How to Choose the Right Coworking Plan for a Small Team

By TheFinanceBase Team 10 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The right coworking plan is the one that matches your team’s busiest expected attendance, privacy needs, and willingness to commit—not simply the plan with the lowest advertised price. Count how many people need desks at the same time, decide which work requires calls or confidential conversations, then compare flexible desks, dedicated desks, and private offices on a like-for-like basis.

Before signing, obtain a written quote for the exact location and term. Confirm permitted users, rotating-seat rules, access hours, meeting-room charges, taxes, deposits, and how you can add or remove seats as the team changes.

Start with simultaneous attendance, not total headcount

A six-person team may need only two desks on a normal day and five on a planning day. Buying six permanent places in that situation can waste money; buying two can leave people without somewhere to work when attendance overlaps.

Measure a normal day and a busy day

  1. List each employee, contractor, or other person who may use the space.
  2. For a typical week, record how many people are physically present at the same time each day.
  3. Identify the busiest realistic day, such as an in-person workshop, client visit, or team meeting.
  4. Use the highest simultaneous attendance as the starting desk requirement, then test whether the plan permits the entire team to rotate through those seats.

Ask whether the quoted desk count is also the permitted user count. Some memberships are sold per person, while others may allow a defined group to share a number of workstations. The reviewed provider material does not establish a universal rule for rotating employees through one membership, so obtain the rule in writing.

How many coworking desks do we need?

Use two figures rather than one: core seats for the people normally present together and peak seats for the busiest expected overlap. Request quotes for both. If the operator permits seat sharing, compare the cost and administrative limits of a smaller shared allocation with the certainty of individually assigned places.

Do not assume a spare desk is guaranteed just because a plan advertises shared access. Ask how reservations work, whether availability is monitored, and what happens when the building is full.

Match the work pattern to the plan type

Each plan solves a different problem. The descriptions below are useful starting points, but the exact inclusions and user limits vary by operator and location.

Plan Usually suits Questions to verify
Hot desk or shared access People who attend irregularly and can work in an open lounge or unassigned workstation Monthly visit limits, booking requirements, peak-time availability, user eligibility, and whether access is drop-in or reservation-based
Dedicated desk Employees who need the same workstation regularly but do not require an enclosed office Storage, monitor or furniture provision, meeting-room credits, access outside staffed hours, and whether the desk is reserved for one person or a team
Part-time private office or booth Teams needing privacy for calls or focused work for limited hours How hours are purchased, booking lead time, rollover rules, sound privacy, and whether the room is exclusive during booked periods
Private office Teams that co-locate frequently, handle confidential work, or need a lockable room Number of permitted users, 24/7 access, furniture, visitor rules, meeting-room access, notice periods, and expansion options
Day pass or occasional access Teams testing coworking or attending only sporadically Daily price, availability, included facilities, ability to reserve several places together, and whether day-pass users can use meeting rooms

Hot desks and shared access

A hot desk has no permanently assigned workstation. It is most useful when attendance is unpredictable and employees are comfortable working in shared areas. The All Access membership described by WeWork, for example, provides drop-in use of shared lounges and hot desks rather than a permanent private room. That distinction matters: shared access can be flexible without guaranteeing that your team will sit together every day.

Dedicated desks

A dedicated desk gives an employee a consistent workstation inside a shared office. It can reduce setup time and may include storage or meeting-room credits, but those features are plan-specific. Confirm whether personal equipment can remain overnight, whether the desk can be used by a substitute employee, and what happens if the assigned area is temporarily unavailable.

Part-time rooms and booths

A booth or hourly private room can be a cost-conscious answer when the team mainly needs a quiet place for client calls, interviews, or sensitive conversations. Workcentral lists private work booths, while 75 Park describes shared private offices sold in monthly hour blocks. Compare the total hours your team actually needs with the cost of a permanent room; unused blocks can erase the apparent saving.

Private offices

A private office is the strongest fit when people need to work together consistently or discuss confidential information. WeWork’s official FAQ defines one as “a fully enclosed, lockable room with 24/7 access reserved exclusively for you and your team.” Confirm that the quoted office actually carries those conditions at your chosen address.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Office sizes differ substantially. Workcentral lists suites for teams of three to 14, while 75 Park publishes offices for one or two, three or four, and five or six-plus people. Do not pay for capacity you will not use, but leave a documented path to add a seat if hiring or attendance increases.

Compare privacy, calls, and collaboration needs

Open seating works for routine individual work, but it may be unsuitable for customer calls, personnel discussions, regulated information, or concentration-heavy tasks. Map the team’s week before selecting a plan.

  • Phone calls: Count recurring call hours and ask whether phone booths are included, reservable, and available when needed.
  • Team meetings: Check the number of included meeting-room credits, room capacity, booking windows, and hourly rates after credits are used.
  • Confidential work: Ask about lockable storage, sound insulation, visitor controls, and whether conversations can be overheard in shared areas.
  • Client meetings: Confirm reception, guest registration, waiting areas, and any charge for bringing visitors into the building.
  • Focused work: Determine whether quiet zones, assigned desks, or enclosed rooms are available during the hours your team works.

Do not treat a photograph or feature list elsewhere on an operator’s website as proof that an amenity is included in your quote. Have the specific inclusions written into the proposal or membership agreement.

