“Copilot Pro” is a common search term, but Microsoft’s current Excel product is called Copilot in Excel. It can draft and explain formulas, add calculated columns, build charts and PivotTables, find trends and outliers, and make workbook edits. It is an assistant—not a guarantee that a formula or conclusion is correct. Review every important result against the underlying data.
This guide uses the current consumer names Microsoft 365 Personal, Family, and Premium, plus business Microsoft 365 Copilot licensing. Availability varies by plan, account, platform, administrator settings, and rollout.

Copilot Pro versus Copilot in Excel
Microsoft’s current consumer pages center on Microsoft 365 Personal, Family, and Premium rather than a standalone Excel “Copilot Pro” product. In Excel, the relevant feature is Copilot in Excel. Microsoft also distinguishes conversational Copilot Chat, the editing-oriented Agent Mode experience, and Analyst, a separate Python-powered analysis option available in some Microsoft 365 Copilot environments.
Copilot in Excel can work through Excel’s built-in features, so formulas, tables, formatting, and charts remain editable. Microsoft documents these capabilities in its Excel Copilot FAQ and getting-started guide.
#1 Best Overall
| Experience | Best use | What it does |
|---|---|---|
| Copilot in Excel, Edit mode | Changing a workbook | Plans, executes, and checks edits such as formulas, columns, formatting, charts, and worksheets. |
| Plan mode | Complex work | Proposes a sequence of steps before you approve or run changes. |
| Chat mode | Questions and explanations | Provides conversational answers without necessarily modifying cells. |
| Analyst | Advanced analysis | Python-powered work across files and formats where your Microsoft 365 environment provides it. |

Cell-level generated text or calculations | A separate, program-dependent function with its own limits and errors. |
Microsoft’s distinctions are described in the Agent Mode FAQ.
What Copilot can do in Excel
- Create, explain, debug, and modify formulas.
- Add formula columns and summary rows to tables.
- Create lookup formulas such as
XLOOKUP. - Summarize numerical data and text comments.
- Find trends, unusual values, missing data, and possible anomalies.
- Create charts, PivotTables, filters, sorting, conditional formatting, borders, and styles.
- Add classifications, themes, or sentiment labels to a new column.
- Modify ranges, cell values, worksheets, and other workbook content.
Use the feature for a fast first draft and exploration. For governed financial reporting, statistical modeling, or regulated decisions, retain a deterministic method and an independent review.
Prepare the workbook before asking for help
Most “Copilot is wrong” complaints begin with an ambiguous worksheet. Microsoft’s data-formatting guidance recommends a clean table or supported range.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches- Save the file to OneDrive or SharePoint and turn on AutoSave.
- Use a supported modern format:
.xlsx,.xlsb, or.xlsm. - Select the data and choose Home > Format as Table.
- Confirm that the first row contains headers, then use Table Design > Table Name to assign a name such as
SalesTable. - Give every column a unique, nonblank header. Keep dates, numbers, currency, and percentages consistent within each column.
- Remove blank rows or columns inside the dataset, merged cells, embedded subtotals, and unrelated blocks.
- Separate unrelated datasets into distinct tables or worksheets.
- Save and reopen the workbook if the Copilot control does not appear.
Files from a SharePoint site that requires check-out can prevent Copilot in Excel for Windows or Mac from working; opening the file in Excel for the web may still work.
Open Copilot and choose the right mode
Open an eligible workbook in Excel for Microsoft 365, Excel for Mac, Excel for the web, or Excel for iPad, then select the Copilot control. Availability and controls differ by platform and organization.

