How to estimate payroll software cost

Compare the same workforce and requirements across providers, rather than choosing on the advertised base fee. A useful monthly estimate is:

Monthly cost = base subscription + employee fees + contractor fees + state or local registration fees + time-tracking fees + benefits or HR add-ons + payment-speed fees + implementation or year-end fees.

For a fair comparison, model at least a 10-person, one-state salaried team without benefits; a 25-person, three-state mixed hourly and salaried team with PTO and accounting integration; and a 50-person, multi-location team with benefits, time tracking, and onboarding. Price contractor-heavy international operations separately, and compare a PEO only against another PEO or service arrangement. Where a vendor does not publish a stable comparable figure, request a quote instead of filling the gap with an estimate.

Payroll software, payroll service, and PEO are different choices

Assisted payroll service

Switching payroll providers: a practical checklist

A midyear move needs particular care because year-to-date wages, taxes, deductions, and benefits data affect payroll and year-end reporting. Coordinate the cutover date and verify balances before the first live run.

  1. Select a cutover date and confirm the old and new providers’ payroll calendars and funding deadlines.
  2. Gather legal-entity, tax-account, bank, and payroll-calendar information.
  3. Export employee and contractor records, plus year-to-date wages, taxes, deductions, benefits, and PTO balances.
