form 4852 is a substitute for Form W-2 and for certain Form 1099-R situations. Use the form to explain how you calculated wages or distributions and withholding, and attach it to the federal return. It is not a universal substitute for every 1099 type. For example, the correct reporting method for a missing investment, interest, dividend, unemployment or payment-platform statement depends on the nature of that income and the records available.

What to retain with your return
- Your final pay stub or payer statement used for the estimate.
- Bank, brokerage or platform records supporting the income amount.
- Copies of requests to the issuer and any IRS correspondence.
- A completed Form 4852 and its explanation, when that form applies.
What if the late form changes your tax return?
If a missing or corrected W-2 or Form 1099-R arrives after you file and its information differs from your estimate, file Form 1040-X, Amended U.S. Individual Income Tax Return. Recalculate tax, withholding, credits and any refund or balance due using the final document. Follow the current Form 1040-X instructions for whether an electronic or paper filing is available for your return.
Separate the three deadlines that matter
- Issuer deadline: when the employer or payer must furnish the statement, such as February 2, 2026 for many 2025 W-2 and 1099-NEC forms.
- Transcript availability: when the IRS has processed the issuer’s information; this can be later and is not guaranteed on the furnishing date.
- Your filing deadline: the date your federal return or extension is due. A missing form does not automatically extend that deadline.
Common mistakes to avoid
- Applying January 31 to every 1099 variant.
- Assuming an IRS transcript must be available as soon as the issuer’s deadline passes.
- Reporting only the amount shown on a partial document while ignoring other records.
- Using Form 4852 as a substitute for a 1099 type it does not cover.
- Failing to amend after a late or corrected W-2 or 1099-R changes the filed estimate.