- Edit: ask for a concrete change, such as adding a calculated column or creating a summary sheet.
- Plan: ask for a staged approach when the task involves cleaning, calculations, and presentation.
- Chat: ask for an explanation or a finding that should stay in the conversation.
Review the proposed range and changes before accepting them. If the result is not what you intended, undo the edit and narrow the request.
Generate and explain formulas
Calculated columns
Suppose SalesTable contains Revenue, Cost, Units, Region, and Order Date. In Edit mode, ask:
Add a column named Profit that calculates Revenue minus Cost for every row in SalesTable. Explain the formula and format the values as currency.
A likely structured-reference result is:
=[@Revenue]-[@Cost]
For a safe margin:
Add a column named Profit Margin. Calculate Profit divided by Revenue, return 0 when Revenue is zero or blank, and format the result as a percentage with one decimal place.
A possible result is =IFERROR([@Profit]/[@Revenue],0). The exact syntax can differ with locale and workbook structure, so inspect the actual formula.
Useful formula requests
Calculate the percentage increase from B2 to C2. Return a blank if B2 is zero.Explain the formula in the selected cell, including every function and reference.Create a formula that returns “Overdue” when E2 is before today and the status is not “Complete”.Extract the first name from the full name in D2 and leave blank cells blank.Using InventoryTable, return Stock Quantity for the Product ID in A2. If there is no match, return “Not found”.
Formula families to request explicitly
| Need | Functions to consider | Prompt detail to specify |
|---|---|---|
| Logic and error handling | IF, IFS, AND, OR, IFERROR, SWITCH |
Thresholds, priority order, and what blanks or errors should return. |
| Totals and counts | SUM, AVERAGE, MIN, MAX, COUNT, COUNTA, SUBTOTAL |
Whether filtered or hidden rows count. |
| Conditional aggregation | SUMIFS, COUNTIFS, AVERAGEIFS |
Exact criteria, date boundaries, and exclusions. |
| Lookups | XLOOKUP, INDEX/MATCH, XMATCH, FILTER |
Exact versus approximate match, duplicate keys, and not-found behavior. |
| Dynamic arrays | FILTER, SORT, SORTBY, UNIQUE, SEQUENCE |
Spill location and treatment of empty results. |
| Dates | TODAY, DATE, YEAR, MONTH, EOMONTH, NETWORKDAYS, WORKDAY |
Calendar versus fiscal periods, inclusive boundaries, holidays, and time zone. |
| Text | TEXTBEFORE, TEXTAFTER, TEXTSPLIT, LEFT, RIGHT, MID, TRIM, CLEAN, SUBSTITUTE |
Delimiters, missing text, and whether spacing should be preserved. |
Analyze tables, trends, and outliers
Copilot can answer questions about a dataset and return summaries, charts, PivotTables, trends, and possible outliers. Microsoft’s examples are collected in Data insights with Copilot in Excel.
Prompts that produce useful outputs
Summarize total Revenue, average order value, and order count by Region.Which three products contributed most to total profit? Show the calculation.Identify unusual monthly sales values and explain why they may be outliers.Compare revenue growth by region between January and June 2026. Return a table and a column chart.Create a PivotTable showing revenue by region and month.Find missing, inconsistent, or suspicious values. List affected rows and explain each issue.Analyze customer comments, identify five common themes, and add a theme column.
A reliable analysis sequence
- Ask Copilot to describe the table and identify data-quality issues.
- Request descriptive statistics and segmented comparisons.
- Ask for time trends, then request an outlier review.
- Create a chart or PivotTable that exposes the calculation.
- Recalculate key totals independently and record assumptions.
Write prompts Copilot can execute
Use this template:
Task: Data source: Relevant table/range: Columns: Calculation or business rule: Expected output: Formatting: Error and blank handling: Validation request:
“Analyze my sales” leaves the period, metric, exclusions, and output undefined. A stronger request is:
Rank #3
Using SalesTable, analyze Revenue and Profit by Region and Month. Exclude rows where Order Status is Cancelled. Identify the region with the highest profit margin, show numerator and denominator, create a monthly line chart, and list missing or inconsistent values before calculating.
Define words such as “best,” “growth,” and “bad data.” Name the authoritative columns, state whether formulas should fill down or spill, and ask Copilot to request clarification when a rule is ambiguous.
Verify every formula and insight
- Inspect the formula in several rows, including blanks, zeros, duplicates, and boundary values.
- Confirm the table or range Copilot actually used; check filters, hidden rows, and subtotals.
- Reconcile totals with a manual formula,
SUBTOTAL,SUMIFS, or a PivotTable. - Check the numerator, denominator, aggregation level, and excluded records for every percentage.
- Confirm that dates use the intended calendar or fiscal period and inclusive boundaries.
- For lookups, test missing IDs, duplicate keys, leading spaces, and text-versus-number mismatches.
- Treat a high-value transaction as a candidate outlier, not proof of an error.
- For generated themes or sentiment, inspect samples before using the labels for a decision.
Microsoft warns that generated formulas and insights can be inaccurate or inappropriate. Keep an independent check for financial, legal, medical, payroll, tax, or regulatory work.
The COPILOT() worksheet function is different
Microsoft documents a worksheet function with syntax similar to:
=COPILOT(prompt_part1, [context1], prompt_part2, [context2], ...)
Its documentation identifies program-dependent availability through Frontier and Microsoft 365 Insider channels, a qualifying license, and a GPT-4.1-mini model dated April 14, 2025 at the time of that documentation. It allows up to 100 calculations every 10 minutes, requires an internet connection, and cannot calculate in workbooks labeled Confidential or Highly Confidential. See the COPILOT function reference.
- The function sees only the prompt and grid context supplied; it does not automatically inspect the entire workbook.
- Results can change as the model changes and are unsuitable where nondeterminism is unacceptable.
#CONNECT,#VALUE, and#BLOCKEDcan occur.- Copy an accepted result and use Paste Values if you need to freeze it.
Troubleshoot common failures
The Copilot button is missing
- Sign in to the intended Microsoft account and confirm the subscription is eligible.
- Update Excel and check that the file is in OneDrive or SharePoint with AutoSave enabled.
- Review connected-experience and privacy settings.
- Ask an administrator whether the tenant has disabled Copilot.
- Distinguish the Copilot app from Copilot in Excel.
The range is misread
Convert it to a named table, remove blank structural gaps and merged cells, fix duplicate headers, and explicitly name the table and columns in the prompt.
The denominator or date is wrong
Ask Copilot to show numerator, denominator, filters, excluded rows, formula, and aggregation level. State whether dates mean calendar months, fiscal periods, rolling days, or inclusive boundaries.
A lookup looks plausible but is wrong
Test exact-match behavior, duplicate keys, missing IDs, spaces, number/text mismatches, case requirements, and the selected return column.
Protected or sensitive files fail
Permissions, sensitivity labels, macros, external links, and organization policies can affect individual features. The documented COPILOT() restriction for Confidential and Highly Confidential labels is separate from general Copilot behavior.

