How to Choose a Restaurant POS System: Features, Costs, and Questions to Ask

Choose a restaurant POS system by matching it to the way your restaurant takes orders, sends them to the kitchen, and collects payment—then compare written, all-in quotes using the same assumptions. The monthly software price alone does not show what you will pay for hardware, card processing, add-ons, setup, or leaving the contract.

Start with your restaurant’s workflow

Write down how service works before booking demos. A counter-service café and a full-service restaurant may both need payment processing, but their priorities differ: one may need fast order entry and pickup routing; the other may need table management, courses, split checks, and handheld payments.

Use a requirements matrix to distinguish must-haves from nice-to-haves. For every requirement, record whether the vendor says it is included in the quoted plan, requires an add-on, or is unavailable in your market.

  • Orders: menu structure, modifiers, discounts, open checks, courses, split bills, tips, refunds, and voids.
  • Kitchen: kitchen display screens or printers, routing rules, and handling of changes or special instructions.
  • Service channels: dine-in, counter, pickup, online ordering, and delivery orders.
  • Operations: inventory and food-cost tracking, employee permissions, scheduling, reporting, and end-of-day reconciliation.
  • Growth and guest management: additional locations, loyalty, customer data, reservations, and accounting, payroll, or delivery integrations.
  • Support: training, service-hour availability, and help during a live incident.

For table service, test table maps, open tabs, courses, splitting checks, and tableside ordering or payment. For counter service, test speed of order entry, pickup handling, and kitchen routing. Clover lists table mapping, open tabs, split checks, contactless dining, and tableside ordering among its restaurant functions, but confirm what is included in the specific offer you receive: Clover restaurant POS.

Compare the full cost, not just the subscription

Ask each provider for a written quote for your actual number of locations and devices, expected payment volume, and mix of in-person and remote transactions. Include every recurring and one-time charge, as well as the contract’s exit costs. A lower software fee can be outweighed by processing charges, hardware, or paid features.

  • Software subscription and per-location or per-device fees
  • Card processing for card-present, keyed, online, and other payment types you use
  • Terminals, handhelds, customer displays, kitchen displays, printers, cash drawers, and network equipment
  • Hardware purchase, financing, replacement, and installation costs
  • Paid features such as kitchen display software, online ordering, or inventory tools
  • Onboarding, training, support, taxes, and any platform, gateway, PCI, batch, or statement fees
  • Minimum term, renewal, notice window, early termination, and equipment-return obligations

Compare vendors using the same sample month: card sales, average ticket, transaction mix, device count, and locations. Calculate first-year cost and renewal cost separately, and ask how quoted discounts or hardware financing affect the total. Do not compare a software-only price with a bundle that includes devices or other services.

Check hardware, integrations, and outage behavior

Count the equipment your service actually needs: terminals, handhelds, customer-facing displays, kitchen displays, printers, and network equipment. Confirm device and peripheral compatibility in writing before buying anything separately. Toast says its services may be used only on approved Toast hardware, so do not assume a third-party tablet or printer will work with its system. Toast pricing and hardware terms.

Ask vendors to demonstrate what happens when the internet fails, on the exact devices and setup you would use. Square says offline payments are submitted when connectivity returns and may be declined if reconnection does not happen within 24 hours. That is a specific limitation to include in an outage plan, not a guarantee that every order or payment will work offline. Square pricing and offline-payment details.

Shortlist systems, then verify the fit

Vendor comparison guides can help identify candidates, but they are not proof that one POS is universally best. Square’s guide is dated December 11, 2025, and says its side-by-side vendor information was gathered in June 2025. Treat its descriptions as a starting point and confirm current features, terms, and pricing with each provider. Square’s restaurant POS comparison guide.

  • Square for Restaurants: Its guide presents Square as an option across restaurant types, with a free plan and paid upgrades. Verify required features and processing fees in the exact plan being quoted.
  • Lightspeed Restaurant: Square’s guide describes it as a potential fit for complex menus or stock-heavy operations, while noting higher starting cost and a learning curve. The comparison information was gathered in June 2025, so check current plans and features directly.
  • Toast: Toast’s guide emphasizes full-service workflows, handhelds, tableside service, and kitchen tools. Include its approved-hardware requirements in the budget and confirm payment and contract terms.
  • Clover: Its restaurant page shows register and optional handheld or customer-facing station combinations, alongside functions such as table management, online ordering, and menu controls. Obtain the terms from the actual seller.
  • TouchBistro: Square’s guide characterizes it as dine-in-focused, with an iPad interface and offline mode. Confirm current device requirements, feature limits, and add-on costs with the provider.

These descriptions are vendor-published information, not independent performance findings. Ask each finalist to demonstrate your real workflows rather than relying on feature labels.