Check access hours and included facilities

“Monthly access” can mean very different things. Ask whether it provides unlimited visits, a fixed number of days, or access only during staffed hours. Building access, reception hours, and support hours may also differ from the advertised membership hours.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verify each item individually:

  • Internet speed, network restrictions, and support response times
  • Printing or scanning allowances and overage charges
  • Mail handling, business address use, and package storage
  • Lockers or permanent storage
  • Furniture, monitors, power, and ergonomic equipment
  • Kitchen, phone booths, quiet rooms, and meeting rooms
  • Accessibility, security procedures, and after-hours entry

Ask whether employees can use other locations in the same network. A broad network is not a substitute for checking the commute, building access, and actual availability at the address your team will use.

Total monthly cost = required memberships or desks + additional user fees + meeting-room and booth charges + printing, storage, or mail add-ons + taxes and recurring fees.

Then record one-time deposits, setup fees, key charges, and the financial effect of any minimum term. If a longer commitment produces a discount, compare the discounted total with the cost of leaving early or carrying unused seats.

For each option, write down:

  • How many people may use the plan
  • How many can attend simultaneously
  • Whether employees may rotate through seats
  • Included meeting-room or booth hours
  • Price for an extra user or desk
  • Cost and notice period for reducing the plan
  • Taxes, deposits, and other mandatory charges

There is no universal point at which a private office becomes cheaper per person. The result depends on attendance overlap, local prices, taxes, room bookings, included credits, and the rules for adding or sharing seats.

Read the commitment and change terms before signing

Flexibility has a financial value for a small team because hiring, remote-work policy, and client demands can change quickly. Review the actual agreement rather than relying on a sales page.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Questions about the initial term

  • Is the price month-to-month, or is there a minimum term?
  • What notice is required to cancel or avoid automatic renewal?
  • Are discounts conditional on six months or another commitment?
  • What happens to prepaid fees or deposits if the agreement ends early?

Questions about changing team size

  • Can you add a desk immediately, and is the new rate the same as the original rate?
  • Can you remove a seat at the next renewal, or must you keep paying through the full term?
  • Can a departing employee be replaced by another person?
  • Can the team move to a larger or smaller office without signing a completely new agreement?

Questions about access and users

  • Is access personal, transferable, or restricted to named members?
  • Can employees alternate days on one seat?
  • Are guests permitted, and are guest days limited or charged?
  • What identification, security, or app enrollment is required?

WeWork notes that pricing varies by location, size, and commitment, with specific notice and cancellation terms contained in the membership agreement. Treat that as a reminder to inspect the agreement for your exact office, not as a term that applies to every coworking operator.

A six-step selection process

  1. Document attendance. Record normal and peak simultaneous users for at least a representative month, or make a conservative estimate if the team is new.
  2. Separate privacy work from ordinary work. Count regular calls, confidential conversations, client meetings, and collaboration sessions that cannot happen comfortably in open seating.
  3. Request comparable quotes. Ask for flexible access, dedicated desks, and a private office wherever those options exist. Specify the same number of users, term, and expected room use.
  4. Audit inclusions. Put internet, printing, storage, mail, furniture, room credits, reception, guest access, and hours in a comparison sheet.
  5. Test uncertainty cheaply. If attendance or fit is unclear, ask about a day pass, trial, short-term agreement, or hourly room option before accepting a longer commitment. 75 Park explicitly offers day passes for people who are not ready to commit.
  6. Get the change process in writing. Ask how to add seats, reduce the plan, relocate, share memberships, and end the agreement. Save the final quote and agreement with the person responsible for renewals.

Which coworking plan is right for a small team?

Choose shared access when attendance is irregular

Hot desks or day passes are sensible when only a few people attend on any one day, work is mostly individual, and the team can tolerate changing seats. The financial benefit disappears if employees repeatedly need paid rooms or cannot find desks during busy periods.

Choose dedicated desks when consistency matters more than privacy

Dedicated desks fit a hybrid team that wants reliable workstations, equipment storage, and a shared base without paying for an enclosed room. Confirm the number of named users and whether substitutes are allowed.

Choose a part-time room when calls are the constraint

A booth or hourly office can bridge the gap between an open floor and a full-time private office. It works only if the available hours match the team’s call schedule and the booking rules provide enough certainty.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a private office when co-location and confidentiality are recurring

An enclosed room is usually the clearest operational choice when the same people work together most days, clients visit regularly, or confidential discussions are routine. Compare office capacity with your peak attendance and confirm how expansion works.

Common mistakes and how to avoid them

  • Buying for headcount instead of overlap: price the people present together and verify rotation rules.
  • Comparing currencies or locations as if they were equivalent: identify the currency, address, taxes, commute, and included services for every quote.
  • Ignoring room usage: estimate recurring meeting and booth charges before choosing an inexpensive open plan.
  • Assuming 24/7 access: confirm building, security, and staffed-service hours separately.
  • Relying on a sales page: have user limits, guests, storage, credits, and cancellation terms written into the agreement.
  • Locking in before testing: use a day pass or short term when attendance or suitability is uncertain.
  • Forgetting the exit route: calendar the notice deadline and keep a written record of renewal and reduction terms.

The decision rule

Select the smallest plan that reliably accommodates your busiest expected attendance and the privacy work your team actually performs. Move up from hot desks to dedicated desks, part-time rooms, or a private office only when the lower-access option creates a measurable availability, confidentiality, or coordination problem. Recheck the calculation whenever attendance, hiring, or contract terms change, and confirm every price and policy with the operator for the specific location before paying.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