| Plan | Observed U.S. price | Best fit | Important qualification |
|---|---|---|---|
| Microsoft 365 Personal | $99.99/year or $9.99/month | One person who wants desktop Excel and ordinary Copilot use. | AI access is subject to credits and usage limits. |
| Microsoft 365 Family | $129.99/year or $12.99/month | Up to six people needing Microsoft 365 apps and storage. | AI features belong to the subscription owner, not every family member. |
| Microsoft 365 Premium | $199.99/year or $19.99/month | Heavy individual Copilot use and additional AI-agent features. | Microsoft describes higher usage levels; this is not a promise of unlimited Excel analysis. |
See Microsoft’s current individual pricing and AI-credit limits. Business users may need Microsoft 365 Copilot, Microsoft 365 Copilot Business, or an eligible business or enterprise plan with Copilot Chat; an administrator should confirm licensing and tenant settings. Best Value
When another approach is better
- Traditional Excel: simple, known formulas, fully deterministic workbooks, or prohibited cloud storage.
- Power Query: repeatable importing, cleaning, merging, and transformation.
- Power Pivot and DAX: governed relational models and reusable measures.
- Python, pandas, or R: advanced statistics, automation, reproducibility, and large datasets.
- Google Sheets with Gemini or a general AI assistant: reasonable alternatives when your workflow already lives elsewhere, but formulas and data usually require different integration and manual transfer.
Frequently Asked Questions
Can Copilot in Excel replace Power Query or Power Pivot?
No. It can suggest formulas and exploratory analyses, but Power Query is better for repeatable transformations and Power Pivot/DAX for governed relational models and reusable measures.
Does Microsoft 365 Family give every user their own Excel Copilot?
No. Microsoft’s individual pricing page says AI features are available to the subscription owner and are not shared with the other Family users.
Is the COPILOT() function available in every Excel installation?
No. Microsoft documents program-dependent availability, a qualifying license, usage limits, and separate errors and sensitivity-label restrictions.

The Bottom Line
Use Copilot in Excel as a fast formula builder and first-draft analyst: prepare a clean named table, state exact rules in the prompt, choose Edit, Plan, or Chat deliberately, and verify the resulting formulas, ranges, denominators, and dates. Pay for a higher Microsoft 365 tier only when its usage levels and broader AI features justify the cost; no plan removes the need for human review.
